When you create a space in Webex Teams, the type of account you have determines which meeting capabilities are available for the space:

  • If your Webex Teams account includes a paid meetings plan, such as a Cisco Webex Meetings host license, Webex team meetings that members of the space schedule or start from spaces you created are enabled with meeting capabilities based on that meetings plan. Webex team meetings use the meeting capabilities associated with your Webex Meetings account or paid meetings plan, such as meeting size, phone audio options, recording, and guest access.

  • If your Webex Teams account is a free account, a messaging-only plan (M1), or a basic meetings plan (M2), Webex team meetings that members of the space schedule or start from spaces you created have limited meeting capabilities. Phone audio options, recording, and guest access features are not supported for these meetings.

You can verify the meeting capabilities for your Webex team meeting by going to the activity menu and selecting Schedule to see the meeting information. Webex team meetings associated with spaces that were created by someone with a Webex Meetings host license or paid Webex Teams meeting plan have a webex.com meeting link and video address. Webex team meetings associated with spaces created by someone with a free or messaging-only account have ciscospark.com meeting links and video addresses.

Webex Team Meetings with Paid Meeting Capabilities

If your Webex Teams account includes a paid meetings plan (such as a Webex Meetings host license), you become the meeting sponsor for each space that you create, whether it's a space with one other person or with 3 or more people. In spaces you create with 3 or more people, your account determines the meeting capabilities of the space. In a space with only two people, if only one person has a paid meetings account, that account determines the meeting capabilities of the space. Both scenarios though, allow the space to have Webex team meetings with the following capabilities:

  • Meeting size—the number of people who can join the meeting. When you go to the activity menu and choose Schedule to start scheduling a meeting, a message tells you how many people can join a meeting from that space. The meeting size may not always be the same as the number of people in the space. For example, if the meeting sponsor has an MC25 license, the maximum meeting size for the space is 25, even if there are 40 people in the space.   • Recording—whether you can record the meeting and how much recording storage is available for your account or Webex site. If the recording option is available, when anyone in the space records the meeting, the link to the recording automatically appears in the Webex Teams space after the meeting ends.   • Phone audio options—whether phone audio options are available and which phone options are available, such as Call In and Call Me options. See Join a Meeting in Cisco Webex Teams Using Your Phone for more information.

  • Guest meeting access—whether guests who don't have Webex Teams accounts can join the meeting. You can even invite guests to a meeting you have scheduled with only one other person. See Guest Access to Cisco Webex Team Meetings for more information.

In spaces with 3 or more people, the meeting sponsor's account allows all meetings in the space to have the same meeting capabilities, regardless of which member of the space schedules the meeting or whether the meeting sponsor attends the meetings. In spaces with just one other person, meeting capabilities depend on whether at least one of you has a paid meeting plan, regardless of who created the space.

In Webex Teams for Windows and Mac, you can see who the meeting sponsor is for the space by going to the information icon and choosing Meeting capabilities. You'll see information about who the meeting sponsor is.

If the meeting sponsor leaves a space with 3 or more people, Webex Teams automatically assigns the meeting sponsor role to another member of the space. Webex Teams assigns someone who is in the same organization and someone who has the same general account type as the person who originally created the space to be the new meeting sponsor. This automatic assignment of the meeting sponsor role allows members of the space to have a consistent meeting experience every time they schedule a meeting from the space.

If the meeting sponsor of a space with 3 or more people has their account updated with new meeting capabilities, the new capabilities automatically apply to the space. The same applies to the paid account holder in a space with one other person. Existing meetings are updated with the new capabilities, and any new meetings that are scheduled from that space have the new capabilities.


The moderator role has no connection to the meeting sponsor role. A moderator of the space or team is the meeting sponsor only if the moderator created the space.

Webex Team Meetings with Limited Meeting Capabilities

If you have a free, M1, or M2 Webex Teams account that isn’t associated with a Webex Meetings host account, meetings scheduled from spaces that you've created don’t have the new Webex Teams meetings experience and don't have a meeting sponsor. If you go to the information icon in one of those spaces and then choose Meeting capabilities, you'll see a statement indicating that there's no meeting sponsor for the space. These meetings have ciscospark.com meeting links and video addresses, and they don’t support recording, phone audio options, or guest meeting access.

The meeting size in a space that was created by someone with a free or messaging-only Webex Teams account and has a ciscospark.com address is determined by the account types of the members of the space:

  • If at least 1 member of the space has a Webex Meetings host account or a basic meetings (M2) Webex Teams license, up to 200 participants can join the meeting.

  • If all users in the space have free or messaging-only Webex Teams accounts, only up to 3 participants can join the meeting.

When you go to the activity menu and choose Schedule to start scheduling a meeting, a message tells you how many people can join a meeting from that space.

If the original creator of the space leaves the space or organization, a new space creator role is automatically assigned. The meeting information and capabilities in the space get automatically updated based on the type of account the new space creator has.

If the person who originally created the space upgrades from a free to a Webex Meetings host account, the space creator becomes the meeting sponsor for the space, and the space automatically receives meeting capabilities that are based on the new meeting sponsor's account.
