WBS31.17

Cisco WebEx App Available for Slack

  

Cisco WebEx is now available for Slack. You can add this app in a Slack channel and quickly share a Cisco WebEx meeting or Personal Room URL with your team.

WebEx Site Administration

   

Change Log Export

  

The WebEx Site Administration settings change log can be exported in CSV format. Administrators can export the report by clicking Reports > Common > Site Config Audit Log.

  

In this version, the change log tracks most of the changes made in Configuration > Common Site Settings > Options. Note that some options and settings on this page are not tracked. A partial list of tracked site options is as follows:

Cisco WebEx Productivity Tools

   

Update Scheduled Meetings after Cisco WebEx Site is Renamed

  

Previously, if a site’s name changed, for example, after an upgrade or a change to the site URL, meetings that were scheduled with the old name could only be edited when the user signed in with the old site URL.

  

Now, Productivity Tools tracks the relationship between the old and new site names, and users can edit and update meetings after signing in to the new site.

  

Cisco WebEx Web App 3.0

   

Event Center Attendee Support for WBS32.5 and later

  

Introducing join support for Event Center attendees!

  

Customers who currently have the WebEx Web App enabled on their WBS32 site now see the “Join by browser” link on Event Center join pages as well.

With the Cisco WebEx web app, you can join WebEx meetings—and now events—fast, without installing anything (no plug-ins) on your computer. Like Meeting Center, this version is currently for attendees only. Cisco WebEx Meetings 9.14 for Android

   

View Participant Video and Names

  

Participant video and participant names are now visible in Android when they come from Telepresence systems within the same WebEx Meeting Center Video Conferencing-enabled meeting. Also, other participants can now see the Android user’s video and name.

  

This aligns with video multi stream functionality introduced in a previous version of WebEx Meeting Center.

  

Limited Chromebook Support WebEx Meetings for Android can now join and start Meeting Center meetings, Event Center events, and Training Center sessions on supported Chromebooks.

  

Some limitations apply:

    Cannot send video if the camera is occupied by another app in the Chromebook

      

  •  

    Shortcuts in Chromebook are not active

      

  •  

    Does not support cross launching from browser

      

  •  

    Does not support EC / TC registrations

Password Recovery from the App

  

You can now recover your password directly from the Meetings app for non-secure-sign-on (SSO) sites.

  

Support for Other Telephony and Legacy VoIP

  

Previously, for TSP non-hybrid sites, Android audio preferences only supported no Telephony with integrated VoIP. Now, Android audio preferences allow support for Telephony or other Telephony with integrated VoIP.

  

Cisco WebEx Meetings 9.14 for iPhone, iPad, and Apple Watch

   

Touch ID Sign-in Support

  

With this release, the Meetings app now supports iOS Touch ID sign in for non-SSO sites.

  

Support for the iPad Pro 10.5

  

With this release, the Meetings app now supports the iPad Pro 10.5.

  

Support for Sixth-Generation iPod Touch

  

With this release, the Meetings app now supports the sixth-generation iPod Touch.

  

Notifications After a Daylight Savings Time (DST) Change

  

If a Daylight Savings Time (DST) change occurs, but users have not opened their Meetings app, meeting notifications will still keep the original time string. Now, iOS users will receive a notification to refresh their meetings notification list when a DST change occurs so that notifications are adjusted to the new time.

Cisco WebEx Meeting Center

   

Speaker Video in MP4 Recordings

  

MP4 recordings can now also include the speaker’s video. When MP4 recordings of a meeting that use WebEx Meeting Center Video are downloaded and played, or played on a mobile device, the speaker’s video is now included.

  

Note


 

This option is disabled by default, as the additional information stored with recordings results in increased storage requirements for recordings. This option can be enabled by your site administrator.

  
  

Schedule a Cisco WebEx Personal Room Meeting with your Google Calendar

  

With Cisco Calendar Service, you can schedule WebEx Personal Room meetings using @webex in Google Calendar. This integration makes it easy to schedule and join your WebEx meetings by auto-populating calendar invites with the meeting information. No plugins are required.

Google Calendar requires the Cisco Calendar Service and WBS31.12 or later.

  
  

Meetings in Personal Rooms Automatically Locked Based on Security Settings when Started from Video Systems and Phones (Notice Only)

  

We are providing up front notification of a significant change in behavior that will be enabled in October 2017. Please update your users of this change ahead of time to prevent disruption in your meetings.

  

Previously, if Automatic lock was enabled in Personal Room settings, meetings would not be automatically locked if hosts started the meeting from video systems or phones.

  

Now, meetings will be automatically locked, even if the host starts the meeting from a video system or a phone. This results in a better security posture for your meetings.

  

Please note, if you setup auto-lock to 0 minutes after meeting start, as a host on a video systems or a phone, you will not be able to admit anyone into the meeting, since no meetings controls are available. This will be addressed in a future release.

Polish Language Support for Audio

  

Cisco Webex now supports Polish language audio prompts for WebEx audio customers.

  

WebEx Administration

   

French Canadian Translations for Products and Pages

  

Page and product names that are not trademarked in Canada are now translated to French for French Canadian users.

  

Productivity Tools

   

Improved Personal Room Performance

  

The performance has been improved when scheduling and updating Personal Room meeting. Actions that took 5 or more seconds to complete now take 1 second.

  

In addition, meeting information is pre-populated before the meeting request is sent.

  

Note


 

When a Personal Room URL is changed either from Site Administration or from host preferences, the host must sign in to Productivity Tools again, or manually refresh in Productivity Tools preferences for it to synchronize.

Flip and Display Device Camera in Full Screen

  

You can now flip your device camera and bring it to full screen mode in any WebEx scenario. This improves the usability for attendees wearing smart glasses, or who want to show remote participants their physical surroundings, such as whiteboards or documents.

  

Cisco WebEx Event Center and Training Center Sessions in Widget Calendar

  

Widget users can now see Cisco WebEx Event Center and Training Center Sessions in their widget calendar.

  

Cisco WebEx Meetings for iPhone and iPad 9.13

   

Microsoft One Drive Support

  

The Meetings app now supports Microsoft One Drive content sharing for personal account users.

  

Centralized Control Bar

  

The in-meeting experience now has a simplified control bar for centralized access to all in-meeting functions.

  

Automatic Device Mute

  

You can now set your preferences so that your device automatically mutes for every meeting you join from that device.

  

Login and Password Recovery from the App

  

You can now recover your login information or password directly from the Meetings app.

Cisco WebEx Meeting Center

   

Phone Numbers Stored in Account Preferences

  

Hosts who visit their WebEx site for the first time are presented with a pop up encouraging them to store their “Call Me” number in account preferences.

  

Unified Participant List across WebEx, Spark and Video Systems

  

This feature only applies to MC-25 based sites, and only when those sites have turned on Cisco WebEx Meeting Center Video (formerly CMR Cloud).

  

Users joining meetings using Spark applications and Spark devices (such as the Spark Room System or Spark Board) are now able to see the full meeting participant list, including users joining from WebEx applications and telephones.

  

Previously, users on Spark applications and devices could only see other Spark users and video systems in their people list.

  

Productivity Tools

   

Performance Improvements in WBS32.1

  

In WBS32.1, we announced performance improvements to many aspects of the interface while using Productivity Tools.

  

Improvements in performance are as follows:

Cisco WebEx Web App 2.8

   

Improved Avatars

  

Avatars for users who do not have profile pictures now correctly display the first initials of the first and last users’ names.

  

Improved Error Messaging When Joining via the WebEx App for Chrome

  

The error message in the WebEx App for Chrome when joining by meeting number has been updated to explain that this app is only for attendees who are joining WebEx meetings that use Cisco WebEx Meeting Center version WBS30 or later.

  

The following types of WebEx meetings are not supported:

Cisco is happy to announce an expansion of the call-back country coverage included in the Toll Plus International flat-rate per month offer for WebEx audio. Call back coverage in this offer will be expanded to include Albania, Argentina, Australia, Austria, Bahamas, Bangladesh, Belgium, Bermuda, Brazil, Canada, Chile, China, Colombia, Costa Rica, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Georgia, Germany, Greece, Hong Kong, Hungary, Iceland, India, Indonesia, Iraq, Ireland, Israel, Italy, Japan, Jordan, Kazakhstan, Latvia, Lithuania, Luxembourg, Malaysia, Mexico, Moldova, Netherlands, New Zealand, Norway, Pakistan, Panama, Paraguay, Peru, Poland, Portugal, Puerto Rico, Romania, Russia, Singapore, Slovakia, Slovenia, South Africa, South Korea, Spain, Sweden, Switzerland, Taiwan, Thailand, Turkey, United Kingdom, U.S. Virgin Islands, United States, Uzbekistan, Venezuela, Vietnam. (Note: There are no changes to the dial-in coverage included in the offer.)

  

This change will be made effective by the end of June 2017. The change is automatic and will be inherited by all existing Toll Plus International customers and applies to all licensing models (named user, employee count, and active user). There is no change to billing, pricing, or ordering processes.

WebEx Site Administration

   

Single-Click Join for Microsoft Lync Users

  

A new parameter was added to Site Administration to allow easy construction of a join link for Microsoft Lync users. Email invitations for meetings using WebEx Meeting Center video scheduled in Cisco WebEx Productivity Tools can now contain a link that launches a WebEx meeting or Personal Room for Lync users.

  

The site administrator can manually configure the parameter LyncURI to insert a Lync join SIP URL to these email templates:

Deactivation Emails now Enabled by Default

  

As we previously announced, site administrators can configure warning email messages to users whose accounts are going to be deactivated soon. Previously, this feature was disabled by default. With this release, this feature is now enabled by default, with a 7-day warning period.

  

Cisco Productivity Tools

   

Productivity Tools Compatibility Information

  

Productivity Tools compatibility information is now displayed on the Productivity Tools download page. This provides better understanding of which versions of Productivity Tools are compatible with the different WBS versions.

  

Cisco WebEx Web App 2.7

   

Improved Divider Control

  

Control over the view of shared content was improved. You can now drag the center divider all the way to the right to automatically collapse the right panel and extend the shared content. To reopen the right panel, drag the divider back towards the left.

  

Country Codes in the Country Selector

  

In the audio Call-me menu, you now see the country code (for example, "+11") next to the flag icon in the country drop down list.

  

Updated Microphone and Camera Access Instructions in Firefox 53

  

The instructions to grant Mozilla Firefox permission to access your camera/microphone have been updated to align with Firefox version 53 and later.

  

Cisco WebEx Meetings for Android 9.11

   

Higher Resolution Videos

  

The user experience was improved with higher resolution display for in-meeting videos. Resolutions up to 720p are now supported on Android.

  

Improved Performance Starting and Joining Meetings

  

The time required for meetings to start and to join meetings was reduced by up to 4 seconds.

  

Callback to Video System Officially Supported

  

The option Find video system is no longer in beta, and is now officially supported.

  

In a previous release, the user experience was improved with the addition of a new callback option that provides a quick and easy meeting connection to a local video system.

  

The new option Find video system detects and connects with nearby video systems, provided the systems are proximity-enabled and registered to an on-premise system.

  

Widget Shortcuts

  

You can now add a 1x1 widget to your home screen, to easily join WebEx meetings or Personal Rooms. This feature is for Meeting Center meetings only.

Home Screen Join Notifications Controlled from App Settings

  

iOS users can now easily enable and disable their home screen join notifications directly from their app settings screen.

  

Embedded Safari Browser for Single Sign-on Support

  

The join experience is quicker, and cross-launching to an external browser is no longer needed now that the browser is embedded into the WebEx app using Safari View Controller. WebEx Single Sign-on (SSO) sign in launches within the Meetings app. Personal Rooms also now launch from within the app.

  

Callback to Video System Officially Supported

  

The option Find video system is no longer in beta, and is now officially supported.

The user experience for the Global Call-in List dialog was improved by changing the wording to improve clarity. A new message was added to provide instructions on what to do if your country is not listed.

Reduced Buffering Times for Advanced Recording Format Files

  

The experience of playing back large WebEx Advanced Recording Format (ARF) files online was improved by reducing the network-based recording (NBR) file buffering time.

More Help for Scheduling Another User’s Meetings

  

The user experience when scheduling a meeting on behalf of another user was improved. In cases where users don’t have sufficient privileges to schedule another user’s meetings, users are now provided with a link inside a popup message to instructions on how to assign delegates and set permissions to use this feature.

  

Periodic Upgrade Prompts for Mac Users

  

For Mac users, if your site administrator has enabled automatic updates, you will now periodically receive prompts to upgrade your version of Productivity Tools until they are upgraded.

  

Improved Sign-in Workflow for Windows Users

  

The workflow for Windows users signing in Productivity Tools was improved to align with the sign-in workflow for Mac Productivity Tools. Now, users enter their email address to begin signing in. Also, this now allows users to sign out of Productivity Tools.

  

Improved Performance When Microsoft Outlook is in Online Mode

  

The time required to open, schedule, and update meetings when Microsoft Outlook is working online was reduced. This performance tuning reduced the time required to open or update WebEx meetings in an Outlook calendar, or schedule a WebEx meeting when Outlook is in online mode.

Better Recording Screen Description

  

The description of the default MP4 recording screen when no content is being shared was updated so that it now shows the title of the current meeting and the host name. Below the meeting title and host name, it displays a message that no content is being shared.

WBS32.0 version of Productivity Tools

  

Your Productivity Tools are being upgraded to version 32.0 All features are compatible with version WBS31.12.

  

Enhanced Navigation (Windows only)

  

If you are a Microsoft Windows user, you are now able to use only the keyboard to highlight and select days on the calendar within Cisco WebEx Productivity Tools. You can then view meetings on the selected day.

  

More Customizable Email Templates

  

The following two Productivity Tools email templates are now more customizable:

Account Deactivation Email Messages

  

Site administrators can now configure warning email messages to users whose accounts are going to be deactivated soon. If this option is enabled, the site administrator can indicate how long before account deactivation the warning email messages are sent.

  

Cisco WebEx Web App 2.5

   

Improved Video Join Experience

  

The Cisco WebEx Web App now remembers the video option you chose in your previous meeting.

  

If you previously chose no video, you are not prompted to choose the video type, though you can turn it on at any time from the control bar.

Cisco WebEx Training Center Sessions and Event Center Events in the Meeting List

  

Cisco WebEx Training Center sessions and Event Center events that you are a participant in now appear in your meeting list along with your Meeting Center meetings.

  

Broadcast Updated Meetings List

  

The Meetings API for the Android app was changed so that when there are updates to the meeting list, the app broadcasts a message to third-party apps. Other apps can then use the Meetings API to retrieve the updated list.

  

Google Pixel Support

  

The WebEx Meetings app for Android now supports Google Pixel phones.

  

Cisco WebEx Meetings for iPhone, iPad, and Apple Watch 9.9

   

Attendee Polling Support

  

Attendee polling is now supported in Meeting Center, Event Center, and Training Center for iPhone and iPad.

  

Latin Spanish Support

  

Latin Spanish Language is now supported for iPhone and iPad.

  

Apple Watch Series 2 Support

  

WebEx Meetings now supports the Apple Watch Series 2.

  

IBM Connections Cloud Support

  

WebEx Meetings for iPad and iPhone now support sharing content from IBM Connections Cloud.

Cisco WebEx Meeting Center and Training Center

   

Share Multimedia

  

Now, hosts can share web-based multimedia through the Multimedia Viewer (formerly called the Media Viewer) in Meeting Center and Training Center. This provides consistency with the functionality in Cisco WebEx Event Center. The Multimedia Viewer can be used to support third-party closed captioning services that offer streaming live text or a sign language interpreter video feed from a URL.

  

The Multimedia Viewer can now be enabled or disabled at the site level by the site administrator.

  

All WebEx Centers

   

New Technical Support Phone Numbers

  

New technical support phone numbers, including global technical support numbers, are now displayed across all WebEx products. The old technical support numbers will continue to work for a limited time, but users are encouraged to start using the new numbers.

  

Cisco WebEx Productivity Tools

   

Host-Only Information Now Displayed

  

Meeting details are now displayed more clearly when hosts start a meeting. Hosts can now view host information in the WebEx group of the meeting or appointment ribbon in Microsoft Outlook. Hosts can select the Host Information icon in the WebEx group on the ribbon to see the host information, depending on the meeting type:

Easier Access to Cisco WebEx Mobile Applications

  

Users now have improved access to the suite of Cisco WebEx Meetings mobile applications. The Downloads section of their site now lists information and links to mobile applications.

  

Unstarted Non-Recurring Meetings Expire in 90 Days

  

If non-recurring meetings are not started within 90 days, they expire. Attempting to start meetings after 90 days will result in an error. Previously, this expiration period was 180 days.

Support for MP4 Videos

Hosts can select the Host Information icon in the WebEx group of the ribbon to see their host information, such as the host key, host audio PIN, or host access code, depending on the meeting type.

  

Add WebEx Meeting Button in Microsoft Outlook Ribbon

  

In the Mac version of WebEx Productivity Tools, the Add WebEx Meeting button is now more prominently displayed in the meeting or appointment ribbon in Microsoft Outlook.

  

Improvement for Meeting Type Changes

  

In WebEx Productivity Tools for both Windows and Mac, improvements have been made for handling meeting type changes. When users try to edit a WebEx meeting in Microsoft Outlook that has a meeting type that is no longer supported, they will see a message explaining that the unsupported meeting type has been automatically replaced with a different meeting type. The users can then select Change Settings or Open Meeting to view and confirm the new meeting type or select a different one.

Enhanced Security when Importing CSV Files

  

Security was enhanced by changing the behavior of imported comma-separated values (CSV) files. Now, when the TelephonyPrivilege field is left empty for a particular user, all telephony privileges for that user are removed.

Enhanced Exported Storage Usage Report

  

The Exported Storage Usage report was improved with the addition of two new columns:

Disable Starting Personal Rooms from Phone

Site Administration Setting to Control How Hosts Leave Meetings

  

Site administrators now have a setting to prevent hosts from leaving meetings without ending them.

  

If this option is enabled in WebEx Administration, the host can select Leave Meeting and the meeting does not end. If this option is disabled, the host does not have the option to leave the meeting, and can only end the meeting or pass the host role to another participant.

Cisco WebEx Meeting Center

   

Pause and Resume Automatic Meeting Recordings

  

Meeting hosts can now pause and resume recordings in meetings where recordings are automatically started. This option is enabled by the site administrator in the Cisco WebEx Administration Tool.

  

Improved Email Notification for Joining Before the Host

  

Attendees can now send an email notification to Personal Room meeting hosts to let them know that people are waiting for the meeting to start, even when it is after the meeting start time. Previously notification email messages were sent only up until the meeting start time.

  

Improved Command for Locking Meetings

  

The user interface within the meeting application was enhanced to clarify locking and unlocking WebEx meetings to maintain consistency with Personal Room meetings:

    The commands in the Meetings menu now say Lock Meeting and Unlock Meeting.

      

  •  

    Locked meetings are indicated with a lock icon at the bottom and the tooltip text, “This meeting is locked.”

      

  

Entering Host PINs for Personal Room Meetings

The Leave Room button in Personal Room meetings has been changed to Leave Meeting.

  

End Meeting Option in Personal Room Meetings

  

The default option for Personal Room hosts to end or leave a meeting is now End Meeting.

  

Alert in Full-Screen View about People in Personal Room Lobby

  

Meeting hosts who are either sharing content or viewing someone else’s shared content in full-screen view in a locked Personal Room, now see a message when someone enters the lobby and is waiting to be admitted. This message persists until the meeting host takes action or dismisses the message.

  

Cisco WebEx Meeting Center Digital Signature

  

When downloading Cisco WebEx Meeting Center on Microsoft Windows XP SP3 and Windows Vista, you may encounter a warning. These Windows versions cannot verify the publisher of Windows Installer (MSI) files. If you try to open an MSI file, you will receive a security warning indicating the file does not have a valid digital signature. We recommend you open the file only if you are certain it is safe.

  

New Video Layout Option Available for Video Systems

  

A new video layout option called 1+N is available for users joining meetings using video systems. This new layout dynamically adapts to meeting size by showing more and more users as they join.

  

This new layout option is added to the end of the list of available video layouts. The default video layout continues to be Active Presence, though users can still use dual-tone multi-frequency signaling (DTMF) controls for far-end camera controls (FECC) to switch to this new video layout.

  

Limited Support for XenApp 7.6

  

XenApp 7.6 is now partially supported in WebEx Meeting Center. There is no support for Call Using Computer audio (VoIP), video, Productivity Tools, Access Anywhere, Remote Access, or Hands on Labs.

  

Cisco WebEx Support Center

   

Enforced Maximum Participants

  

The maximum number of participants in WebEx Support Center is now restricted to 1000. This helps to prevent performance issues and outages.

  

All Cisco WebEx Centers

   

Support for Microsoft Office 2013 and 2016 PowerPoint Notes Panel View

  

Presenters can now view the Notes panel when sharing Microsoft Office 2013 and 2016 PowerPoint presentations.

  

Cisco WebEx Productivity Tools

   

Cisco WebEx Productivity Tools Uninstaller

  

A new command-line tool allows IT administrators to perform a mass uninstallation of all existing Cisco WebEx Productivity Tools installations, regardless of the Productivity Tools version. All Productivity Tools files and folders are removed without impact on other WebEx components, such as WebEx Meeting Center or WebEx Recorder.

  

Improved User Experience when Updating Meetings

  

The user experience when editing meetings with WebEx Productivity Tools in Microsoft Outlook is improved. Now, when the original meeting type is not available, meeting updates are allowed. Previously, meeting updates were blocked when the meeting type changed or was unavailable.

  

Cisco WebEx Administration

   

Default Automatic Locking Time for Personal Rooms

  

When a meeting is started in a Personal Room, users can optionally indicate how many minutes after a meeting starts that they want the Personal Room to lock, including zero minutes. Now, site administrators have the ability to set the default time for Personal Rooms to lock. This site-level setting applies to Personal Rooms of new users or any users who have not defined their automatic lock setting.

  

Password and Account Information Recovery

  

WebEx site administrators are now able to recover their passwords and account information from the Cisco WebEx Administration Tool sign in page.

  

New Lockout Report

  

Site administrators can now use a new lockout report that shows the locked user accounts and the users’ last three failed attempts to sign in. This new report also allows site administrators to unlock any locked user accounts.

  

Enhanced Meetings in Progress Report

  

The Meetings in Progress report was improved with the addition of a "Meeting Number" column.

  

User Interface Enhancements

  

Several enhancements were made to the WebEx Administration user interface to improve workflow and ease-of-use:

    The left navigation bar item "Users" has been renamed to "User Management" to better explain its purpose.

      

  •  

    The Help button for the Webex Administration page was moved from the top left corner to the top right corner to make it more visible.

      

  

New XML API Functionality

  

Two new XML APIs were added to provide better queries:

    An XML API to get meeting information according to the call-back phone number and call-back start time

WBS31.6

Cisco WebEx Meeting Center

   

Meeting Center Video

  

Third-party video system access into meetings is now a core functionality of Meeting Center. In previous releases, this feature was referred to as CMR Cloud. Going forward, it’s simply “video.” This renaming applies to both SaaS Subscription Annuity and non-SaaS Subscription Annuity offers.

  

Alternate Hosts for Personal Room Meetings

  

Meeting hosts now have the ability to assign alternate hosts for Personal Room meetings. This option is controlled by the site administrator and is enabled by default.

  

In the Preferences page, hosts can specify other users who can be alternate hosts for their Personal Room meetings. These alternate hosts must have a host account on the same site as the host. If the host does not start the meeting, one of the alternate hosts can start the meeting.

  

Alternate hosts see a message on the host’s Personal Room page indicating that they are alternate hosts, and they see the Start Meeting button instead of the Join Meeting button.

  

If the host makes an attendee an alternate host, and that attendee is already waiting in the lobby, the meeting will start automatically as long as the attendee is already signed in. If the attendee is not signed in, he or she will be prompted to sign in first in order to start the meeting.

  

Note: Alternate hosts cannot start a meeting from video systems or applications.

  

Alternate Hosts for Meeting Center Meetings

  

When scheduling a meeting, the host can select an option to allow anyone with an account on the site to host the meeting instead of having to specify alternate hosts individually by name. If the host does not start the meeting, the first attendee with an account on the site can start the meeting. If the host starts the meeting, and then locks the meeting, all attendees who have not already joined, even those who have an account on the site, will be locked out of the meeting and will remain in the lobby until they are manually admitted by the host. This option is controlled by the site administrator and is enabled by default.

  

Note: Alternate hosts cannot start a meeting from video systems or applications.

  

Enhanced Personal Room Experience

  

The Personal Room page now appears more modern and welcoming. The top bar automatically hides when not in use to maximize the available area on the screen, but users can show the top bar again by pointing to the arrow at the top of the screen. The Home tab now defaults to the Personal Room (for sites that do not have the Personal Room feature enabled, the Home page still prompts the user to enter a meeting, event, or session number).

  

Personal Room Host PIN

  

In order to support the new functionality of being able to start meetings by phone, all Personal Rooms now have a host PIN (personal identification number) if the site supports video (formerly referred to as “CMR Cloud”) or WebEx Audio. If video is already enabled for a site, or if the site already has an audio PIN, the Personal Room host PIN does not change from the previous version. For sites that do not have a Personal Room PIN, one is automatically assigned, with an option to change it.

  

Both the audio PIN and the host PIN can be used to start a Personal Room meeting by phone unless the host PIN length is longer than four digits.

  

Site administrators can adjust the number of digits that Personal Room host PINs can be, with a default of four digits. Site administrators can suspend an account in case there is unexpected activity in the account.

  

Start Personal Room Meetings by Phone

  

You can now start your Personal Room meetings by phone without having to sign in first from the WebEx application. When starting a meeting by phone, you first enter the access code of the meeting. You are then prompted to enter your host PIN and press pound to start the meeting. Attendees are prompted only to press pound, and if the host has already started the Personal Room meeting, they will join it; if it hasn’t started yet, they will wait in the lobby.

  

The host PIN is included in the meeting details that are viewable by the host. It is never included in meeting invitations.

    Alternate hosts cannot start Personal Room meetings by phone.

      

  •  

    You cannot lock or unlock meetings by phone, so meetings that are set to lock automatically must be started using the WebEx application.

      

  

Personal Room Security Enhancements

  

Two new features provide better security for Personal Rooms. Both features are disabled by default and can be enabled by site administrators.

  
  •  

    Unauthenticated Users Admitted Manually

      

    A new site administration option allows attendees who have signed in to enter an unlocked Personal Room, but requires unauthenticated attendees to wait in the lobby of the unlocked Personal Room until the host manually admits them. Site administrators can also make an exception to that option to allow unauthenticated attendees to enter an unlocked room if they have signed in recently within a specified time period (the default is two weeks).

      

    When the host starts a locked meeting, the host sees a list of attendees waiting in the lobby that indicates who has signed in and who has not. When the host starts an unlocked meeting, the list of attendees waiting in the lobby shows only people who have not signed in, because people who have signed in are admitted automatically. In both cases, the host can review the list and choose who to allow into the Personal Room meeting.

      

    Attendees who join from phones or video systems are still able to enter unlocked Personal Rooms.

      

  •  

    CAPTCHA

      

    Site administrators now have the option to require that a CAPTCHA be shown when attendees enter any Personal Room on that site for the first time or when browser cookies have been cleared.

      

  

Enhanced Join Meeting Experience

  

The workflow for joining a meeting was improved to help avoid confusion. An attendee joining a meeting is now shown the audio connection options first, and is then shown the video preview options only after connecting to audio. This reduces confusion by drawing attention to each set of options separately.

  

For attendees who have selected Start my video in all meetings from the video options, the video window displays a message that the video will start when the attendee connects to audio. The video and audio then begin at the same time. Users who don’t want to connect to audio can still start their video from the video options.

  

Cisco WebEx Web App

  

The new Cisco WebEx web app makes joining a WebEx meeting quick and easy. It does not require downloading anything and there are no plug-ins to install.

  

The new web app is intended for attendees only. Hosts and presenters still need to use the desktop app. The web app supports basic functionality for participants, such as integrated audio, viewing shared content, chat, and sending and receiving video (Mozilla Firefox only). Participants can also switch seamlessly to the desktop app at any time during a meeting if they want to share content.

  

While most major browsers are supported, we recommend using Mozilla Firefox for the best meeting experience (including video support). Simply select the Join using browser link on the meeting information page or on your host’s Personal Room page to join.

  

The first-time experience in the web app includes an informative screen introducing the controls in the web app. Meeting controls are located at the bottom of the page, and the controls conveniently slide down out of sight when not in use. The meeting window is large and centrally placed to offer the better use of available screen space.

Multiple Language Installer (Windows Only)

  

Site administrators who want the ability to install the Multilanguage WebEx Meeting Center application can make a request to WebEx administrators to enable this feature. The Multilanguage WebEx Meeting Center application installation file may be useful for deploying to systems where language switching is required, or in large enterprise environments using Virtual Desktop Infrastructure (VDI).

  

Accessibility Improvements (Windows Only)

  

Meeting details are now readable by screen reader software in the Windows version of the WebEx Meeting Center application. Visually-impaired people can now hear text, links, and actionable elements in the following areas:

User Interface Improvements for Mac Users

  

Enhancements made to the WebEx Event Center application for the Mac provide a cleaner, more modern user interface. Improvements include updated iconography, new button and menu treatment, and a brighter and cleaner color scheme. The functionality remains the same.

  

The device and audio icons are now merged into one column, and the status and tooltip text have been updated.

  

Avatars for Mac Users

  

New avatars for the WebEx Event Center application for Mac provide a more personalized and interactive meeting experience, supporting the video-centric experience, even when not all users are on video. For users on unified WebEx sites, avatars are created from the user’s profile picture. For users on non-unified sites or for users who do not have a profile picture or who are not signed in to a WebEx account, a generic avatar displays with an icon showing the user’s first and last initials. Site administrators can enable or disable the display of avatars in meetings.

  

Reassign Event Center Programs

  

Site administrators can now reassign WebEx Event Center programs from one person to another person who is taking over that role.

Session and Recording Categories

  

Training Center sessions and recordings can now be categorized so that attendees can find specific sessions or recording more easily, and hosts can create new categories and assign items to them. Categories are listed alphabetically, and individual sessions and recordings are shown in reverse chronological order. Categories can also be created at the time a session is scheduled. Categories are optional—it is not mandatory to assign sessions or recordings to a category.

  

When managing categories, the category manager can create or modify the name and description of categories. Categories can be listed (public) or unlisted (private). For listed categories, only the listed sessions and recordings are shown. For unlisted categories, sharing the category URL will show the entire category content of both listed and unlisted session and recordings.

  

When assigning sessions to categories, hosts can choose categories they created or categories other hosts created.

  

Hosts can delete only the sessions that they have created—they cannot delete sessions from other hosts.

  

This feature is enabled by the site administrator. The site administrator can reassign categories from one person to another person who is taking over that role.

WebEx Productivity Tools User Interface Improvements for Windows

  

Enhancements made to the user interface include a modern interface that aligns with other Cisco collaboration products and improves overall user experience for Windows. The updated WebEx Productivity Tools panel provides a cleaner, simplified user interface that is streamlined for easy access to the most common features, including starting a Personal Room meeting and viewing your meeting list. It also provides a simpler and more straightforward sign-in process. The Productivity Tools panel also shows your avatar or the initials of your first and last name.

  

The menu in Microsoft Outlook is reorganized and simplified, with the most frequent menu items at the first menu level. WebEx controls are now automatically inserted into the Outlook calendar appointment window.

  

The WebEx Preferences dialog box replaces the WebEx Settings dialog box, and it is now more consistent with the Mac Preferences dialog box. It has been simplified with a hierarchical menu and the most frequently-used functions on the first level.

  

Personal Room Scheduling with the Mac Version of Productivity Tools

  

You can now schedule a Personal Room meeting in Microsoft Outlook using Productivity Tools for the Mac.

Require Attendees to Have an Account for Instant Meetings

The option Require attendees to have an account on this website in order to join this meeting is now working for instant meetings that hosts start with Meet Now and that use customized meeting templates. When this option is on, only attendees who have accounts on the WebEx site can join instant meetings. When the Require user to have an account when joining by phone site administration option is also enabled, users must add a phone number and audio PIN in their audio preferences before joining from audio devices.

Cisco WebEx Productivity Tools

Video Call-In Ports

Administrators can now set default and maximum video call-in port numbers for CMR Hybrid meetings in WebEx Productivity Tools. This feature allows administrators to have better control over scheduling video resources. If these values are specified, when a host schedules a CMR Hybrid meeting with Productivity Tools, the Add video call-in participants field in the meeting options shows the default value. The host can still enter a different value, but it cannot exceed the maximum value.

CMR Hybrid Meeting WebEx Scheduling Enhancement

When a user schedules a CMR Hybrid meeting in Productivity Tools, the Allow people to join using WebEx meeting option is enabled by default.

Cisco WebEx Site Administration

Adjustable End Time for Unhosted Meetings

Although it is not a good practice to have meetings without hosts, WebEx sites can be configured to allow attendees to join meetings before the host. To prevent any unauthorized access, WebEx automatically ends meetings at a predefined time if the host does not join.

A new parameter is available through a provisioning request that can adjust the end time for unhosted meetings. Contact your account manager to request changes to this parameter.

Manual Installation of Cisco WebEx for Google Chrome Users

For Chrome users who cannot access the Chrome Web Store, the Cisco WebEx extension file does not automatically install when the users join a meeting. Now these users are directed to a help page with instructions to manually download and install the extension file.

Streamlined Mobile Sign-In for Common Identity Enabled Users

If the site you’re logging into is enabled for common identity, the mobile sign-in process is streamlined by prepopulating your email address so that you no longer have to enter it twice.

Mobile Streamed Recording Playback

Streamed MP4 meeting recordings are now available for playback on Apple iPhones and iPads and on Android devices. MP4 meeting recordings are available only for Meeting Center meetings that support joining from video systems (formerly referred to as “CMR Cloud meetings”). Meeting recordings in WebEx Advanced Recording Format (ARF) are not yet available for playback on mobile devices.

Better Participant List Default View

The WebEx in-meeting experience for users who connect to audio and video by selecting the Call My Video System option is now enhanced so that the participant list defaults to list view.

Recover Deleted Recordings

Meeting recording owners can now recover deleted recordings up to 30 days after deletion. After 30 days, the recordings are purged from the recycle bin and no longer occupy storage.

We appreciate and support the diversity of mobile platforms in the enterprise, and our strategy has been to enable all mobile users with WebEx meetings. Our strategy remains to focus our efforts on the major mobile platforms and operating systems that you, our customers, have chosen to use.

With BlackBerry’s introduction of Android on its latest devices, we are announcing end-of-support and sales of the Cisco WebEx Meetings for BlackBerry OS 6, 7 and 10, effective on January 12, 2017.

We are pleased, however, that we will still offer users of BlackBerry devices based on the Android operating system the opportunity to enjoy a great meeting collaboration experience via Cisco WebEx Meetings for Android. We intend to support those existing and future coming Android based BlackBerry devices including the following:

Starting May 2, 2016, eligible Cisco WebEx Meeting Center subscriptions will include the Collaboration Meeting Rooms (CMR) Cloud video conferencing feature at no additional cost. CMR Cloud allows people to meet, collaborate, and stay productive with anyone from any mobile device or standards-based video system, including Microsoft Lync or Microsoft Skype for Business.

CMR Cloud has the following restrictions and requirements:

  • This offer is only available in countries in which both Cisco WebEx and software as a service (SaaS) subscription platforms are available.

     

  • New and renewal customers are eligible. Existing, mid-contract customers are also eligible. However, mid-contract customers must migrate their current contract to SaaS subscription platform to receive this offer. Terms and Conditions of the SaaS subscription platform will apply. If WebEx was purchased through a partner, the partner is responsible to migrate the customer contract to the new SaaS subscription platform

     

  • WebEx Meeting Center and Enterprise Edition with either Named User, Active User, or Employee Count offers are eligible. The CMR Cloud feature is compatible with Meeting Center only, but is not compatible with WebEx Event Center, Training Center or Support Center.

     

  • The site must be on WebEx WBS31.1 release or later.

Simplified Default Meeting Invitation Email Templates

The default meeting invitation email templates for Meeting Center were simplified to reduce redundant meeting information and to separate different methods of joining (joining from WebEx, from video systems, and by phone) into clear sections.

Attendee’s Name in Personal Room Notification Email Message

Hosts no longer see a generic message in the notification email message when someone tries to join their Personal Room while the host. Now, the name of the person who is trying to join appears in the subject line of the notification email message.

Merged alphanumeric and numeric meeting passwords

In earlier versions of WebEx, the meeting information listed both a meeting password, to be used when joining from WebEx desktop applications and WebEx mobile apps, and a numeric meeting password, to be used when joining from phones or from video systems. These passwords have been simplified by creating a direct mapping between the two types. If the meeting password is completely numeric, you will see only one meeting password. If the meeting password is alphanumeric, you will see the regular meeting password first, and a numeric translation of the meeting password, based on US phone keypad conventions, will be listed in parentheses for users who need to enter it from a phone or video system.

Meeting, Event, and Training Session Topic in Italics for Alternate Host in List and Calendar Views

A previous communication incorrectly reported that alternate hosts’ names appeared in italics in the Participants list in the WebEx meeting application. The following is a corrected description is: We have added back the ability for users who are logged in to verify that they are an alternate host for a meeting when viewing their meeting, event, or training session lists and calendars on their WebEx sites. In these views, users who are alternate hosts will see the meeting, event, or training session topic listed in italics.

The device and audio icons are now merged into one column, and the status and tooltip text have been updated.

Avatars

New avatars provide a more personalized and interactive meeting experience, supporting the video-centric experience, even when not all users are on video. Site administrators can enable or disable the display of avatars in meetings.

Automatically Close Cisco Spark Room Creation Page after a Meeting

After ending a meeting, users currently see a page that allows them to either exit or create a Cisco Spark room for their meeting. In previous versions of WebEx, this window would remain open if the user took no action. Now a countdown timer appears after 10 seconds of inaction on the Cisco Spark room creation page. If the user does not take any action after an additional 15 seconds, the page closes automatically.

Screen Reader Improvements for Meeting Application Accessibility

Vision-impaired users can now navigate better within a meeting. The meeting application now has improved support for screen readers, including accessibility improvements for the Meeting Info tab controls, meeting panel controls, and Participants list controls.

Customizable Personal Room Page

You can now customize the Personal Room page to make it feel like your own space, including uploading a different image for your avatar and adding other images to your wall. There is also a new chair image. The new design also makes it easier to join recently visited Personal Rooms, or see who is waiting in your Personal Room lobby.

One Button to Join a Collaboration Meeting Room Cloud Meeting

Joining a Collaboration Meeting Rooms (CMR) Cloud meeting from a Cisco TelePresence system is even easier when scheduling your meetings with Productivity Tools. This functionality requires Cisco TelePresence Management Suite (TMS) version 15.2 or later, and Cisco TelePresence Management Suite Extension for Microsoft Exchange (TMSXE) version 5.2 or later. The TelePresence room must appear in Outlook as a room resource when you schedule the meeting using WebEx Productivity Tools. When it’s time to join, you can now select the Join button from a Cisco TelePresence device.

Video Call-Back for TSP Audio Customers

The video call-back feature is now supported for telephony service provider (TSP) audio. This feature is similar to the standard Meeting Center call-back (or “Call Me”) feature, but it allows attendees to receive a call from the meeting to their Session Initiation Protocol (SIP)-based video conferencing systems to join a Collaborations Meeting Rooms (CMR) Cloud meeting easily. Participants can manage a list of their preferred video addresses so they don’t have to enter the address each time.

Video System Information Merged into Participant Entries

When a participant requests video call-back in a CMR Cloud meeting, the video conferencing system information is merged into the existing participant entry in the meeting. A video system icon appears next to the participant’s name in the Participants list.

CMR Cloud without an Audio Package

To reduce the total cost of ownership for video-oriented users, customers can now order CMR Cloud without adding a public switched telephone network (PSTN) audio package. Audio will be delivered through Voice over IP (VoIP).

Collaboration Meeting Rooms Cloud Support for Skype for Business and Microsoft Lync

Users who are enabled for Collaboration Meeting Rooms (CMR) Cloud can now join CMR Cloud meetings using the Skype for Business and Microsoft Lync applications that are registered to either on-premises Skype for Business Server (or Lync) or Office 365 service. Users need to dial into the meeting using the format <meetingnumber>.<sitename>@lync.webex.com for a scheduled meeting or <hostID>.<sitename>@lync.webex.com for a Personal Room meeting.

Starting with WBS31.0, you no longer have the option to share web content from Share menu.

Single Sign-On Add-Ons

New single sign-on (SSO) add-ons allow hosts of meetings, events, and training sessions to identify which attendees in the Participants list are users who have signed in using single sign-on authentication and which attendees are guests. When scheduling meetings, events, or training sessions, hosts now have the option to require all participants to sign in using single sign-on authentication. Hosts can also restrict attendees to those who were invited directly by the host, preventing other people joining from a forwarded invitation.

When single sign-on add-ons are enabled in Meeting Center, Training Center, and Event Center, participant tagging is available. This feature supersedes a previous participant tagging feature that was available only for Meeting Center. When this feature is disabled, the Meeting Center-only participant tagging feature is still used.

The new option that requires attendees to sign in with single sign-on authentication replaces the Meeting Center-only requirement for attendees to have a WebEx account on the site.

Administrators can use the option Attendees Authenticated from Email Domains to define which domains are considered to be company domains. When an attendee who is signing in enters an email address with a domain that matches one of the listed company domains, that attendee is automatically redirected to the single sign-on server to sign in.

Enforceable Passwords on Recordings

Site administrators can now enforce passwords for network-based recordings to protect against unauthorized access. When passwords are enforced, passwords are automatically created for all new recordings, while existing recordings require a password when the host edits recording information. Recording password criteria can be added as well.

  

Screen Sharing on Android Devices

Meeting participants using Android mobile devices can now share their screens with the Share Screen button. This feature is available only for devices with the Android operating system 5.0 or later and the Cisco WebEx Meetings app version 9.0 or later.

Generate Problem Report

Both Mac and Microsoft Windows users can now generate a problem report from within the WebEx meeting, event, or training application. The problem report is a log file that can be used to make troubleshooting with Technical Support easier.

Users see a dialog box where they can choose to save the report locally as a ZIP file or send the report as an email attachment.

Meeting, Event, and Training Session Topic in Italics for Alternate Host in List and Calendar Views

In this release, we have added back the ability for users who are logged in to verify that they are an alternate host for a meeting when viewing their meeting, event, or training session lists and calendars on their WebEx sites. In these views, users who are alternate hosts will see the meeting, event, or training session topic listed in italic.

User Interface Improvements for the In-Meeting Experience

Enhancements made to the WebEx Event Center meeting application provide a cleaner, more modern user interface. Improvements include updated iconography, new button and menu treatment, and a brighter and cleaner color scheme. The functionality remains the same.

The device and audio icons are now merged into one column, and the status and tooltip text have been updated.

Event Center E-Commerce

Hosts can now generate revenue for events by requiring credit card payments for access to events, programs, and published event recordings.

The E-commerce feature also supports promotion code discounts, which can drive faster adoption of events and webinars. The event fees and promotion codes are set by the host when scheduling the event. Site administrators can use the WebEx Administration Tool to enable and configure e-commerce features, including PayPal settings and promotion codes. Administrators can also generate reports and promotion codes.

Cisco WebEx Training Center

Training Center E-Commerce Enhancements

Training Center has a new e-commerce Transaction Report. Promotion codes (formerly called “coupon codes”) have had several functionality enhancements, including the ability to upload a contact list and the ability to apply the codes to live training sessions, recordings, or both.

Cisco WebEx Productivity Tools

Versioning

The Cisco WebEx Productivity Tools versions are now displayed on the Downloads page. The Productivity Tools installation file that is available for download is the latest supported version for the WebEx site. The installation file is automatically updated when a new Productivity Tools version becomes available. The Productivity Tools version number format is now more consistent with the format for the WebEx site release version.

Both Windows and Mac version numbers are displayed, since platform-specific patches may be applied.

Email Templates (Windows)

Starting with this version, only one email invitation template is available in the Windows version of Productivity Tools (for both Microsoft Outlook and Lotus Notes). Hosts and attendees now receive only the attendee version of the email template; the host version is no longer available. This change eliminates the possibility of host information being sent to attendees. Hosts can still locate their host keys or host access codes by viewing the meeting information on the WebEx site, on the desktop, or in the mobile app. Note that both the integration with Microsoft Outlook 2016 for Windows and the integration with Microsoft Outlook for the Mac already support only the attendee version of the meeting email template.

Customers who are upgrading from WBS30.5 may be aware of the previous Use only attendee version of meeting email template for host and attendees site administration option, which allowed using a single email template. Since all Productivity Tools users now use only one email invitation template, this site administration option is no longer available.

Checking for Updates

If you are able to receive WebEx Productivity Tools updates, you can now see if updates are available by selecting Check for Updates from the WebEx Productivity Tools menu in the Windows taskbar, or the WebEx Productivity Tools menu in the Mac menu bar. A progress indicator appears as the system checks for the latest updates. If an update is available, you can install it immediately.

End of Support

This version of WebEx Productivity Tools no longer supports Microsoft Outlook 2007. Additionally, Yahoo and AOL instant messenger integrations will no longer be supported in an upcoming version of Productivity Tools.

Cisco WebEx Site Administration

Self-Service Branding for Standalone WebEx Sites

The new self-service branding feature for standalone WebEx sites allows customers the flexibility to customize their WebEx site to improve brand awareness. Administrators and partners can change branding elements after provisioning.

The following items can be modified through self-service branding:

  • Header: Logo image, logo link URL, and browser tab title

     

  • Tab navigation: Color scheme for default, hover, and selected tabs and their labels, tab border, and the link for Log In and Log Out

     

  • Left navigation: Color scheme for first- and second-level menu items

     

User Experience Improvements for Standalone WebEx Administration Tool

Several changes were made to the standalone WebEx Administration Tool pages to improve usability and workflow.

Separate Release Schedule for the WebEx Administration Tool

The WebEx Administration Tool now has its own release schedule that is separate from the release of the Cisco WebEx user application.

WebEx Administration Tool User Experience Integration with Cisco Cloud Collaboration Management Portal

For unified sites, the WebEx site configuration pages, report pages, and user management pages are now embedded into the Cloud Collaboration Management portal, and are listed on new index pages.

Cisco WebEx now officially supports Microsoft Office 2016 and Office 2016 for the Mac.

Canadian Anti-Spam Laws Compliance

A compliance statement for Canadian Anti-Spam Laws displays during the installation or upgrade of the following items for all centers:

  • Meeting application installation and updates

     

  • WebEx application installers

     

  • WebEx Productivity Tools

     

  • Access Anywhere and Remote Access

     

Hosts and attendees must accept the compliance statement once during the installation or update.

Recover Username

While signing in to a WebEx site that does not use single-sign-on (SSO) authentication, if you forget your username, you can recover it from the log-in or sign-in screen.

Timeout for Change User Password Reset URL

For improved security, the timeout for the change user password reset URL has been reduced from 72 hours to 24 hours.

Improved Error Messages

System error messages for WebEx site pages are now easier to understand.
