Install Webex Meetings

To host and attend Webex meetings and Webex training sessions from your Android device, download and install the Webex Meetings app.

You can download the app from one of these locations:

  • Google Play Store

    Search for Cisco Webex Meetings.

  • Amazon Appstore for Android

    Search for Cisco Webex Meetings.

  • http://m.webex.com

  • You can just join a meeting for the first time and accept the offer to install the app on your device.

  • Or scan this code:

Follow the on-screen instructions to download and install the application.


After first launching Webex Meetings, you'll have to accept the Terms and Conditions.

When a new version of the app is available, you may be prompted to update the app when signing in.

View Your Upcoming Meetings

If you have an account on a Webex site, you can sign in and view your upcoming meetings on your device. The first time that you open the Webex Meetings app, you're prompted to sign in using your site credentials.

  1. Open the Webex Meetings app and tap Sign In.


    If you have Touch ID enabled, you can also sign in to your site using your fingerprints.

  2. Enter the email address associated with your Webex account, then tap Next.

  3. Enter your password, and then tap Sign In.


    If your email address is associated with more than one Webex site, choose the site that you want to sign in to.

    If your Webex site has Single Sign-On enabled, your organization's sign in web page opens. When you enter and submit your credentials, the web page closes and moves you to the Webex site automatically.

  4. Swipe left to view your upcoming meetings for the next six weeks in My Meetings.


    Only Webex meetings in your calendar appear in My Meetings. Webex events and Webex training sessions don't appear.

    In order to see all your upcoming meetings in My Meetings, we recommend that the calendar in your device be configured to synchronize with your organization's mail server (for example, the Microsoft Exchange Server). Please contact your company’s IT administrator for instructions.


You can also view your upcoming meetings by placing the Webex Meetings widget on your home screen.

Join a Meeting

You can join a Webex meeting from your device in any of the following ways:

When signed in to your Webex account, you can:

  • Swipe left to My Meetings, and then tap Join to connect to a meeting.

  • From the Webex Meetings app home page, tap Join Meeting, and then enter the meeting number, Personal Room URL, or the host's username, and then tap Join.


    You can also enter a SIP URI in the following format:

    • <meeting_number>@.webex.com for a scheduled Webex meeting

    • <PMR_ID>@<sitename>.webex.com for an instant or scheduled Personal Room meeting

From your device's native search:

On your device's search, search for recently joined Personal Rooms or your own Personal Room to join. Tap the meeting from the search results to join.

From the meeting invitation email:

Open the invitation email and follow the instructions. You can also join by tapping the linked video address.

If you don't have the app installed, you can still join the audio portion of the meeting by tapping the link in the invitation. You're taken to a web page which offers an easy way to join the audio-only meeting. After the meeting, you're redirected to a web page that offers the app download for future meetings.

Using voice commands:

From a notification:

If your site is set up to send notifications, you're alerted before the meeting, or when the host starts the meeting. To join, follow the instructions in the meeting notifications.


When you join a meeting that is being held in the host's Personal Room, you wait in the lobby until the host enters the room or admits you. When the host enters the room or admits you, you're prompted to join the audio conference. You can tap Notify Host to alert the host that you're waiting in the lobby.

By scanning text:

Scan a handwritten or typed meeting number or Personal Room ID, to join the Webex meeting or Personal Room.

In your car:

If you're using Ford Sync 3 AppLink with Webex Meetings, use your steering wheel or dashboard controls to turn on AppLink and use the appropriate voice command:

Connect to the Audio Conference

You can connect to the meeting’s audio conference by receiving a call, or by using VoIP through the Internet. When you join an audio conference that has been scheduled to use Webex Audio or VoIP only, wide-band audio is used.


If a participant who does not have wide-band audio joins a meeting where wide-band audio is in use, audio for all participants is downgraded. No warning message is given before the downgrade.

To connect to the audio conference

Tap the Audio connection icon.

Tap one of the following:

  • Call me - Receive a call from Webex to connect to the meeting. If you have not previously entered a phone number, you are prompted for the number.

  • Call in - View toll-free and toll numbers you can select to call the meeting from your device. Select Global call-in numbers to view a list of call-in numbers from other regions.

  • Call over Internet - If your Webex site audio is provided by a third-party Teleconference Service Provider (TSP), and TSP Hybrid audio is enabled, you can join the audio conference using your TSP’s VoIP client. If the TSP app is not already installed on your device, you are prompted to install it.


    If you are not connected by Wi-Fi, this option uses your mobile data plan.

  • Call my video system - Connect using a video device. You are prompted to enter the address of the video device.

Schedule a Webex Meeting

If you have a Webex host account, you can schedule meetings using your Android device.

Open the Webex Meetings app and swipe left to My Meetings. Then, tap Schedule Meeting, and enter your meeting info:

  • Meeting topic

  • Meeting password

  • Invitees- you can allow the app to access your contacts on your phone, or you can manually enter a participant's email and tap Add Invitee to add them to your participant list


    To add invitees after the meeting is scheduled, go to My Meetings, tap your meeting entry, and then tap Add Invitees.

  • Meeting date, start time, and duration

After reviewing your meeting details, tap Schedule to schedule your meeting. If your meeting is within the next 15 minutes, tap Start.

Start a Scheduled Meeting

Open the Webex Meetings app, swipe left to My Meetings, and on the meeting entry, tap Start.


Alternate hosts can't start a meeting from the mobile app.

Start an Instant Meeting

You can start an instant meeting by opening the Webex Meetings app home page and tapping Start Meeting.

Manage a Personal Room Meeting

Participants can't enter your Personal Room when you aren't there. Once you enter your Personal Room, you control access.

To lock your Personal Room, in the meeting window tap More and then tap Lock Room.

To unlock your Personal Room, in the meeting window tap More and then tap Unlock Room.


When you lock your Personal Room and a participant enters the lobby, a notification message appears and a red indicator appears above Participants.

Tap Participants to see the names of the attendees waiting in your Personal Room lobby. Tap the name of the participant you want to admit, and then tap Admit to allow them to join the meeting or Remove to prevent them from joining the meeting.

Interact During a Meeting

You can interact with other participants in a meeting by:

  • Muting or unmuting yourself

  • Connecting or disconnecting your audio and video

  • Sending chat messages

  • Changing the display name for a call-in user

  • Making someone else the host or presenter of a meeting

  • Sharing and annotating content content

  • Inviting more attendees to a meeting

  • Pinning an attendee's video

  • Recording a meeting

  • Ending or leaving the meeting

To mute and unmute yourself:

After connecting your device's audio to a meeting, tap Mute. Tap the icon again to unmute yourself.

To mute and unmute all participants:

Tap Participants, tap Mute, and then tap Mute All. If everyone is muted, tap Unmute All to unmute all participants.

Only the host of a meeting can mute and unmute participants.

To change your audio connection options:

Tap the Audio Connection Options menu, where you can choose to:

  • Use Internet for Audio, and you'll be using your mobile data plan unless you're on a Wi-Fi connection. When you join an audio conference that has been scheduled to use Webex Audio or VoIP only, wide-band audio is used.


    If a participant who does not have wide-band audio joins a meeting where wide-band audio is in use, audio for every participant is downgraded. No warning message is given before the downgrade.

  • Call Me, and you'll be prompted to enter your phone number.


    If you have turned Auto Call Me on (in Settings), you will receive a call automatically.

  • Call In, and you'll be prompted to enter the call-in number that appears.

  • Don't Connect Audio if you only want to listen to the call.

To change your video connection options:

Tap Switch Camera in your video preview to switch your video sharing between the front and back cameras on your device.

To send a private chat message:

Tap Participants, and then tap your message recipient. Enter your message, and tap Send. Tap Back to close the chat window.

To send a message to all participants:

Tap Participants, tap Chat, and then tap Chat with Everyone. Enter your message and tap Send. Tap Back to close the chat window.

To make a participant the presenter:

Tap Participants, and then tap and hold the person that you want to make the presenter. Then, tap Make Presenter.


If you enable Anyone Can Share for the meeting, participants can share at any time. You can't disable this option during the meeting.

To make a participant the host:

Tap Participants, and then tap and hold the person that you want to make the host. Then, tap Make Host.


Only hosts can transfer host privileges to other participants.

Change participants' displayed names

Tap and hold the name of the call-in user, and tap Change Name to edit their name for better identification. Meeting hosts who make this change have those changes reflected for all participants in that same meeting.

To invite more attendees:

Tap Participants and then tap Invite by Email. You can type the email addresses for the attendees that you want to invite, or you can tap Select Invitees to add attendees from your device's contacts. When finished, tap Send.

To start, pause, and restart a recording:

Tap More, and then tap Record to start a recording after the meeting starts. The recording indicator appears while you record the meeting.

While recording you can tap More > Pause to temporarily pause recording. Tap More > Resume to continue recording.

When finished recording, tap More > Stop to end recording. After the meeting ends, you'll receive an email with information about accessing the recording.

To end a meeting:

Tap End Meeting, and then tap End Meeting.

View Upcoming Events

Events that you have been invited to attend, or that you are scheduled to host, are listed in the My Meetings pane when you sign in to your Webex account.

To join an event as a participant:

You can join an event from your Android device just as you would a meeting, unless registration is required.

To register for an event:

  • Tap Register, then follow the instructions on the registration screens.

Once you have registered, Register changes to Join and becomes active when it’s time to join.


Registration may have to be approved by the host before you can join.

To view event information:

Select the event in the My Meetings list, then tap the appropriate item.

View event and registration information.

Panelist Information

View information about panelists who will be present during the event, if provided by the host.

Event Material

Access materials attached to the event, if provided by the event host. If registration is required, attendees who have not registered cannot access event materials.

Audio Connection

View information about connecting to the event audio.

Starting an Event

You cannot start an event from your Android device. If you are the host, start the event on your laptop or desktop computer.

Interact During an Event

While the event is in progress, you can view shared presentations. If the host has enabled it, you may be able to chat with the host, presenter, panelists, or other attendees.

You can also submit questions to the host, presenter, or panelists using Q&A.

To ask a question:

  1. Tap More in the upper right corner of the screen, then tap Q&A.

  2. Tap Select panelist, then select the person you want to address the question to.

  3. Type your question, then tap Send.

To view answers to your questions, tap My Q&A.

Event hosts, presenters, or panelists can answer questions submitted to them during the session.

To answer a question:

  1. Tap the red indicator when it appears above the More icon.

  2. Locate and tap the question you want to answer.

  3. Type your answer, then select whether you want to answer the question privately, or for all attendees to see.

  4. Tap Send.

    To leave an event:

    Tap the End Meeting icon in the top right corner of the screen, then tap Leave Meeting.

    The mobile meeting app detects when there is only a single participant in an event. If there is only one participant, the app automatically ends the event after a specific number of minutes after the scheduled end time.

View Upcoming Training Sessions

Training sessions that you have been invited to participate in, or that you are scheduled to host, are listed in the My Meetings pane when you sign in to your Webex account.

To join a training session as a participant:

You can join a training session from your Android device just as you would a meeting, unless registration is required.

To register for a training session:

  • Tap Register, then follow the instructions on the registration screens.

Once you have registered, Register changes to Join and becomes active when it’s time to join.


Registration may have to be approved by the host before you can join.

To view session information:

  • Select the session in the My Meetings list, then tap the appropriate item.

Info

View session and registration information. If there is a test or payment associated with the session, it is indicated here.

Agenda

View the agenda for the session, if supplied by the session host.

Course Material

Access course materials attached to the session, if provided by the session host. If registration is required, participants who have not registered cannot access course materials.

Audio Connection

View information about connecting to the session audio.

Start a Training Session

If you are the host, you can start training sessions from your Android device.

When signed in to your Webex account, choose the session in the My Meetings pane, then tap Start.

Interact During a Training Session

As a training session participant, you can access the participant list, share content and use chat just as you would in a meeting. In a training session, you can also submit questions to the host, presenter or panelists using Q&A.

To ask a question:

  1. Tap More in the upper right corner of the screen, then tap Q&A.

  2. Tap Select panelist, then select the person you want to address the question to.

  3. Type your question, then tap Send.

To view answers to your questions, tap My Q&A.

Training session hosts or panelists can answer questions submitted to them during the session.

To answer a question:

  1. Tap the red indicator when it appears above the More icon.

  2. Locate and tap the question you want to answer.

  3. Type your answer, then select whether you want to answer the question privately, or for all attendees to see.

  4. Tap Send.

As a training session host, you have access to all features available to participants. In addition, you can manage attendee roles during the session.

To manage attendee roles:

  • Tap the Participants icon, select a participant, then select an action.

Chat

Open the chat window to send to a message to the selected participant.

Make presenter

The selected participant becomes the presenter.

Make host

The selected participant becomes the host.

Make panelist

The selected participant becomes a panelist.

Make attendee

The selected presenter or panelist becomes an attendee.

Expel

The selected participant is expelled from the session.

To end a session:

Tap the End Meeting icon in the top right corner of the screen, then tap End Meeting.

The mobile meeting app detects when there is only a single participant in a session. If there is only one participant, the app automatically ends the session after a specific number of minutes after the scheduled end time.
