Cohosts

The Cohost role provides privileges similar to the host role and can help improve productivity. If the host is running late or can't attend, a cohost can start and manage the meeting or event. Cohosts can also assist the host with meeting management, which is useful for larger meetings. If the host is not in the meeting, a cohost will assume the host role until the original host joins.

During a meeting, hosts can assign the Cohost role to one or more attendees. The option to assign the role is dimmed for attendees who join from unsupported clients. If the host assigns the Cohost role to invitees while scheduling the meeting or event, those invitees join the meeting with the Cohost role. During the meeting or event, the host can assign the cohost role to attendees—even to guest attendees.

Cohosts can perform the following meeting management tasks:

  • Start and host the meeting or event for you.

  • Mute or unmute some, or all participants.

  • Permit or prevent attendees unmuting themselves after the host or cohost mutes them.

  • Share multimedia.

  • Move attendees to and from the lobby.

  • Expel attendees.

  • Start recording, if a cohost has assumed the host role.


    Once the original host joins, they will take back the host role and the ability to record. Participants that have the cohost role cannot record.

  • Invite and remind attendees.

  • Manage breakout sessions.

  • Join breakout sessions to help attendees.

  • End the meeting or event.

  • Lock or unlock the meeting or event.

If a cohost is connected to a Cisco video device, the connected device is assigned the cohost role too. The following notification shows on the device and the device will have the same capabilities as the host such as lock or unlock the meeting, mute all participants, and start or stop recording the meeting if the device has assumed the host role:

Add Cohosts while Scheduling a Meeting on Your Webex Site

When you schedule a meeting from your Webex site, you can specify cohosts for your meeting.


If you want to give attendees without a host license or an account on your Webex site the cohost role, they can be promoted to the role once the meeting starts.

Sign in to your Webex site and select Schedule a meeting.

On the Schedule a meeting page, specify the basic options for your meeting.

In the Attendees field, add attendees separated by commas or semicolons, and then press Enter.

To designate specific attendees as cohosts, select Make this attendee a cohost.


 

Only users with accounts in your Webex site and have host licenses can be made a cohost when you schedule a meeting.

If you don’t see this option, go to Step 5 and select Let me choose cohosts for this meeting. (You can make an attendee a cohost in the Attendees list.) from the Cohost options.

To provide more flexibility on who can be a cohost for your meeting, go to Show advanced options > Scheduling options.

Select one of the additional options:

  • Let me choose cohosts for this meeting. (You can make an attendee a cohost in the attendees list.)

  • The first person to join the meeting who has a host account on this site becomes a cohost.

  • All attendees who have host accounts on this site become cohosts when they join the meeting.

Add Cohosts while Scheduling an Event on Your Webex Site

When you schedule an event from your Webex site, you can specify cohosts for your event.


If you would like to give attendees with or without a host license or an account on your Webex site the cohost role, they can be promoted to the role once the event starts.

Sign in to your Webex site, click the drop-down arrow, and select Schedule an event.

On the Schedule an event page, specifiy the basic options for your event.

In the Panelists field, add panelist separated by a commas or semicolons, and press Enter.

To designate specific panelists as cohosts, select Make this panelist a cohost .


 

Only users with accounts in your Webex site or have host licenses can be made a cohost when you schedule a meeting.

Add Cohosts for Your Personal Room Meetings

You can designate a cohost for your Personal Room in Webex Meetings on your Webex site. The following settings won’t affect your events.

Sign in to your Webex site and go to Preferences > My Personal Room.

In the Cohosts section, check Allow cohosts for my Personal Room meetings. A number of options will appear.

Select one of the options:

  • Let me choose cohosts for my Personal Room meetings. Enter the email for each attendee that you would like to be a cohost.

  • The first person to join the meeting who has a host account on this site or the first authenticated Cisco video device in this organization to join my Personal Room becomes a cohost

  • All attendees who have host accounts on this site and all authenticated Cisco video devices in this organization become cohosts when they join my Personal Room meetings

Add a Cohost to an Existing Meeting or Event on Your Webex Site

Sign in to your Webex site and go to Meetings.

If you don't see your meeting or event in the list, specify a date range and then select OK.

Select the meeting or event name.

For a meeting, in the Who is Invited? section, locate the invitee, mouse-over More , and then select Assign cohost.

For an event, in the Panelists section, locate the panelist, mouse-over More , and then select Assign cohost.

Add Cohosts to Your Meetings in Microsoft Outlook for Mac and Windows with the Webex Scheduler

Before you begin

Ensure that you've installed the Webex Scheduler.

Schedule a meeting with Microsoft Outlook.

Add attendees for your meeting.

On the meeting invitation, in the Cisco Webex group on the Outlook ribbon, select Add Webex Meeting.

In the Cisco Webex group, select Webex Preferences.

In the Cohost section, check the corresponding check boxes for the meeting attendees that you want to specify as cohosts.

Select OK.

Add Cohosts to Your Meetings in Microsoft Outlook for Windows with Webex Productivity Tools

Before you begin

Ensure that you've installed Webex Productivity Tools.

Schedule a meeting with Microsoft Outlook.

Add attendees for your meeting.

On the Webex toolbar for the meeting invitation, select Add Webex Meeting.

If the Webex Settings dialog box is not open, select Change Settings on the Webex toolbar to open it.

In the Webex Settings dialog box, select the Resources tab.

In the Cohost section, check the corresponding check boxes for the meeting attendees that you want to specify as cohosts.

Select OK.

Add a Cohost During Your Webex Meeting or Event

During a meeting or event, hosts can assign the Cohost role to one or more meeting attendees—even to guest attendees.

Open the Participants panel and locate the attendee that you want to make a Cohost.

Right-click the attendee's name and then select Change Role > Make Cohost.


 

The option to assign the role is dimmed for attendees who join from unsupported applications.
