Known Issues and Limitations for Productivity Tools (WBS31)

Known Issues and Limitations for Productivity Tools Windows

 

The issues noted here affect all WebEx services unless indicated otherwise.

Firefox 43 or later

The WebEx Productivity Tools add-on for Firefox is not supported for Firefox version 43 or later. We recommend that you use Internet Explorer instead.

Microsoft Outlook 2016

Although the Windows version of WebEx Productivity Tools supports Microsoft Outlook 2016 as of version WBS30.3 and WBS29.13.70, due to changes in Microsoft Outlook 2016, Productivity Tools supports only one email invitation template for all meetings, including CMR Hybrid meetings, WebEx-only, Personal Conference, and Audio-only meetings. The email template that is supported is the attendee version that does not contain the host key and host access code. Similar to the Mac experience, hosts will be able to view their host key or host access code by logging into their WebEx site when joining their meeting.

The Windows version of Productivity Tools for Microsoft Outlook 2013 or earlier will still support two email invitation templates (one for attendees, and one for hosts, which include the host key and host access codes). The Mac version of Productivity Tools has always supported only one email template for all supported versions of Microsoft Outlook.

Important:

Customers using Productivity Tools with Outlook 2016 should install the latest version of Productivity Tools; otherwise, the changes in Outlook 2016 will cause the older version of Productivity Tools to send the host email invitation template to attendees.

If a host who is using Microsoft Outlook 2016 version edits meetings that were created with other supported Windows versions of Microsoft Outlook in WebEx Productivity Tools version WBS29.13.10 or later, because Microsoft Outlook 2016 is limited to only one email template, a new email template will be generated with new content based on the single unified email template for both host and attendees

If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling meetings on behalf of the first user edits that meeting using Microsoft Outlook 2013, the meeting email invitation will show the WebEx information for both the original meeting and the edited meeting.

If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling meetings on behalf of the first user edits that meeting using Microsoft Outlook 2013 to change the meeting topic, date, or time, the user will see a message indicating that Microsoft Integration to Outlook cannot locate the WebEx meeting information because the meeting is being edited, and selecting either OK or Cancel will update the meeting with incorrect information.

If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling meetings on behalf of the first user edits that meeting using Microsoft Outlook 2007, the user will see a message indicating that he or she does not have appropriate permissions to edit the meeting and will not be able to save the change.

If a host creates a WebEx series meeting in Outlook 2016 for Mac and changes one occurrence to an exception, then cancels the WebEx for the exception, the appointment cannot be closed if the host later edits the series from Outlook 2016 for Windows where the calendar time zone is different from the Outlook for Mac's time zone, even if the email body is updated.

If a host in Outlook 2016 for Mac allows scheduling on behalf of a series meeting from Outlook for Windows, then the host changes one occurrence to an exception (e.g., edits the password, time, topic, etc.), this exception will be updated although Outlook for Windows only updates series meeting.

Windows 10

If a Windows user has installed a version of WebEx Productivity Tools that is earlier than version WBS30.1 and then upgrades to the Windows 10 operating system, the start menu command for WebEx Productivity Tools will still appear in the "WebEx" folder on the start menu, rather than in the "WebEx Productivity Tools" folder. To show the command correctly in the "WebEx Productivity Tools" folder, the user should uninstall WebEx Productivity Tools and then install version WBS30.1 or later.

EMC SourceOne

EMC SourceOne is not supported by WebEx Productivity Tools. Users of EMC SourceOne might experience performance issues.

Default meeting templates

If the First attendee to join will be presenter option is enabled in Site Administration, this option will be enabled by default in the meeting scheduler on your WebEx site. It will also be enabled in the default meeting template that you use in WebEx Productivity Tools for scheduling WebEx meetings with Microsoft Outlook. Custom meeting templates that have been created by users will not be impacted. If a host schedules meetings using custom templates and wants to have the first attendee to join the meetings automatically become the presenter, the host will need to manually enable the setting in the custom templates.

* If CMR Hybrid is enabled on the site, only one email invitation template is available for CMR Hybrid meetings, WebEx-only, Personal Conference, and Audio-only meetings, and it is the attendee version that does not contain the host key and host access code.

  

The Mac version of WebEx Productivity Tools still uses a single email template, so if a host edits older meetings with the Mac version of Productivity Tools that were created from the version WBS29.13 or later Windows version of WebEx Productivity Tools, due to the Mac version limitation to one single email template, a new email template will be generated with new content based on the single unified email template for both host and attendees.

  

In addition, if a host forwards a WebEx meeting by using the Forward command in Microsoft Outlook, Windows Productivity Tools will not be able to identify host's forwarding behavior and will send an email for attendee's view in the email invitation instead of host's own email invitation.

  

In some complex circumstances, if a host cancels an individual meeting that is an exception to a meeting series and then edits a meeting series, the cancellation notice for the meeting that is sent to attendees, which is not supposed to contain WebEx meeting information because the meeting was canceled, would actually contain updated information for the update meeting series.

  

If a host creates a CMR Hybrid series meeting and changes one occurrence to an exception, then updates the series meeting to WebEx only meetings, the exception meeting email body will change from HTML to plain text when this exception meeting is updated to WebEx only meeting.

  

WebEx Productivity Tools do not support the %Meeting Date% parameter in the invitation email body. The meeting date and time should be handled by the calendar system.

  

Customized email templates

   

A site administrator can customize Microsoft Lync join links in the email templates Invitation to a Meeting in Progress_PR(Productivity Tools) and MC MeetingInfo For Attendee(Productivity Tools). However, the customized link will be available for all the users on the site whether WebEx Video Conferencing video is enabled or not, which means the Lync join link will be invalid in the invitation sent by users who don’t have WebEx Video Conferencing video. The site administrator should be aware of this and should add a reference when customizing the templates.

  

If a site administrator customizes both the host and attendee email templates to have the same content, the attendee version of the email template is sent to both host and attendees.

  

%MeetingDate% is not a supported parameter when scheduling Personal Room meetings from Productivity Tools.

  

Email invitations that require registration

If a meeting host updates a meeting that requires registration, all attendees receive an updated invitation that includes a link to register for the meeting, including the attendees who have already registered.

Meetings with no invitees

WebEx meetings that do not have any invitees are not supported in WebEx Productivity Tools for Windows.

Recurring meeting support

Users cannot add a WebEx meeting to a single occurrence of a recurring meeting series if the recurring meeting series does not have a WebEx meeting added to it. In addition, changes to a single occurrence of a recurring CMR Hybrid (WebEx-enabled TelePresence) meeting series are not supported. See "CMR Hybrid (WebEx-enabled TelePresence) integration issues" below for additional information about recurring meeting limitations for CMR Hybrid meetings.

If a host edits the subject or changes the meeting time of a single occurrence of a recurring meeting series by editing it directly in the Microsoft Outlook calendar, WebEx Productivity Tools will not show the correct unique meeting number for that exception to the meeting series, but the host and attendees can still join the meeting by entering the meeting number for the meeting series.

WebEx video conferencing issues

If a user is enabled for WebEx video conferencing meetings, when the user adds a TelePresence room as a room resource to a meeting series that has one or more exceptions, the meeting times for the exception meetings will be the same as the meeting time for other meetings in the series.

Silent installation or mass deployment of Productivity Tools

If the administrator performs a silent installation or mass deployment of Productivity Tools for users at your site, those users will not be able to edit any of the settings on the Tools panel of the WebEx Settings dialog box. In addition, performing a silent installation may cause some settings on the Productivity Tools page of the Site Administration tool to be ignored.

For the customers who have performed a mass-installation of WebEx Productivity Tools and try to upgrade to a new version, we recommend that you perform a silent uninstallation first before performing a mass installation of the new version.

In some silent upgrade cases, the version of Productivity Tools on the control panel will be reflected incorrectly. This problem does not impact any Productivity Tools features and should be fixed in a future release.

Mass Uninstallation

   

The mass deployment of new Productivity Tools requires the mass uninstallation of the previously-installed version. For users who have multiple versions of Productivity Tools installed, please refer to the section, "Uninstall Multiple Versions" in Chapter 2 of the IT Administrator Guide for Mass Deployment of WebEx Productivity Tools.

  

Installation privilege errors

   

If a user installs fresh Productivity Tools version WBS30.9 and higher or WBS31.4 and higher, then attempts to install Productivity Tools WBS31.7 or higher without first uninstalling the previous version, an Error 1303, Insufficient Privileges occurs. The workaround is to uninstall the previous version first, or reinstall again.

  

If a user manually installs Productivity Tools using an MSI package, the user must have Windows administration privileges to complete the installation.

  

If an IT user mass deploys Productivity Tools using MSI packages, the IT user must have Windows administration privileges to complete the installation.

  

Windows administration privileges are mandatory for automatically upgrading Productivity Tools, regardless of whether the upgrade is manual or using mass deployment.

  

Lockdown

   

Productivity Tools doesn’t support to lockdown to a specific version once automatic upgrading is enabled.

  

Some customers may stay on a specific Productivity Tools version by disabling the automatic upgrade option. However, Cisco may ask all Productivity Tools users to upgrade to a minimum version if security compliance is necessary. This is an option that can be enabled by Cisco administrators.

  

Address button on WebEx Productivity Tools panel

On the WebEx Productivity Tools panel, the Address button that allows you to select email addresses from your Microsoft Outlook address book is not supported for the 64-bit version of Microsoft Outlook.

Lync 2013 support

  • Lync 2013 support is limited because it does not allow Productivity Tools to change auser's status and no longer supported embedding WebEx menu item into the Lyncright-click menu.

     

  • Scheduling WebEx video conferencing meetings using WebEx Productivity Tools for Microsoft Outlook is notsupported for Lync. Instant meetings that you start with the Meet Now commandare still supported.

     

  • The 64-bitversion of Lync is not supported.

     

Silent upgrade

In some silent upgrade cases, the version of Productivity Tools on the control panel will be reflected incorrectly. This problem does not impact any Productivity Tools features and should be fixed in a future release.

Links generated by WebEx centers and WebEx recording services

As part of our continuing updates to improve security, Cisco is making changes to improve the management of cryptographic keys used to generate URLs used in WebEx Meeting Center, Training Center, Support Center, Event Center, and WebEx recording services. As a result, existing links that were generated by those services have been updated, and in some cases, users may need to request new links.

Missing meeting links

   

The meeting link does not appear when opening an ICS invitation in a Windows text editor if the meeting was scheduled using WebEx Productivity Tools for Mac. This is a known issue acknowledged by Microsoft.

  

WebEx site URL change

If a user signs in to WebEx Productivity Tools with a new WebEx site URL after the WebEx site has been renamed, he or she is not able to edit the meetings that were scheduled with the previous WebEx site URL.

Video call-in port setting for CMR Hybrid meeting

If the site administrator reduces the default video call-in number from 10 to 5, all scheduled CMR Hybrid meetings can still be updated successfully, even this number is still 10.

Allow people to join using WebEx option is always unchecked for CMR Hybrid (WebEx-enabled TelePresence) meetings

Prior to WBS31.6, the Allow people to join using WebEx option is unchecked by default for each WebEx meeting—it is not sticky. If you want to turn it on, you must turn it on each time you schedule a new meeting. Starting with 31.6, this option is enabled automatically when the user tries to schedule CMR Hybrid meeting.

Firefox 43 or later

The WebEx Productivity Tools add-on for Firefox is not supported for Firefox version 43 or later. We recommend that you use Internet Explorer instead.

Cross-platform support

Productivity Tools are available for the Microsoft Windows and Mac platforms; they are not available on the Linux, Unix, and Solaris platforms.

Integration to Microsoft Outlook

  • WebEx Productivity Tools do not support having more than one version of Microsoft Outlook installed on the same computer.

     

  • Attendee registration can not be enabled for recurring WebEx meetings scheduled using Outlook integration.

     

  • If a template used during Outlook integration has the Mute on Entry option turned on, you will still hear a sound as attendees join the session.

     

  • If the Outlook software has different time zone settings as compared to the WebEx site, a WebEx meeting that is scheduled using the Outlook integration will not show up correctly on WebEx site. On the host and attendee's Outlook calendars, however, the time zone for the meeting schedule still appears correctly.

     

  • A Training Center meeting that is scheduled using Outlook integration has the following limitations:

    • It is not possible to specify "Listed for authorized users only."

       

    • It is not possible to reserve Hands-on Lab computers.

       

    • It is not possible to specify a registration close date and a maximum number of registrations.

       

    • It is not possible to invite attendees as presenters into the training session.

       

    • It is not possible to assign attendee privileges.

       

    • It is not possible to edit the type of email messages you want to send when different events happen.

       

    • It is not possible to add tests and course material.

       

    • The option to join a meeting before the host is not available for recurring Training Center sessions.

       

  • An Event Center meeting that is scheduled using Outlook integration has the following limitations:

    • It is not possible to assign a program.

       

    • It is not possible to assign multiple time zones to an event.

       

    • It is not possible to add event options such as uploading a host or presenter's image, uploading event material, UCF auto play options, and so forth.

       

    • It is not possible to add presenters and panelists.

       

    • It is not possible to edit email template options for an event.

       

    • The option to join a meeting before the host is not available for recurring Event Center sessions.

       

  • If you schedule a meeting using Microsoft Outlook and then change the meeting information on the WebEx service site, your changes will not appear in Outlook.

     

  • If you select multiple meetings in Outlook and delete or move them at the same time, those changes will not appear on your WebEx service site.

     

  • If you schedule a new meeting in Outlook by copying an existing meeting, a new meeting is not created on the WebEx service site. Instead, the same WebEx meeting link is shown on both the original and the copied meeting.

     

  • The Attendee access code (Listen only) is not displayed for Audio-only meetings scheduled using Outlook integration.

     

  • Importing your company address book into your WebEx contacts is not supported with Microsoft Outlook 2010 64-bit.

     

  • You cannot edit a meeting that is in progress.

     

  • The settings in the Scheduled Meetings tab of the WebEx Settings dialog box are not honored. The default settings from the WebEx site meeting template are used instead. Users will still be able to leverage the settings that are set while scheduling the meeting in Outlook.

     

  • Sometimes scheduled meeting information is not included in the body of the email. This may be due to Microsoft Word settings that prevent web pages from being displayed in Microsoft Outlook for Windows. A suggested workaround is to unblock web pages in Microsoft Word:

    1. In Microsoft Word, open the File menu.

       

    2. Select Options, then select the Trust Center.

       

    3. Select the Trust Center Setting button.

       

    4. Select File Block Settings.

       

    5. In the Open column, uncheck Web Pages.

       

Recurring meeting support

  • If a user cancels a WebEx meeting in Microsoft Outlook for Windows that is a series meeting with one or more exceptions, and the user is using Microsoft Exchange server version 2013 or later, the WebEx information is not completely removed from the cancelation email notification.

     

  • In Microsoft Outlook 2013 for Windows (15.0.4823.1000), updating a meeting series overwrites the email message of exception meetings.

     

  • Meeting times are not displayed correctly in email invitations for a meeting series. This is because the parameter %MeetingDate% is not supported. We recommend that you do not add this parameter to display the meeting date when customizing email templates.

     

Lotus Notes integration

  • If a user who has Lotus Notes as his or her default email application opens the WebEx Productivity Tools panel, enters an email address of an invitee, and then selects Meet Now, the meeting invitation that is sent to that invitee will be empty and will not include any WebEx meeting information.

     

  • Adding HTML content in the WebEx calendar invitation will result in an error in Lotus Notes version 8.5.

     

  • The WebEx integration to Lotus Notes supports only limited rich text format features, such as hyperlinks and images.

     

  • It is not possible to specify TSP telephony while scheduling a WebEx meeting using Lotus Notes Integration.

     

  • WebEx Lotus Notes Integration requires a script to be inserted on the Domino database for each user. As a result, a Notes user with "Editor" privileges can not install Lotus Notes Integration by just running an MSI available from the Support page. For a Lotus Notes user with "Editor" privileges, a Domino administrator must insert a WebEx script into the Notes database using the WebEx Lotus Notes Integration Admin Tool.

     

  • Using the Lotus Notes Integration MSI file, only a Lotus Notes user with "Manager" and"Designer" privileges can install WebEx Lotus Notes Integration.

     

  • If a single occurrence of a recurring WebEx meeting is either deleted or rescheduled, the meeting information is not updated on WebEx service site. In the host and attendee's Lotus Notes calendars, however, the recurring meeting still appears correctly.

     

  • When a WebEx recurring meeting is scheduled to recur on alternate weeks (Biweekly, Triweekly, etc.) in a Lotus Notes calendar, the recurring meeting appears to be scheduled on the WebEx service site as occurring weekly rather than recurring on alternate weeks. In the host and attendee's Lotus Notes calendars, however, the recurring meeting still appears correctly.

     

  • Attendee registration can not be enabled for recurring WebEx meetings scheduled using Lotus Notes Integration.

     

  • If a template used during Lotus Notes Integration has "Mute on Entry" option enabled, you will still hear a sound as attendees join the session.

     

  • If the Lotus Notes client has different time zone settings as compared to the WebEx service site, a WebEx meeting that is scheduled using Lotus Notes Integration will not show up correctly on WebEx service site. On the host and attendee's Lotus Notes calendars, however, the time zone for the meeting schedule still appears correctly.

     

  • Since Lotus Notes Integration does not use an email template, it is not possible to configure the content of the host's and attendee's email invitations for WebEx meetings that are scheduled using Lotus Notes Integration.

     

  • A Training Center meeting that is scheduled using Lotus Notes Integration has the following limitations:

    • It is not possible to specify "Listed for authorized users only"

       

    • It is not possible to reserve Hands-on Lab computers.

       

    • It is not possible to specify a registration close date and a maximum number of registrations.

       

    • It is not possible to invite attendees as presenters into the training session.

       

    • It is not possible to assign attendee privileges.

       

    • It is not possible to edit the type of email messages you want to send when different events happen.

       

    • It is not possible to add tests and course material.

       

    • The option to join a meeting before the start time is not available for recurring Training Center sessions.

       

  • An Event Center meeting that is scheduled using Lotus Notes Integration has the following limitations:

    • It is not possible to assign Program.

       

    • It is not possible to assign multiple time zones to an Event.

       

    • It is not possible to add event options such as uploading a host or presenter's image, uploading event material, UCF auto play options, and so forth.

       

    • It is not possible to add presenters and panelists.

       

    • It is not possible to edit email template options for an event.

       

    • The option to join a meeting before the start time is not available for recurring Event Center sessions.

       

  • If you schedule a meeting using Lotus Notes and then change the meeting on your WebEx service site, your changes will not appear in Lotus Notes.

     

  • If you select multiple meetings in Lotus Notes and then delete or move them at the same time, those changes will not appear on your WebEx service site.

     

  • If you schedule a new meeting in Lotus Notes by copying an existing meeting, a new meeting is not created on WebEx site. Instead, the same WebEx meeting link is shown on the original and is copied with the meeting.

     

  • The Attendee access code (Listen only) is not displayed for Audio-only meetings scheduled using Outlook integration.

     

  • If host edits an already-scheduled Lotus Notes integration meeting and adds an attendee, the attendee information is not posted to WebEx service site. As a result, for such attendees, this meeting will not appear in the My WebEx My Meetings list of meetings to which you are invited.

     

Personal Room issues

If a host schedules a meeting in Microsoft Outlook using WebEx Productivity Tools for Windows and enters the subject, and then selects Add Personal Room while the cursor is still in the subject field, the Personal Room URL will overwrite the subject. However, if the host moves the cursor away from the subject field before selecting Add Personal Room, the subject is not overwritten by the Personal Room URL.

CMR Hybrid (WebEx-enabled TelePresence) integration issues

The following issues apply to the WebEx integration with TelePresence in the CMR Hybrid solution:

For CMR Hybrid meetings, email templates are supported in English only on both Windows and Mac.

  • Scheduling CMR Hybrid meetings

     

    If your administrator has turned on the TelePresence integration for your WebEx site,you can schedule CMR Hybrid (WebEx-enabled TelePresence) meetings withMicrosoft Outlook for Windows. This option is only available for sites with TelePresence integration turned on. Once this option has been turned on, youmay have to upgrade your Productivity Tools, exit Outlook, and then Outlook again in order to see the new interface. Starting in WBS29, the Allow people to join using WebEx option in the Meeting Options dialog box for a CMR Hybrid meeting is no longer "sticky"-that is, it does not stay checked if was checked for a previous meeting. If you want to allow users to join using WebEx, you must check this box again for each CMR Hybrid meeting.

     

    Hosts who are enabled for CMR Hybrid but do not have the WebEx setting in their Cisco TelePresence Management Suite (Cisco TMS) will not be able to schedule TelePresence-only meetings using WebEx Productivity Tools.

     

  • Adding resources

     

    When you schedule a WebEx meeting with Outlook, if you add either TelePresence rooms or you add extra video call-in participants, a WebEx-enabled TelePresence meeting will automatically be scheduled. If you do not include these resources, the meeting will be WebEx-only meeting. Status indicators (green check mark) will show that you have booked a TelePresence meeting, if you have successfully added those resources.

     

  • Email invitation templates for CMR Hybrid meetings

     

    CMR Hybrid meetings still only support one email invitation template, which is the attendee version and that does not contain the host key and host access codes. To view the host key and host access code, CMR Hybrid meeting hosts need to login to the WebEx site to see the meeting information page, or they need to login to their WebEx site through WebEx Productivity Tools to view the information in their Advanced WebEx Settings dialog box. See the Email invitation templates section earlier in this section for additional information about email template support in Productivity Tools.

     

    The Windows version of Productivity Tools for CMR Hybrid meetings does not support sending HTML email invitations. The email invitations are available only in plain text format.

     

    The Productivity Tools email templates for CMR Hybrid meetings do not contain the"%ConfCallParticipant%" variable, to allow an audio-only caller to join only the audio portion of the meeting by selecting that option from a mobile device. Instead, mobile device users (assuming they have data and voice connectivity simultaneously) can select the Join WebEx meeting link or URL in their invitation, and join the CMR Hybrid meeting using the Cisco WebEx Meetings mobile application for audio as well as two-way video and data and content sharing consumption. Or they can pick up or manually dial the call-in number and meeting ID number or access code in the invitation from their mobile device.

     

  • Time zone and Daylight Savings Time

     

    The time zone for the WebEx site must match the time zone for the Cisco TelePresence Management Suite; otherwise the meeting time will not be synchronized. When you make Daylight Savings Time changes between your WebEx site and the Cisco TelePresence Management Suite, it is possible your meeting might be an hour off schedule; if this happens, rescheduling will be required. If this problem occurs with a meeting series where some instances occur before Daylight Savings Times begins and some occur after, it is recommended that you create two meeting series: one meeting series that ends before the Daylight Savings Time begins and a second meeting series that starts after Daylight Savings Time begins.

     

  • Exceptions to a recurring meeting series

    • Although recurring meeting exceptions for CMR Hybrid meetings are now supported in WebEx Productivity Tools. Orphan meetings are not yet supported. For example, you cannot add a WebEx meeting and TelePresence rooms to a single occurrence of an Outlook-only meeting series. If you want to make these features available for a single occurrence, you need to make the whole series a WebEx and TelePresence meeting.

       

    • Edits to a meeting series with exceptions that were changed before version WBS30 follow Microsoft Outlook rules, where possible, regarding treatment of the exception properties.

       

    • If a host edits the subject or changes the meeting time of a single occurrence of a recurring CMR Hybrid meeting series by editing it directly in the Microsoft Outlook calendar, and then removes WebEx from the entire series, the WebEx meeting information will still appear in the exception meeting.

       

    • If the host scheduled a recurring CMR Hybrid meeting series, and the date of the first occurrence has passed without that meeting being started, the host cannot update the date of that individual occurrence. However, the host can change the date for the entire meeting series.

       

    • If you remove the WebEx meeting from an individual occurrence of a CMR Hybrid meeting series, you will change it to a TelePresence-only meeting. However, The Cisco TelePresence Management Suite (Cisco TMS) will still show WebEx information for that exception meeting.

       

    • If you change all of the individual meeting occurrences within a meeting series into exceptions, and you then attempt to add a TelePresence meeting to the entire series, Cisco TelePresence Management Suite for Microsoft Exchange (Cisco TMSXE) assumes the series in the past and does not give adequate warning messages to the meeting scheduler or host. Users can work around this issue by deleting the current series and creating a new series that has TelePresence added, and then editing the exceptions to that series individually, as exceptions, or deleting all of the exceptions and creating individual meetings.

       

    • Exceptions for TelePresence-only meetings that are based in Cisco TMS, mobile applications, or Microsoft Exchange are supported in version WBS30 and Cisco TMS version 15. Scheduling of WebEx exceptions or WebEx and TelePresence exceptions using Cisco TMS is expected to be supported in a future release.

       

      Cisco TMS will process those exceptions, but will send only send a single recurring meeting series to WebEx. The organizer's WebEx meeting list will be incorrect, but the "host" (Multipoint Control Unit or TelePresence Server) can still start the meeting as the host.

       

    • Adding or changing or removing TelePresence rooms for a series that has exceptions in it is not supported. To work around this issue, you can delete the series and then create a new series.

       

    • If you remove all TelePresence attributes and ports or all WebEx attributes from a series that has exceptions in it, all such attributes and TelePresence rooms will also be removed from both the series and the exceptions, to avoid creating orphans. To work around this issue, you can delete the series and then create a new series.

       

    • WebEx does not support the full recurrence pattern that Cisco TMS supports.

       

    • Adding TelePresence rooms that are not in Cisco TMSXE to the "To" address line of an Outlook meeting does not create a single-instance TelePresence meeting or a TelePresence exception meeting or orphan in a WebEx series or Outlook-only series.

       

    • If you add or change the WebEx attributes or TelePresence attributes or ports of a meeting series with exceptions in it, those attributes will not be changed in the exception meetings.

       

  • Cisco Unified Meeting Place Audio

     

    The version of WebEx Productivity Tools that supports the WebEx integration with Cisco TelePresence does not support Cisco Unified MeetingPlace Audio. If you have the Cisco Unified MeetingPlace Productivity Tools version installed and if you occasionally want to schedule a combined WebEx and TelePresence meeting using WebEx or TSP audio, you will need to use the Smart Scheduler in Cisco TelePresence Management Suite (TMS) to schedule it. A user cannot have two versions of WebEx Productivity Tools installed at the same time.

     

  • Telephony service provider (TSP) audio

     

    For some telephony service provider (TSP) audio accounts, if a host with a TSP account schedules two adjacent CMR Hybrid or WebEx video conferencing meetings, with the second one scheduled to start immediately after the first one ends, and if the TelePresence scheduling system automatically extends the first meeting past the scheduled end, the second meeting will end automatically because the host because the same TSP audio account cannot be used for both meetings at the same time.To work around this problem, hosts can set up two different TSP audio accounts with different host access codes, and use one account for the first meeting and the other account for the second meeting. Another option is the administrator to turn off the option for the TelePresence systems to automatically extend the meeting.

     

  • Support for Microsoft Office 365, Microsoft Outlook 2010, and Windows 8 and 8.1

     

    WebEx sites that have the CMR Hybrid integration enabled may require the latest versions of Cisco TelePresence Management Suite (Cisco TMS) and Cisco TelePresence Management Suite Extension for Microsoft Exchange (Cisco TMSXE) to support Microsoft Office 365, Microsoft Outlook 2010, or Windows 8 and 8.1. For more information, see Prerequisites in the Cisco WebEx Features and Important Notes chapter of the Cisco Collaboration Meeting Rooms (CMR) Hybrid Configuration Guide on the Cisco TelePresence Management Suite (TMS) Configuration Guides page.

     

  • Instant Meetings and Personal Room meetings

     

    You cannot start an instant CMR Hybrid meeting; you can only schedule CMR Hybrid meetings. When CMR Hybrid users start instant meetings, they are WebEx-only meetings and do not include TelePresence integration.

     

    Starting withWBS29.11, instant meetings that you start with the Meet Nowcommand (formerly called One-Click Meeting) are held in your Personal Room by default. You can change this option in Preferences. CMR Hybrid users also have Personal Rooms, but only users who join from a WebEx meeting application or app can join those Personal Rooms. In order to have a Personal Room meeting that users can join from a video conferencing system or application, the WebEx site and host account must be enabled for it.

     

    A workaroundfor an instant meeting that uses both WebEx and TelePresence is to start a meeting from a TelePresence system and then the named host has selects Instant WebEx Meeting on the meeting detail page to generate a URL that allows external participants to join the TelePresence meeting from a WebEx application or mobile application.

     

  • Scheduling WebEx-only or TelePresence-only meetings

     

    WebEx sites that have the CMR Hybrid integration enabled require Cisco TelePresence Management Suite Extension for Microsoft Exchange (Cisco TMSXE) in order for CMR Hybrid users to schedule WebEx-only meetings or TelePresence-only meetings with Productivity Tools.

     

  • Maximum of two simultaneous meetings per host

     

    WebEx sites that have the CMR Hybrid integration enabled do not allow a host to have more than two CMR Hybrid meetings started at the same time.

     

  • Personal Conference and Audio-Only meetings

     

    Although a CMR Hybrid user can schedule a Personal Conference meeting for sites that have WebEx Audio or an Audio-Only meeting for sites that have telephony service provider (TSP) audio, it is a WebEx-only meeting type and does not include CMR Hybrid integration.

     

  • No branding or customizing of CMR Hybrid features

     

    Site administrators cannot change the branding for the CMR Hybrid Meeting Options panel, cannot hide information in the Meeting Options panel or in the TelePresence or WebEx Advanced Settings dialog boxes, and cannot limit the number of video call-in participants the user can enter.

     

WebEx One-Click/Instant messenger integrations/Microsoft Office integrations

  • If you use personalized joinlinks to automatically populate attendee names and email addresses on the JoinMeeting page, some email gateways may truncate the links. Attendees can still click the links, but the links do not automatically allow them to join the meeting; they will have to enter their name and email address before joining the meeting. There is no known workaround at this time.

     

  • If the instant messenger integration was installed using a silent installer, the user will need to log out and log back in to their instant messenger to see the WebEx Productivity Tools integration features.

     

XenApp Support

 

WebEx Productivity Tools do not support XenApp in versions earlier than WBS31.8. Please see the WebEx Productivity Tools Support page for detailed support matrix.

Known Issues and Limitations for  Productivity Tools Mac

 

The issues noted here affect all WebEx services unless specifically noted.

TelePresence Management Suite sign in window

   

If the TelePresence Management Suite (TMS) sign in window does not appear after upgrading to the latest version of WBS31 Productivity Tools for Mac, sign out and sign in again to the Mac OS system to clean up the cache.

  

Firefox 43 or later

   

The WebEx Productivity Tools  add-on for Firefox is not supported for Firefox version 43 or later. We recommend  that you use Internet Explorer instead.

  

Microsoft Outlook 2016

   

Only version WBS31.5.1 or later of Productivity Tools for Mac supports Outlook 2016 64 bit version for Mac.

  

Productivity Tools for Mac only supports formal release versions. Microsoft Insider preview versions are not supported.

  

If a host creates a WebEx series meeting in Outlook 2016 for Mac and changes one occurrence to an exception, then cancels the WebEx for the exception, the appointment cannot be closed if the host later edits the series from Outlook 2016 for Windows where the calendar time zone is different from the Outlook for Mac's time zone, even if the email body is updated.

  

If a host in Outlook 2016 for Mac allows scheduling on behalf of a series meeting from Outlook for Windows, then the host changes one occurrence to an exception (e.g., edits the password, time, topic, etc.), this exception will be updated although Outlook for Windows only updates series meeting.

  

Productivity Tools  version

   

Your Productivity Tools version  must be version 2.40 or later in order to work with this version of the product. 

  

Installation privilege errors

   

Users manually installing Productivity Tools using a DMG package must have iOS administration privileges.

  

iOS administration privileges are mandatory to automatically upgrade Productivity Tools.

  

Mass deployment of Productivity Tools is not supported on the Mac.

  

Lockdown

   

Productivity Tools doesn’t support to lockdown to a specific version once automatic upgrading is enabled.

  

Some customers may stay on a specific Productivity Tools version by disabling the automatic upgrade option. However, Cisco may ask all Productivity Tools users to upgrade to a minimum version if security compliance is necessary. This is an option that can be enabled by Cisco administrators.

  

Default meeting templates

If the First attendee to join will be presenter option is enabled in Site Administration, this option will be enabled by default in the meeting scheduler on your WebEx site. It will also be enabled in the default meeting template that you use in WebEx Productivity Tools for scheduling WebEx meetings with Microsoft Outlook. Custom meeting templates that have been created by users will not be impacted. If a host schedules meetings using custom templates and wants to have the first attendee to join the meetings automatically become the presenter, the host will need to manually enable the setting in the custom templates.

* If CMR Hybrid is enabled on the site, only one email invitation template is available for CMR Hybrid meetings, WebEx-only, Personal Conference, and Audio-only meetings, and it is the attendee version that does not contain the host key and host access code.

In the Mac version of WebEx Productivity Tools, only one email invitation template is available for CMR Hybrid meetings, WebEx-only, Personal Conference, and Audio-only meetings, and the attendee version that does not contain the host key and host access code. However, the host can select a link in the email invitation to view host information on the meeting information page after logging in to their host accounts. Hosts can also select Preferences within the WebEx Productivity Tools menu to view their audio information, if required. This information is also available on the WebEx site in the Audio section of the Preferences page.

In WBS29.13, the Windows version of WebEx Productivity Tools regained the ability to have two separate email templates, but The Mac version of WebEx Productivity Tools still uses a single email template, so if a host edits older meetings with the Mac version of Productivity Tools that were created from the version WBS29.13 or later Windows version of WebEx Productivity Tools, due to Mac version's limitation to one single email template, a new email template will be generated with new content based on the single unified email template for both host and attendees. In addition, if a host forwards a WebEx meeting through the Forward command in Microsoft Outlook, Windows Productivity Tools will not be able to identify host's forwarding behavior and will send an email invitation with the attendee view instead of the host's own email invitation.

  

WebEx Productivity Tools do not support the %Meeting Date% parameter in the invitation email body. The meeting date and time should be handled by the calendar system.

Email invitations that  require registration

   

If a meeting host updates a  meeting that requires registration, all attendees receive an updated invitation that  includes a link to register for the meeting, including the attendees who have  already registered.

  

Recurring meeting  support

     

Users cannot add a WebEx meeting  to a single occurrence of a recurring meeting series if the recurring meeting series  does not have a WebEx meeting added to it. In addition, changes to a single  occurrence of a recurring CMR Hybrid (WebEx-enabled TelePresence) meeting series are  not supported. See CMR  Hybrid (WebEx-enabled TelePresence) integration issues below and in Known Issues/Limitations  for Windows for additional information about recurring meeting  limitations for CMR Hybrid meetings.

  

Missing meeting links

   

The meeting link does not appear when opening an ICS invitation in a Windows text editor if the meeting was scheduled using WebEx Productivity Tools for Mac. This is a known issue acknowledged by Microsoft.

  

WebEx site URL change

If a user signs in to WebEx Productivity Tools with a new WebEx site URL after the WebEx site has been renamed, he or she is not able to edit the meetings that were scheduled with the previous WebEx site URL.

CMR Hybrid meeting change

   

If a host using the Mac version of Productivity Tools schedules a CMR Hybrid meeting  and schedules a TelePresence room, and then the host drags the meeting to a new  start time on the calendar or add a new Telepresence room there may be a problem if  the TelePresence room is already booked for the time. As a result, the Cisco  TelePresence Management Suite (Cisco TMS) server is not able to update the meeting  because of the conflict. In addition, the WebEx meeting cannot be moved back to the  original start time.

  

WebEx video issues

   

For meetings enabled for WebEx video conferencing, when a user adds a TelePresence room as a room resource to a meeting series that has one or more exceptions, the meeting times for the exception meetings will be the same as the meeting time for other meetings in the series.

  

Site administration options for Productivity Tools

In the Site Administration tool, on the Productivity Tools page, the options under "Installation Options" and "Integrations" apply only to the Windows version of WebEx Productivity Tools. They do not affect the Mac version Productivity Tools. In addition, the only integration that is available for the Mac version of Productivity Tools is the integration to Microsoft Outlook.

Microsoft Outlook support

The Mac version of WebEx Productivity Tools has the following known issues and limitations for Microsoft Outlook support:

    WebEx Productivity Tools does not support having more than one version of Microsoft Outlook installed on the same computer.

      

  •  

    Only meetings scheduled from WBS29.8 or later are supported. Meetings that were scheduled with earlier versions of WebEx centers are not supported.

      

  •  

    Meetings from Cisco WebEx Meetings Server are not supported.

      

  •  

    Some known issues may occur with WebEx Productivity Tools using Microsoft Exchange Server2007 and Microsoft Outlook for Mac.

      

  •  

    If a user is updating the WebEx meeting on the Outlook calendar view instead of the editing window of the occurrence, some issues will occur because some Outlook behaviors are not under WebEx Productivity Tools' control in the Calendar view.

      

  •  

    If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling meetings on behalf of the first user edits that meeting using Microsoft Outlook 2013, the meeting email invitation will show the WebEx information for both the original meeting and the edited meeting.

      

  •  

    If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling meetings on behalf of the first user edits that meeting using Microsoft Outlook 2013 to change the meeting topic, date, or time, the user will see a message indicating that Microsoft Integration to Outlook cannot locate the WebEx meeting information because the meeting is being edited, and selecting either OK or Cancel will update the meeting with incorrect information.

      

  •  

    If a user schedules a meeting in Microsoft Outlook 2016, and then later, that user or a user who is scheduling meetings on behalf of the first user edits that meeting using Microsoft Outlook 2007, the user will see a message indicating that he or she does not have appropriate permissions to edit the meeting and will not be able to save the change.

      

  •  

    Meeting times are not displayed correctly in email invitations for a meeting series. This is because the parameter %MeetingDate% is not supported. We recommend that you do not add this parameter to display the meeting date when customizing email templates.

      

  •  

    In Microsoft Outlook 2016, an exception meeting opens when a user right-clicks an exception and selects Open > Open Series.

      

Sign-in and sign-out process

 
  •  

    For some circumstances, Productivity Tools for Mac might redirect the user to the WebEx site to log in again and change his or her password.

      

  •  

    Productivity Tools for Mac supports enterprise single sign-on users; however, because there is no single sign-out service from the enterprise site, the user can only switch his or her account when the single sign-on token has expired.

      

  •  

    Before single sign-on users first log in to WebEx Productivity Tools for the Mac, they must go to the WebEx site to accept the site certification manually with Safari.

      

CMR Hybrid (WebEx-enabled TelePresence) integration issues

For CMR Hybrid meetings, email templates are supported in English only on both Windows and Mac.

The same issues that exist for the WebEx-enabled TelePresence integration (CMR Hybrid) for the Windows version of WebEx Productivity Tools also apply to the Mac version. For more information about these issues, see CMR Hybrid (WebEx-enabled TelePresence) integration issues in Known Issues/Limitations for Windows.

Hosts  who are enabled for CMR Hybrid but do not have the WebEx setting in their Cisco  TelePresence Management Suite (Cisco TMS) will not be able to schedule  TelePresence-only meetings using WebEx Productivity Tools.

Although  recurring meeting exceptions for CMR Hybrid meetings are now supported in WebEx  Productivity Tools. Orphan meetings are not yet supported. For example, you cannot add a WebEx  meeting and TelePresence rooms to a single occurrence of an Outlook-only meeting  series. If you want to make these features available for a single occurrence, you  must make the whole series a WebEx and TelePresence meeting.

  

In the  Mac version of WebEx Productivity Tools, if the host has scheduled a CMR Hybrid  meeting and has saved it and sent invitations to all attendees, and then later edits  that meeting to add or delete one TelePresence room from the email address field,  all original attendees will automatically receive an update. This is unexpected  behavior, because usually Microsoft Outlook asks if you want to send an update only  to the changed attendees or to all attendees.

If the  host removes an invitee or TelePresence room from a single occurrence of a recurring  meeting series, they will be removed from the whole meeting series. This issue  occurs due to standard Microsoft Outlook behavior for the Mac.

Active Directory Federation  Services (ADFS) Single Sign-On 2.0 Support for Safari

   

Due to a known issue with Apple,  Mac Productivity Tools users cannot sign in using single sign-on based on Active  Directory Federation Services (ADFS) 2.0 for Mac OS 10.10 to Mac OS 10.10.3 from  either the Safari browser or WebEx Productivity Tools for the Mac; however, this  problem is resolved with Mac OS 10.10.4 and later.

  

Desktop icons

In the Danish and Turkish versions of WebEx Productivity Tools, the desktop shortcut icon and the tooltip for that icon both appear in English.

Known Interoperability Issues between  Windows and Mac

The following issues occur with the interoperability between the Windows and Mac versions of WebEx Productivity Tools:

  
  •  

    If a meeting series has exceptions that were scheduled with the Windows version of WebEx Productivity Tools, or if a meeting series and its exceptions were updated with the Windows version of WebEx Productivity Tools, Mac Productivity Tools Users will not be update the meeting series.

      

  •  

    Any meeting that is scheduled or updated with the Windows version of Productivity Tools cannot be canceled with the Mac version of Productivity Tools, whether it is a meeting series with no exceptions, a meeting series with exceptions, a single exception to a meeting, a single occurrence of a meeting series, or a single meeting.

      

Lotus Notes

Lotus Notes is not supported in the Mac  version of WebEx Productivity Tools.

XenApp Support
