Before someone can schedule meetings for you with the Cisco Webex Scheduler, you need to give them scheduling permissions on your Webex site and Microsoft Outlook calendar.

The delegate must have a host account on your Webex site.

Assign Scheduling Permissions on the Webex Site

Sign in to your Webex site.

Select Preferences > Scheduling > Scheduling Permissions .

In the Scheduling permisssions box, enter the email of one or more hosts you want to allow to schedule meetings on your behalf.

You can select a maximum of 20 hosts.

Click Save at the bottom of the Preferences the page.

Delegate Scheduling Permissions in Microsoft Outlook

In your Outlook calendar, select Share Calendar in the ribbon.

Select Add, and enter the name or email address of the user whom you want to become your meeting delegate.

Under Permissions, select Delegate > OK.

Outlook sends an invite to the user you're sharing your calendar with. They must accept the invite to become your meeting delegate.

In your Outlook calendar, select Calendar Permissions in the ribbon.

Select the +, and enter the name or email address of the user whom you want to become your meeting delegate.

Under Permissions, select Delegate.

Select Add > Done.

Schedule, Manage, and Start a Meeting for Someone Else

Before you begin

  • Make sure that the person whom you are scheduling for has given you scheduling permissions on their Webex site.

  • Make sure that you and the person whom you are scheduling meetings for have installed the Cisco Webex Scheduler add-in for Microsoft Outlook.

  • Make sure that the person whom you are scheduling meetings for has granted you editor access to their calendar.

From your Outlook calendar, go to Add Calendar > Open Shared Calendar.

Select Name, and enter the name or email address of the person whom you are scheduling meetings for.

Select OK > OK. You can now schedule, manage, and start meetings for someone else.
