Assign a Delegate on the Webex Site

The integration to IBM Lotus Notes allows you to assign someone else as a delegate to schedule, edit, cancel, and start meetings for you.

The delegate must have a host account and have the Cisco Webex Meetings desktop app installed on their computer.

Both you and your delegate must have your Webex site email addresses matching those in IBM Lotus Notes.


At any time, you can remove the permission from the delegate to manage meetings for you.

Sign in to your Webex site.

If you're in Modern View, go to Preferences > Scheduling. If you're in Classic View, go to My Webex > Preferences > Scheduling Options.

In the Scheduling permission text box, enter the email addresses of the hosts you want to give scheduling permission.

Select Save at the bottom of the Preferences page.

You can decide who has access to your IBM Lotus Notes calendar and what level of access they have.

From the IBM Lotus Notes Calendar, go to Tools > Preferences.

Select the Access & Delegation tab and select the Access to Your Mail & Calendar tab.

Select Add Person or Group.

Select Enter or choose a user/group and select the scroll bar in the text box under section 1 to display the Select Name dialog box.

Choose the person you want as your delegate and select OK.

Choose the level of access your delegate has and select OK.

From the IBM Lotus Notes Calendar, go to Actions > More > Open Person's Calendar.

Select Other and select the host's name.


 

The next time you schedule a meeting for this host, as long as your permissions remain valid, you can select the host's name directly from the Calendar menu.

Select a date and time on the host's calendar.

Select Add Webex Meeting on the top left of the Calendar Entry dialog box.

Schedule the meeting.
