Turn On or Turn Off Cisco Webex Assistant During a Webex Meeting

Webex Assistant for Meetings is an intelligent, interactive virtual meeting assistant that makes meetings searchable, actionable, and more productive. When Webex Assistant is turned on, the meeting host and participants can capture meeting highlights, such as action items, with one click or a voice command, and show captions so that no one misses a word of what's being said. Record the meeting to get a post-meeting transcript.

Webex Assistant is available in Webex Meetings version 40.4 and later. Contact your Cisco Collaboration Partner or Cisco Collaboration Account Manager to create a trial for you through the Webex Enterprise Trials program. Trials are expected to begin on June 2, 2020.

This feature requires Cisco Webex video platform version 2.0. To find out which version you’re using, see Find Your Cisco Webex Meetings Version Number.

If Webex Assistant is enabled on your Webex site, meetings hosts can turn on or turn off Webex Assistant. When Webex Assistant is enabled, it appears in the lower left of the host's screen. Webex Assistant can’t be hidden.

When the host turns on Webex Assistant, it makes the audio announcement, Webex Assistant is enabled to save audio highlights.

Each participant is notified that the Webex Assistant is in the meeting when they join. They'll see the Webex Assistant in the lower left of their screen or hear the announcement, Webex Assistant is enabled to save audio highlights or both.


Attendees who join from Cisco Webex Teams or from a Cisco Webex room or desk device won’t see the Webex Assistant.

When you're sharing content, hover over the Webex Assistant on the floating bar at the top of your screen and select Turn on Webex Assistant.

To turn off Webex Assistant, select Turn off Webex Assistant.

If the Webex Assistant is enabled on your Webex site, meetings hosts can turn on or turn off the Webex Assistant. When the Webex Assistant is enabled, it appears in the upper right of the host's screen. The Webex Assistant can’t be hidden.

Show or Hide Closed Captions During a Cisco Webex Meeting

You can show closed captions during a meeting and never miss a word that's said when Webex Assistant for Meetings is turned on. Webex Assistant provides automated closed captions, making meetings even more accessible for hearing impaired participants. As people speak, their mics pick up everything they say and Webex Assistant automatically adds it as captioning above the meeting controls.

If offensive words are used, asterisks replace some letters in the offensive word in the closed caption.

We created our own profanity filter generated from common offensive words and phrases. We’ll continue to add words and phrases as and when they're identified to us.

Show or Hide the Captions & Highlights Panel During a Cisco Webex Meeting

If Webex Assistant for Meetings is turned on during a meeting, you can view a running transcript of your meeting and capture meeting highlights in the Captions & Highlights panel on the right side of the screen. You'll always know exactly who said what because each caption includes the speaker's name or the name of the room or desk device the speaker joined from.

Show or hide the panel in the following ways:

  • Hover over the Webex Assistant and select View captions and highlights to show the panel.

    You can also select in the Captions & Highlights panel to close the panel.

  • Go to More options More options > Captions & Highlights to show or hide the panel.

Get a Post-Meeting Transcript by Recording Your Cisco Webex Meeting

If you're the host, you can get a transcript of the meeting if you record the meeting in the cloud. The transcript will be available on your Webex site after the meeting. You can play audio clips of the transcript, download it, make edits, and share it with others.

Create or Delete Meeting Highlights During a Cisco Webex Meeting

Meeting hosts and participants can capture key points during a meeting as highlights using Webex Assistant for Meetings. Highlights are short notes that can be shared and followed up on later. After the meeting ends, highlights are emailed to the host and are available to them on their Webex site. Hosts can share the highlights with anyone who has an account on their Webex site and email selected highlights to others.

Meeting highlights appear in the Highlights tab
When you create a highlight, the text is highlighted in blue in the Captions tab and appears in the Highlights tab of the Captions & Highlights panel. Highlights are time stamped and labelled according to what type of highlight was created. Labels include Action Item, Agenda, Decision, Note, Parking Lot, Reminder, and Summary.

Create a highlight by doing one of the following:

  • In the Captions & Highlights panel, hover over the caption that you want to save as a meeting highlight and select Highlight.

    If you want to highlight part of a caption only, select that text and select Highlight. If you highlight something by mistake, hover over it and select Unhighlight.

  • Use a voice command to create a highlight.
  • Speak naturally and the Webex Assistant will listen for keyword triggers and capture moments during the meeting. For a list of keyword triggers, see Use Voice Commands in a Webex Meeting.

Delete a highlight by selecting the Highlights tab in the Captions & Highlights panel and selecting Delete highlight next to the highlight that you want to delete.

Use Cisco Webex Assistant Voice Commands and Keywords in a Webex Meeting

At any point during the meeting, you can switch the Webex Assistant on to enable AI note-taking capabilities. Automatic note taking means that meeting highlights are captured so you can spend less time managing the meeting and more time focused on the outcomes. Highlights are the most salient points or important moments of the meeting. Interactive voice commands and keyword phrases automatically capture important moments, making meetings more actionable.

Webex Assistant is available in Webex Meetings version 40.4 and later.

Voice Commands

Simply ask the Webex Assistant to do things like create actions items, take notes, and even set up future meetings, with just your voice. Use the wake phrase “OK Webex” followed by a command to create a highlight.

You can't customize the wake phrase.

You can't control the volume of Webex Assistant.

Keywords

Using any of the following keyword phrases will automatically trigger important moments in the conversation. Speak naturally and the Webex Assistant captures the important moments and include them in your post-meeting notes.

The keyword phrases aren't customizable currently.

During your meeting, these moments use the Action item, Decision, and Note labels but these labels can be changed post meeting on your Webex site.

Change the Format of Captions in a Cisco Webex Meeting

You can change the font size and background color of captions to make them easier to read. If the captions are covering up content that's being shared, you can move the caption bar out of the way.

Select More options in the caption bar and do one of the following:

  • Select Font size and drag the slider to make the font bigger or smaller.
  • Select Use light background or Use dark background.

Drag the caption bar to move it.

To move the caption bar back to its default position, select More options in the caption bar and select Back to default position.

Use Webex Assistant in a Meeting and on a Webex Room Device

When Webex Assistant is enabled in a Webex meeting and on a Webex room device, Webex Assistant responds to the voice commands relevant to its role and functions.​​

Webex Assistant for Meetings responds to everyone in the meeting whereas Webex Assistant for Rooms responds to people in the room only.

Webex Assistant in the meeting responds to voice commands such as taking meeting highlights, action items, and notes. ​For more information, see Use Cisco Webex Assistant Voice Commands in a Webex Meeting.
