Webex Teams | Join a Meeting from a Meeting Notification

With the Webex Teams app, you see a meeting notification on your screen 5 minutes before a meeting's scheduled start time. Meeting notifications appear for scheduled Cisco Webex standard meetings, Personal Room meetings, and team meetings. Scheduled meeting notifications are available only if you're using the Hybrid Calendar Service and Microsoft Exchange, Microsoft Office 365, or Google Calendar for G Suite.

You can choose when to receive notifications for scheduled meetings or turn them off by going to your profile picture and selecting Settings > Notifications on Windows or Preferences > Notifications on the Mac.

Click anywhere in the notification to join the meeting. Or click Snooze to get reminded at the meeting start time or to stop getting reminded.

The meeting notification includes the meeting name and a countdown of the time until the actual start time.

The type of meeting you join from the meeting notification determines which app opens:

  • The Webex Teams app opens when you join a Webex standard meeting, Webex Personal Room meeting, or Webex team meeting.

  • The Webex Meetings app opens when you join a Webex and TelePresence meeting (CMR Hybrid meeting) or a Webex event, Webex training session, or Webex support session.

Click Use video system to connect to a video system.

Click Join Meeting.

You can choose when to receive notifications for scheduled meetings or turn them off by going to your profile picture and selecting Settings > Notifications.

Select Device Options and then choose one of the following:

  • My Computer—To connect using your computer audio and video. This option is selected automatically, unless you're connected to a device.
  • Choose a device for audio and video from the Recent Devices list or select Search for a device to search for and select a nearby device to use for audio and video.

    When the PIN displays on the device, just enter it in the Webex Teams app and click OK.


     

    The PIN remains valid for 5 minutes after it first displays. So, if you make a successful connection, you won't be asked for the PIN in any additional attempts within that 5-minute period.

If you selected My Computer, click to choose the audio and video options you want to use:

  • Use computer for audio—Connect using the audio on your computer.
  • Use phone for audio—Call into the meeting or have the meeting call you using a phone.
  • Don't connect audio—Use if you don't want or need others to hear you when you join the meeting. For example, maybe you're joining a meeting in a conference room with other people and not everyone needs to share their audio.
  • Send and receive video—Use if you want to see other people in the meeting, and you also want to share your video too.
  • No video—Select this option if you don't want others to see you when you join the meeting. Keep in mind that you won't be able to see anyone else's video either.

Webex Teams | Join a Webex Personal Room Meeting

If you're asked to join a Personal Room meeting but you don't remember the link, you can still join it easily from that person's contact card.

Go to Spaces , hover over the person's profile picture to see the contact card, and then select Join Personal Meeting Room.

The Join Personal Meeting Room option doesn't appear on someone's contact card if their Webex site is not managed in Webex Teams Control Hub or linked to Webex Teams.


 

Rather than scroll through your Spaces list, you can also see someone's contact card by searching for that person's name. In the search results, hover over the person's profile picture to see the contact card.

You can join a Cisco Webex standard meeting, Personal Room meeting, or team meeting from the green join button in your spaces list.

The join button appears 5 minutes before the scheduled start time. At the scheduled start time, the label changes to inform you that the meeting is starting now. When someone else joins the meeting, the countdown appears on the button and you can see how many people have already joined.

  • The join button appears before the scheduled start time only if you're using the Cisco Webex Hybrid Calendar Service and Microsoft Exchange, Microsoft Office 365, or G Suite for Google Calendar.

  • The join button doesn't appear before the start time for meetings associated with spaces of more than 200 people.

  • If you're joining a Webex and TelePresence meeting (CMR Hybrid meeting) or a Webex event, Webex training session, or Webex support session, when you click on the join button the Webex Meetings app opens.

When it's time to join a scheduled Cisco Webex standard meeting, Personal Room meeting, or team meeting in Webex Teams, you can join from your meetings list.

The type of meeting you join from your meetings list in Webex Teams determines which app opens:

  • The Webex Teams app opens when you join a Webex standard meeting, Personal Room meeting, or Webex team meeting.

  • The Webex Meetings app opens when you join a Webex and TelePresence meeting (CMR Hybrid meeting) or a Webex event, Webex training session, or Webex support session.

In your meetings list, tap the green button next to the meeting you want to join. The button appears 5 minutes before the meeting start time and shows the number of minutes until the scheduled start time. When it's actually time to join, the button label changes to Now.

You can also tap anywhere on the meeting to see more details about the meeting and see who's invited. From the meeting details, you can tap Join to join the meeting. If it's a Webex team meeting, you can tap Message or the space name to send a message to the space.

Join a Meeting with a Video Address or a Meeting Number

You can join a meeting by entering the video address in the Webex Teams app. If your administrator has defined a prefix or suffix that you can use with a meeting number, you can also enter a meeting number with the prefix or suffix in the Webex Teams app.

Go to Meetings and locate the video address field above your meeting calendar.

Enter the video address from the calendar invite or any standard video address.

Here's an example video address.

If your administrator has enabled your organization to enter a meeting number plus a prefix, suffix, or both instead of the video address to join a meeting, you can enter that meeting number shortcut here instead of the video address as well, as shown in the following examples:

  • If the meeting number is 987654321, and your administrator has specified a prefix of *77*, you can join the meeting by entering *77*987654321.

  • If the meeting number is 987654321, and your administrator has specified a suffix of #, you can join the meeting by entering 987654321#.

  • If the meeting number is 987654321, and your administrator has specified that both a prefix of *77* and a suffix of # are required, you can join the meeting by entering *77*987654321#.

If you're enabled for Cisco Webex Calling (formerly Spark Call) or Cisco Webex Hybrid Call Service Connect, you can also enter an internal phone number or extension in this field to place a call.

If your laptop or mobile device is already connected to a video device, that device will also join the meeting. This feature is available only for cloud-registered Webex room or desk devices.

Join a Meeting from a Video System

You can join a scheduled Webex standard meeting, Webex Personal Room meeting, or Webex team meeting from a standards-based video system or from a cloud-registered Cisco Webex room or desk device.

Choose how you want to join the meeting:

  • Dial the video address from a standards-based video system or a Webex room or desk device.

     
    You can find the video address in the calendar invite. If the meeting is associated with a space, you can also find the video address from the space. In the space, click Schedule and select the meeting. The video address appears under Meeting description.
  • Tap the Join button from a standards-based video system or a Webex room or desk device.
  • Automatically join the meeting. You can automatically join from your app after someone joins the meeting from a room device, and you have your Webex Teams app enabled to connect automatically with it. To join a Webex team meeting automatically from the Webex Teams app on your computer or mobile device, you'll need to be a member of the space that the meeting is associated with.
  • Dial the meeting number from the calendar invite and include a prefix, suffix, or both. The feature is available only for cloud-registered Webex room or desk devices. Your administrator has the option to enable this feature and define which characters are needed for the prefix, suffix, or both so you can dial the meeting number instead of the video address, as shown in the following examples:
    • If the meeting number is 987654321, and your administrator has specified a prefix of *77*, you can join the meeting by dialing *77*987654321.

    • If the meeting number is 987654321 , and your administrator has specified a suffix of #, you can join the meeting by dialing 987654321#.

    • If the meeting number is 987654321 , and your administrator has specified that both a prefix of *77* and a suffix of # are required, you can join the meeting by dialing *77*987654321#.

The Join button appears 5 minutes before the scheduled start time for Webex room and desk devices if the device is scheduled as a room resource and if you have Cisco Webex Hybrid Calendar Service and Microsoft Exchange, Microsoft Office 365, or Google Calendar for G Suite.

If the meeting is associated with a space that you're not a member of, you'll wait in the lobby until another member of the space has joined.
