Introduction

With Event Center, you can group live or recorded events in a program for a specific project, product, or audience. Then, using a single registration form, attendees can register once for all of the program’s events.

Creating Programs

You must create a program before you can add live events or recordings.

 

To create a program:

1. Do any of the following:

    • On the left navigation bar, click Manage Programs > Create New Program.
    • On the Schedule an Event page or Edit Event page, under Basic Information, click Add a new program.
    • On the left navigation bar, click Manage Programs > List of Programs > New program.

2. Complete all required and any optional fields.

 

Use this option...To...
Program NameType the title of the program.
DescriptionType a description of the program.
Expected registrationSpecify the expected number of registrants.
BudgetSpecify the budget for the program.
EmailType the host's email address.
Program statusSelect Listed or Unlisted. Only Listed programs appear on the List of Events by Program page.
Registration ID requiredSpecify whether attendees must register before they can join events in the program.
Password required to registerSpecify whether to require a password before an attendee can register for the events in the program.
Customize registration formClick Customize to customize the program registration form. All events in a program share the same registration form.
Invite friendsAllow registrants to invite their friends to the program’s events.
Destination URL after registrationSpecify a Web address to display once an attendee finishes registering for an event.
ImagesUpload pictures that you want to show on the program information page.
Custom HTML areaFormat this area using HTML. Include references to images you upload in the Images section. Use the drop-down list to place this customized area above or below the program title on the program page.

 

3. Click Create a Program. The program appears on the Manage Programs page.

Adding Events to Programs

After you create a program, you can add live events and recordings.

 

To add live events:

From the Schedule an Event or Edit Event page:

1. Under Basic Information, choose a program from the Program drop-down list.

2. If prompted, click OK to specify that adding the event changes its registration options to match the program. When you schedule an event, it will be added to the program and appear on the List of Programs page.

 

From the Manage Programs page:

1. On the left navigation bar, click Manage Programs > List of Programs. The Manage Programs page appears.

2. In the Topic column, click the title of the program you want to add an event to. The details page for that event appears.

3. Do one of the following:

 

If......then
The event is already scheduled…
  1. Click Add other events to this program. Your scheduled events are listed.
  2. Select an event, then click Add.
  3. Click OK, then click Continue.
The event has not yet been scheduled…Click New Event to schedule the event and add it to the program at the same time.

 

To add a recording:

1. On the left navigation bar, click Manage Programs > List of Programs. The Manage Programs page appears.

2. In the Topic column, click the title of the program you want to add a recorded event to.

3. Click Add other recordings to this program. A list of your recordings appears.

4. Select the records you want to add, then click Add. A confirmation message is displayed.

5. Click Continue.

Obtaining URLs

You can obtain the URLs for your events and programs, and distribute the links to attendees, who can then view event recordings or additional information about the event or program.

 

To obtain a program URL:

1. On the left navigation bar, click Manage Programs > List of Programs. The Manage Programs page appears.

2. In the Topic column, click the title of the program you want to obtain a URL for. The program’s information page appears. The link to the program is listed next to Program URL.

To obtain an event URL:

1. Select My WebEx on the top navigation bar, then select My Meetings on the left navigation bar.

2. In the Topic column, select the name of the event. The Event Information page appears, listing URLs for attendees and panelists.

Modifying and Deleting Programs

You can modify an existing program by adding and removing recordings and scheduled events. When you delete a program, you also delete associated live events. Recordings you have created will remain on the My Recordings page after you delete the program they were associated with.

 

To modify a program:

1. Click Manage Programs > List of Programs, then click the title of the program you want to modify.

2. Click Edit program. The Update Program page appears.

3. Make your changes, then click Update Program. The updates are saved and a confirmation message appears.

4. Click Continue. The program details page appears.

 

To delete a program:

1. Click Manage Programs > List of Programs, then click the title of the program you want to delete.

2. Check the box next to the program you want to delete, then click Delete. A confirmation message appears.

3. Click OK to delete the program.
