Unable to schedule Webex Events (classic) starting April 1st, 2023

Beginning April 1, 2023, all users must use Webex Webinars to schedule webinars.

Webex Webinars (available since 41.4, April 2021), allows you to host large-scale, customizable, engaging, and branded virtual events with these innovative capabilities:

  • Rich branding options.

  • Share high-motion video and audio.

  • Engagement with reactions, Slido polling and Q&A, and breakout sessions.

  • Advanced production and content management.

  • All participants can view panelist videos in webinars. There's no longer a limit that only the first 1,000 participants can view panelist videos.

This change includes the following details:

  • Starting April 1, 2023, a host is unable to schedule new events with Webex Events (classic).

  • Starting with the 42.9 update, a host can no longer select a start time on or later than April 1, 2023, or edit an event to start on or later than April 1, 2023.

  • If a host has any scheduled events with Webex Events (classic) that starts on April 1, 2023 or later, they can still start those events, manage activities within those events, and cancel those events. However, the host won’t be able to change the date and time to be April 1, 2023 or later. It’s recommended for a host to move their events to Webinars as soon as possible.


     
    This change applies to users on the latest release cadence and slow channel.
  • The license that is enabled for Webex Events (classic) continues to work for Webex Webinars.

Changes in retention storage policy for Webex Meetings

This is an early announcement for an upcoming change for Webex customers. Webex is removing the option to retain post-meeting data (recording and transcripts) for an indefinite period.


 
This retention policy is applicable for Meetings, Webinars, Training, and Support.

For Pro Pack users, if the retention policy is set to indefinite today, then the default retention period changes to 360 days, with the option of changing it from 7 days to a maximum of 3600 days. Also, customers have the option to purge user-deleted recordings within 30 days or make them follow the retention policy.

For Webex customers with the pro pack offer, these changes come into effect from March 2023.

To avoid any interruptions, Webex customers with the pro pack offer can choose to change the retention policy from indefinite in Control Hub to a value between 7 days to 3600 days.

End of Life announcement for the recordings SOAP and NBR API

Due to reasons of security and maintainability we are going to be deprecating the recordings SOAP API. In effect Jan 1, 2023, the recordings SOAP API is end of life and shouldn’t be used for any new projects. On June 30, 2023, the recordings SOAP API will be permanently shut down. This means customers have a full 6 months to migrate from the current recordings SOAP API to the alternative REST APIs. Depending on your use cases we recommend using the /recordings REST resource. Other functionality in the current SOAP API is replaced by the following APIs: Meeting Participants, Meetings Chat, Meetings Polls, Meetings Q&A.

Upcoming retirement of Site Administration management console (all sites to be managed using Control Hub)

Webex Site Administration management console retired at end of calendar year 2023. Make sure that you update your site from a Site Administration managed site to a Control Hub managed site.

Sites using required user profile fields or required tracking codes can update their sites sometime in the first half of 2023.

Android 6 and Android 7 end of life support from January 1, 2023

Starting January 1, 2023, Webex Meetings isn't going to be supported on Android 6 and Android 7.

  • Existing Webex Meetings users on Android 6 and Android 7 won’t get new app updates. It’s recommended their users upgrade their devices to Android 8.

  • Existing Webex Meetings users on Android 6 and Android 7 can continue using their existing app.

  • New users on Android 6 and Android 7 can’t download and use Webex Meetings app.

New webcast view experience in Webex Webinars

We’re happy to announce the new webcast view experience, coming in November.

Hosts can set up a customized logo in the scheduling step. The host and their attendees are impressed by the polished look of Slido’s polling and Q&A, as well as the variety of the polling questions. In the previous update, attendees view couldn’t be maximized, but in this update, attendees can max out the web browsers' space to view the webcast.

In terms of limitations, hosts can view the total number of attendees but can’t view the individual attendees in the list yet. Also, the chat doesn’t have emojis or the ability to adjust font.

Notice of default value change to ON for the "Enable Webex Assistant" administration site setting

The Enable Webex Assistant setting is default to ON in November, unless an administrator has already manually set it to OFF. This change applies in November to all customers, including both slow and fast channel customers.


 
This setting only makes Webex Assistant available in meetings but doesn’t automatically turn it on. Whether or not Webex Assistant is turned on in meetings depends on the host's choice.

 
Admins can also control Webex Assistant availability for individual users or groups using the settings templates: Configure settings templates.

If a customer prefers Webex Assistant to be unavailable for all users, then they can ensure that the Enable Webex Assistant setting is turned OFF by following these steps:

If the setting is currently OFF:

  1. Turn the setting ON.

  2. Save the page.

  3. Turn the setting OFF.

  4. Save the page.

If the setting is currently ON:

  1. Turn the setting OFF.

  2. Save the page.

Webex Events (classic) can’t be scheduled from March 2023

Since the 41.4 update, the ability to schedule events using Webex Webinars has been available. This is an advance notification, that the ability to schedule events using Events (classic) is being deprecated. After March, 2023, all users will need to schedule events using Webex Webinars. Webex Webinars includes many of the advanced features you’re familiar with from Webex Meetings, as well as those you know from Events (classic), such as:

  • Rich branding options

  • Share high-motion video and audio

  • Engagement with reactions, Slido polling and Q&A, and breakout sessions

  • Advanced production and content management • Manage up to 100,000 attendees based on your license limit


 

Notice of upcoming deprecation to provision new Webex sites as Webex Administration managed sites

Currently, paid subscriptions have the option to provision new Webex sites as Control Hub managed or Webex Site Administration managed.

Starting at the end of August, we’ll no longer offer the option to provision new Webex sites as Site Administration-managed sites. This is part of the ongoing initiative to manage all Webex sites from Control Hub.

Enable Webex Assistant

The Enable Webex Assistant setting will default to ON in the 42.10 update, unless an administrator has already manually set it to OFF. If a customer prefers this setting to be OFF, they can ensure that by toggling the setting ON then OFF and saving the page before the 42.10 update.

New Auto Admit security feature

Starting 42.10, the new default behavior allows invitees to bypass the lobby and join a scheduled meeting if they are on the meeting invite and are Webex authenticated (signed into Webex).

No passwords or PIN numbers required! If you’re invited to a meeting and join as an authenticated user or Webex Room systems, you can join the meeting directly. You don’t have to admit anyone or Webex Room systems into an unlocked scheduled meeting. Make sure you are signed in and you can join directly into a meeting. Invitees can join securely, while all other participants go to the secure lobby and must be admitted. No additional effort required by the host or cohost.

Important callouts:

  • . Doesn’t apply to Personal Room meetings.

  • Allowing participants internal to the organization to always join unlocked meetings is now an option at the site adminstrator level only. Non-invited users internal to the organization are no longer permitted to join unlocked meetings unless the new setting is enabled.

August 2022 (42.8) Announcements

Webex Events (classic) can’t be scheduled from March 2023

Webex Events (classic) is upgraded to Webex Webinars. You are upgraded and can host all events with new Webex webinars from March 2023. The new Webex webinar experience is vastly superior and provides more engaging experience, including:

  • Rich branding options

  • Share high motion video and audio

  • Manage attendee view up to 100,000 attendees

  • Advanced polling and Q&A • Breakout rooms


 
  • You can’t schedule any new event with Webex Events (classic) after March 2023

  • Work on your internal communication plan to inform the users and encourage them to use Webex webinars

  • You can disable Webex Events (classic) even today using these steps, Turn Webex Events (classic) on or off

New security feature Auto Admit

In an upcoming release, the default behavior for joining scheduled meetings allows invitees to bypass the lobby and join the meeting if they are on the meeting invite and are Webex Authenticated (Signed into Webex).

No passwords or PIN numbers required! If you’re invited to a meeting and join as an authenticated user or Webex Room, you can join the meeting directly. You don’t have to admit anyone or Webex Room systems into an unlocked Scheduled Meeting. Just make sure you are logged in and you can join directly into a meeting. Invitees can join securely while all other participants go to the secure lobby and must be admitted. This works naturally without any additional effort for the host, cohost, or meeting organizer.

Important call outs:

  • Doesn’t apply to Personal Room meetings.

  • Allowing participants internal to the org to always join unlocked meetings is now an option at the site admin level only. Non-invited users internal to the org are no longer permitted to join unlocked meetings unless the new setting is checked.

  • Existing setting, Enforce meeting password when joining from video conferencing systems is ON by default. Therefore, people who are on-premises are prompted for a meeting password.
