Schedule a Meeting from Your WebEx Site

       
1    Visit the URL for your WebEx site, and sign in to your account.
2    Select the Meeting Center tab.
3    In the navigation tree, expand Host a Meeting and then select Schedule a Meeting.
4    On the Schedule a Meeting page, set the options for your meeting and then select Schedule Meeting.

To set advanced options for your meeting, select Advanced Scheduler.

Start an Instant Meeting from Your WebEx Site

           
1    Visit the URL for your WebEx site, and sign in to your account.
2    Select the Meeting Center tab.
3    In the navigation tree, expand Host a Meeting, and then select Meet Now.

A message appears to notify you that WebEx creates instant meetings in your Personal Room. The message also includes the URL for your Personal Room.

4    (Optional) If you want to see the message again, uncheck the Don't show me this again check box.
5    Select Meet Now.

WebEx starts a meeting in your Personal Room.

6    Select Invite and Remind.
7    To send a "Join me now in my Personal Room" invitation email, select Invite with your local email.

WebEx creates an email template that contains all of the required meeting information.

8    Add the email addresses of the people who you want to invite, and then select Send.

Start an Instant Meeting from Your Personal Room

         
1    Visit the URL for your WebEx site, and sign in to your account.
2    Select the My WebEx tab.
3    Select Start Meeting.

WebEx starts a meeting in your Personal Room.

4    Select Invite and Remind.
5    To send a "Join me now in my Personal Room" invitation email, select Invite with your local email.

WebEx creates an email template that contains all of the required meeting information.

6    Add the email addresses of the people who you want to invite, and then select Send.

Add Alternate Hosts on Your WebEx Site

           
1    Log in to your WebEx site and go to Host a meeting > Schedule a meeting..
2    There are two available schedulers.
  • Quick Scheduler > Schedule a Meeting.
  • Advanced Scheduler > Invite Attendees.
3    (Optional) Check the Let anyone with a host account on this site host my meeting check box, and then go to Step 7.  

If you prefer to have more control over who can host your meetings, go to Step 4.

  
4    On WBS32 WebEx sites, enter attendee email addresses into the Attendees box, press Enter and click for each person you want identified as an alternate host, then go to Step 7. On other WebEx sites, select Use address book (Quick Scheduler) or Select Attendees (Advanced Scheduler).
5    In the Select Attendees dialog box, select the source from which to choose attendees (for example, Personal Contacts).
6    Select your contacts, and then select Alternate Host.  

The specified contacts appear in the list on the right, under the Alternate Host category.

  
7    Select OK.
8    Review your meeting details and then select Start or Schedule Meeting.

Set up a Recurring Meeting

You can schedule meetings to occur regularly: daily, weekly, monthly, or yearly. You can set up the recurrence while you schedule the meeting, either from Outlook or from WebEx. To schedule a recurring meeting with WebEx, switch to the Advanced Scheduler.

           
1    Visit the URL for your WebEx site, and sign in to your account.
2    Select the Meeting Center tab.
3    In the navigation tree, expand Host a Meeting and then select Schedule a Meeting.
4    On the Schedule a Meeting page, select Advanced Scheduler.
5    On the Required Information page, set the options for your meeting and then select Next.
6    On the Date & Time page, choose the Recurrence option for your meeting.
7    (Optional) Select Next and continue through all of the advanced options pages.
8    Select Schedule Meeting.
