Webex Teams | Share Files from Microsoft OneDrive or SharePoint Online

You can share your OneDrive or SharePoint Online files directly in a Webex Teams space. Everyone in the space can access the latest version of the files.

You can choose a file directly from OneDrive or SharePoint Online. After you share the file in your Webex Teams space, people can edit the file directly from Webex Teams. More than one person can edit the file at the same time and they can see all the updates.

In the message area, click Attachment , and then choose Share from OneDrive or SharePoint Online.

Your administrator can restrict the files that you share to only files from OneDrive or SharePoint Online. When you click Attachment , you don't see the option to Upload from my computer, and you select a file from OneDrive or SharePoint Online.

Select a file from OneDrive or SharePoint Online, and then click Open.

Then, decide who can view the file in the space:

Your administrator can change which of these options are available in OneDrive or SharePoint Online.

  • Anyone—Anyone can view the file, including people from outside your organization. To allow people to edit the file, click Allow editing.
  • People in your organization—Only people in your organization can view the file. To allow them to edit the files, click Allow editing.
  • People with existing access—Webex Teams uses the permissions already set up for viewing and editing this file in OneDrive or SharePoint Online.

When people don't have access to the file, they see the file name but they can't edit or view the file or see a thumbnail preview.

Click Apply and then press Enter to share the file.

You can choose a file directly from OneDrive or SharePoint Online. After you share the file in your Webex Teams space, people can edit the file directly from Webex Teams. More than one person can edit the file at the same time and they can see all the updates.

Webex Teams | View and Edit Microsoft OneDrive or SharePoint Online Files

When people share files from OneDrive or SharePoint Online in Webex Teams spaces, you can click on the files to view them. When you have edit permission, you can edit the shared file directly from Webex Teams. The file opens in the application that is associated with the file type. A Microsoft Word file opens in Microsoft Word Online.

Click on the file in the space to open it.

When you have edit permission, you can edit the file directly from OneDrive or SharePoint Online. Other people can co-edit the file and you can see their updates. When you have read-only access, you can view the shared file.

To view a file, tap on the file preview in the space.

Click on the file in the space.

When you have edit permission, the file opens for editing in OneDrive or SharePoint Online in a new browser window and when you have read-only permission, you can view the file in OneDrive or SharePoint Online in a new browser window.

Webex Teams | Link a Microsoft OneDrive or SharePoint Online Folder to a Space

If everyone in a space is working together on files in a Microsoft OneDrive or SharePoint Online folder, you can link the space to that folder. Everyone can then access the files in the linked folder directly from the Webex Teams space.

In the space, click Content, and then select .

If you haven't already added your account, click Connect to Account to add your account.

Click Link to Online Folder, choose a folder from your account, and then click Open.

When people have access in SharePoint or OneDrive Online to this folder, they can access the files in the folder in Webex Teams.

Choose Set as the default linked folder for this space and all files shared in the Webex Teams space are automatically uploaded to your linked folder.


 

This setting is only available if your administrator has set it up. If you don't see the option, then all files shared into the space are automatically uploaded to the linked folder.

You can see the files that are in the linked folder and any files shared in the space.


If you want to remove a linked folder from a space, click Content and choose . Then, select Linked folder files, click , and then select Unlink folder from space.

In the space, tap , and then select Files .

If you haven't already added your account, click Connect to Sharepoint or OneDrive to add your account.

Tap Link to online folder, select a folder from your account, tap Link, and then tap Done.

You can see the files that are in the linked folder and any files shared in the space.


If you want to remove a linked folder from a space, tap , and then select Files . Then, select the folder and tap Unlink folder from space.

Webex Teams | View or Edit Files in a Linked Folder

When a folder in Microsoft OneDrive or SharePoint Online is linked to a Webex Teams space, you can view or edit the files in the linked folder directly in Webex Teams. Your administrator must configure this option before you can use linked folders.

In the space, click Content, and then select .

Click Shared in space , select Linked folder files and then click on a file.


 

If you have permission to edit the files in the OneDrive or SharePoint Online folder, you can edit the files directly from Webex Teams.

If you want to remove a linked folder from a space, click Content and choose . Then, select Linked folder files, click , and then select Unlink folder from space.
