Using your fingertip or the provided stylus, create drawings, share ideas, and annotate shared content. Collaboration has never been easier: send your whiteboards by email, share them during calls so everybody can work together, or save them to Webex spaces.

Whiteboard basics

Tap the whiteboard button on your touchscreen to open the whiteboard. If you already have some whiteboards in progress, the latest one opens. If not, you'll get a new blank board. When the toolbars appear at the bottom, you're ready to start.

But first, let's look at what the buttons on the left-side toolbar are for:

Open the list of whiteboards from your current session. Tap one to open it.

Create new whiteboard icon

Start a new, blank whiteboard.

Copy the open whiteboard to the whiteboard folder. Tap to find the copy and open it.

Delete the open whiteboard. The system will ask you to confirm. To delete another whiteboard from your current session, tap . Tap Delete on the whiteboard(s) you want to delete (or choose Select All). Tap the red checkmark and the system will ask you to confirm your choice.

Black Canvas

Change the whiteboard to a black screen. The whiteboard appearance resets to the default setting when the Board goes into standby mode. To change the default appearance, open the Board's Settings menu, go to Advanced Settings and then toggle the Whiteboard default appearance.

When You're Finished

If you're on a Board Pro, exit the whiteboard by swiping up from the bottom of the screen.

To exit the whiteboard at any time press the Home button and then tap End Session. Delete your existing work when prompted, and you'll return to the Home screen. Read more about ending your whiteboarding session and cleaning up the board, here.

Whiteboards: creating content

Creating content on your whiteboard is easy: just write and draw on the touchscreen with your fingertip or using the provided stylus. More than one person can work on a board at the same time. Pinch and zoom in (up to 3x) on the touchscreen, just like you do on your phone. To move around the whiteboard while you're zoomed in, press and swipe in the direction you want to move. To get an overview of the entire whiteboard, zoom out (up to 10x).

Let's take a look at what you can do, using the buttons on the middle toolbar at the bottom of your screen:

Undo/redo your last action(s).

Change the pen stroke. Tap to select the thickness: . Tap any of the colored buttons to pick a different color.

Change your fingertip (or the stylus) to an eraser and rub out mistakes. To clear the whiteboard completely, tap the eraser twice and then tap Clear All.

The whiteboard can recognize basic shapes like squares, circles, triangles, rectangles, arrows and curved lines as you draw them, and will straighten edges and close small gaps in the outline for you. Either tap the button and draw a shape, or draw your shape and press the touchscreen for a second before lifting your finger or the stylus away. The whiteboard detects your shape and adjusts it for you.

Sticky Note

Add a sticky note to the whiteboard. Tap the button to get a soft keyboard. Type your text (up to 6 lines), choose a color and tap the checkmark to add the note to the board. Tap any note already on the board to change the color, edit the text or delete it. Press a note and drag with your finger to move it.

Active Pen on Board Pro

Two people can draw or erase on a Board Pro at the same time with two active pens, or one active pen and one with their fingers. Hold the tip of the pen against the screen and press the top button on the pen. The pen's toolbar open.

You can choose the line thickness and different colors. To erase, tap on the eraser icon or press the lower button on the pen. In the main color toolbar, A indicates the first active pen, B the second, and F indicates that someone else is drawing with their fingers.

Share a whiteboard in a call

You can share your whiteboard in a call, and the other participants can edit it from their device or from the Webex app. You'll see the avatar or device initials of the participant editing a shared whiteboard at any time.

During a call (or from a call in an open Webex space) press the home button and tap Whiteboard . Your whiteboard is automatically shared live with the call participants. Tap to open a new whiteboard during the call.

Tap Done in the left corner of the screen if you're finished working, but remember that your whiteboard is still shared.

Tap to keep working or tap Stop sharing to stop others seeing your whiteboard.

When your call is over, Save your work appears on the home screen. Tap it to save your whiteboards to a Webex space.

Save and send whiteboards

If your board is already connected to the Webex app, just open a space on the board. The whiteboards you create in the current session will be saved automatically to that space, as snapshots in .png format. For more on how to open a space on a board, see Open a Space on a Cisco Webex Board.

Otherwise, you can save your whiteboards by creating a new space for them, or by opening an existing space:

In your active whiteboard, tap , or tap the Home button to open the Save Your Work dialog. Either:

Select Create a new space.

Select Save to an existing space. Connect to the Webex app and open the space you want to save to. If you're a guest user on a personal Webex Board, you can only save to spaces the board owner is a member of. As a guest, you also can't open any whiteboards from a space where the board owner is not a member.

Select any additional whiteboards you want to save.

If you're creating a new space, tap the blue arrow in the upper right corner. In the next dialog you can rename the space and add people.

Tap the blue checkmark in the corner. Your whiteboard(s) will be saved.

If you created a new space, it will open up in the Webex app.

To email the current whiteboard, tap at the bottom right corner. Or, tap and choose one or more whiteboards from the list. In the dialog, enter email addresses or the name(s) of people in your directory. Edit the subject line, and tap the blue checkmark to send. Recipients will receive an email with the whiteboard(s) in .pdf-format.
