Manage Cisco Webex Assistant Content After a Webex Meeting or Event

If you turn on Webex Assistant for Meetings during a meeting or webinar, highlights, transcript, and recording will be available on your Webex site. If you're the host of the meeting or webinar, you can share, edit, and delete post-meeting and webinar content produced by Webex Assistant for Meetings. Also, when referring back to a specific moment in a meeting or webinar, you can use the search bar at the top of your Webex page to search your meetings, webinars, recordings, and transcripts to find an important moment in a meeting or webinar.

View Meeting and Event Content Created by Webex Assistant for Meetings

After the meeting or webinar ends, the host will receive an email when the meeting or webinar highlights, transcript, and recording are available. If the host has shared the content with you, you'll receive an email too. The email contains a link to the meeting or webinar content on your Webex site.

Webex Assistant is available in Cisco Webex Meetings. Beginning with the 41.5 update, it is also available in Webex Events (new) webinar mode for plans that support up to 3000 users, and as an add-on for plans that support up to 1000 users.

This feature requires Cisco Webex video platform version 2.0 with joining meetings from video systems enabled. To find out which version you’re using, see Find Your Cisco Webex Meetings Version Number.

If the Webex Assistant is enabled on your Webex site, meetings hosts can turn on or turn off the Webex Assistant during the meeting. To automatically turn on the Webex Assistant whenever you start a meeting, check the Webex Assistant option in your Scheduling preferences.

If you're the host and the content is ready to view, you'll receive an email that says, "Your Webex meeting content is available." Select View meeting content in the email.

If the host shared the meeting or event content with you, the email says, "<Host name> shared Webex meeting content with you."

If meeting or webinar highlights were captured during the meeting or webinar, you can access them from the Highlights tab. If the meeting or webinar was recorded, you can access the meeting and webinar transcript and recording from the Transcript and Recording tabs, respectively.

If you want to find out more about someone who participated in the meeting or event, select their profile picture in the list of participants to see their People Insights profile.


You can also navigate to the meeting or webinar content directly from your Webex site after it's available. Go to Meetings in the left navigation bar and select the Completed tab.

Locate and select the meeting or webinar.

If you don't see the meeting or webinar in the list, the host hasn't shared the meeting or webinar content with you.

If you're the host and the content is ready to view, you'll receive an email that says, "Your Webex meeting content is available." You can view your meeting or webinar content from your Webex site and your mobile app.

Share Meeting Content with Others in Webex Meetings and Webex Events (New)

If you hosted a meeting or webinar that used Webex Assistant for Meetings, the highlights are available on your Webex site after the meeting or webinar ends. If you recorded the meeting or webinar, the transcript and recording are also available on your Webex site. You can share this meeting or webinar content with others.

Hosts can share meeting and webinar content by selecting from a list of participants and attendees and by entering the email addresses of the people with whom you want to share the meeting content with.

On your Webex site, go to Preferences in the left navigation bar.

Select the Scheduling tab.

Check the Automatically share the meeting highlights, recording, and transcript with meeting participants and invitees and allow them to make edits check box.

Now when your meeting or webinar ends, if Webex Assistant was enabled, the meeting or webinar highlights, recording, and transcript is sent to all attendees.
You can share up to 20 individual highlights at once.

Locate and select the meeting or webinar that you want to share highlights from.


 

If you want to change the name of the meeting or webinar and the name of the recording to something more descriptive before you share it, click Edit the meeting , make your changes, then click Save your changes . Make sure that the Make recording topic match new meeting topic check box is selected, then click Yes.

Select the check boxes next to the highlights that you want to share.

Select Share highlights Share highlights and then click Select people from participants and invitees.

Select the check box next to each person with whom you want to share the meeting or webinar content, and then click Select.

Click Share.

Click Permissions, and then select Viewer or Editor to specify whether each person can view or edit the content.

(Optional) Enter an introductory message to include with the email.

Enter or select the names or email addresses of the people who you want to share the meeting or webinar content with, and then tap Share.


 

To stop sharing content with someone, tap Share the meeting and then tap Permissions. Tap the drop-down arrow next to the person's name, and then tap Remove.

To stop sharing meeting or webinar content with everyone, tap Stop Sharing. Everyone that you shared content with will no longer be able to access the meeting or webinar content.

If you're the meeting or webinar host or the host gave you edit privileges for the meeting or webinar content, you can do the following:

Option Description

Play an audio clip

Hover over the text that you want to hear and select Play Audio Play Audio.

Edit the transcript text

Hover over the text that you want to edit and select Edit transcript Edit transcript. Make your changes and select Save Edit Transcript Save Edit Transcript.

Create a highlight from some transcript text

Hover over the text and select Add to highlights. The text is added to the Highlights tab as a Note highlight.

Download the transcript

Under the Transcript tab, select the file name of the format that you want to download.

You can download the transcript in WebVTT (.vtt) or text (.txt) format.

If the host gave you view-only privileges, you can play audio clips of the transcript.

Anyone who has edit privileges for the transcript can play an audio clip and edit the transcript text.

Search for Keywords Across All Meetings in Webex Meetings and Webex Events (New)

Make better use of your Webex Assistant for Meetings transcripts by finding that exact place in the meeting or webinar or across multiple meetings or webinars where something was discussed.

You can use the search bar at the top of the page to search your meetings, events, recordings, and transcripts to find an important moment in a meeting or webinar. You can then play just the audio of that moment in the meeting or webinar or view the meeting or webinar details.
Search for a word or phrase

If a transcript wasn't created for the meeting or webinar or if the meeting or webinar occurred before Webex Assistant was enabled on your Webex site, the keyword is only found if it was used in the meeting or webinar title.

Delete Meeting and Event Content Created by Webex Assistant for Meetings

You can delete the recording and highlights from meetings and webinars that you host if they're no longer needed. If the host has shared meeting or webinar content with you and given you edit privileges, you can delete the meeting or event highlights.

Before you begin

Webex Assistant is available in Webex Meetings. Beginning with the 41.5 update, it's also available in Webex Events (new) webinar mode for plans that support up to 3000 users and as an add-on for plans that support up to 1000 users.

To delete a recording:

  1. Select Recordings on the left navigation bar.

  2. Select More next to the name of the recording, and then select Delete > Delete.

    The recording moves to the trash and remain there for 30 days, unless you permanently delete it.
  3. To permanently delete a recording that's in the trash, select Deleted under My Recorded Meetings.

  4. Select Trash Trash next to the name of the recording.
