Configure the Meeting Scheduler from the Desktop app

To make scheduling effortless, choose your default meeting scheduler to let the Webex app know which meeting scheduler you prefer to use. Enjoy the flexibility to choose from Microsoft Outlook, your Webex Meeting site, or Google Calendar.

To get started, choose your meeting scheduler.

After you've set up your meeting scheduler, you can schedule your meeting.

From the meetings calendar, simply click Schedule.

That's it! You’ll be directed to the scheduling option configured.

Add the Webex scheduler plug-in to your Outlook, G-Suite, or M365 calendar

Enjoy the ease of scheduling a Webex meeting directly from your calendar of choice by installing the required add-in.

Once installed, a simple click of a button will populate the Webex meeting details in the calendar invite, including dial-in numbers and a link to join the meeting.


In Webex Preferences menu, select Webex Personal Room meeting as your default meeting type to allow you to quickly start your meetings using your dedicated meeting URL that is unique only to you.

From the Desktop app

To start a Personal Room meeting, simply click Start a meeting from the Meetings tab.

To start a meeting from a space, find the appropriate space and click Meet.

The meeting starts instantly, and everyone in the space sees a Join button in their spaces list in the Webex app.

From the Mobile app

To start your own Personal Room meeting, click the Meetings icon in the bottom navigation bar. From there, tap Start.

To start a meeting from a space, find the appropriate space and click Meet.

From the meetings site

Your meetings site is your personal 'home base' for meetings. Here you can set preferences, review statistics and see your recordings.

You can easily start a Personal Room meeting from the Home section on your meeting site.

To start a scheduled meeting, find the correct meeting from the list in the Meetings section and then click Start a Meeting.


When you start a meeting from your meetings site, it loads the Webex Meetings app. If you don’t have the Webex Meetings app installed, you’ll be given the option to download the app or to start using a web browser.

From the Desktop app

It’s easy to join a personal room meeting to meet with other Webex users. If a meeting is being held in a co-worker's personal room, but you don’t have access to the meeting link or calendar invite, you can easily join the meeting from their contact card.

Simply hover over your co-worker's profile picture to load their contact card and select Join Personal Meeting Room.

From the Mobile app

On the Mobile app, it’s also easy to join a personal room meeting with other Webex users. Simply hover over their profile picture to see their contact card. Then tap the Personal Room link to join.

From the Meetings site

Quickly find your meeting with a quick search or from the Meeting menu option. Click the name of the meeting you want to join then select Join Meeting.

From your calendar meeting invite

Webex calendar invites include details for joining the meeting, including a Join meeting button. Simply click this button to join your meeting.


When you join a meeting from your mobile app, meetings site, or calendar invite, the meeting will be hosted in the Webex Meetings app. If you don’t have the Webex Meetings app installed, you’ll be given the option to download the app or to join using a web browser.

FAQs for Meetings

Yes. Currently, in addition to the Webex app, certain experiences require the Webex Meetings app. You will only ever need to use the Webex app, the app determines when to use the meetings app experience, so you don't have to.

When you join a meeting from a calendar invite or your organization's Webex meeting site, the meeting will be hosted in the Webex Meetings app. If you don’t have the Webex Meetings app installed, you’ll be given the option to download the app or join using the web browser.

When you join a meeting from your mobile device, the meeting will be hosted in the Webex Meetings app. If you don’t have the Webex Meetings app installed, you’ll be given the option to download the app or join using the web browser.
