Your site administrator must enable the feature for a host to designate cohosts in a meeting or webinar. For more information, contact your site administrator.

Cohosts

If the host is running late or can't attend, a cohost can start and manage the meeting or webinar in their place. Cohosts can also assist the host with meeting management, which is useful for larger meetings. If the host isn’t in the meeting, a cohost assumes the host role until the original host joins. Webex verifies whether or not someone who joins the meeting has a host account on the same Webex site as the meeting host before making them a cohost.

When scheduling a meeting or webinar, hosts can assign the cohost role to one or more attendees, and those invitees join the meeting as a cohost. The host can also assign the cohost role during a meeting or webinar, including guest attendees. The option to assign the role appears dimmed for attendees who join from unsupported clients.

Add cohosts

Go to the following sections for instructions on how to add cohosts during a meeting or webinar, when scheduling your meeting or webinar, to your personal room meetings, to an existing meeting or webinar, through the scheduler in Microsoft Outlook, or using Webex Productivity Tools.

Cohost privileges

Cohosts can perform the following tasks:

  • From the meeting or webinar information page:

    • Customize the registration form

    • Approve or reject pending registrants

    • Change a registrant's approval status

    • Invite or import panelists (webinar only)

    • Invite or import attendees

  • During the meeting or webinar:

    • Start and host the meeting or webinar


       

      If the host's account has been deleted or deactivated, the cohost can't run the meeting. The cohost must create a new meeting as the host.

    • Mute or unmute some or all participants

    • Permit or prevent attendees unmuting themselves after the host or cohost mutes them

    • Share multimedia

    • Move attendees to and from the lobby

    • Expel attendees

    • Record

    • Invite and remind attendees

    • Manage breakout sessions

    • Join breakout sessions to help attendees

    • Lock or unlock the meeting or webinar

If a cohost connects to a video device, the connected device gets assigned the cohost role, too. "You are now a cohost of this meeting" displays on the device and has the same capabilities as the host. You can lock or unlock the meeting, mute all participants, and start or stop recording the meeting, but you can't end the meeting.

During your meeting or webinar, you can assign the cohost role to one or more meeting attendees—even to guests.

Open the Participants panel and locate the attendee that you want to make a cohost.

Right-click the attendee's name and then select Change Role > Make Cohost.


 

Make Cohost is dimmed for attendees joining from unsupported applications.

When you schedule a meeting from User Hub, you can specify cohosts for your meeting.

To give the cohost role to attendees without a host license or account on your Webex site, you can promote them to the role after the meeting starts.


 

You can only make people with Meetings host licenses on your Webex site a cohost when you schedule a meeting.

Sign in User Hub, then click the Schedule drop-down menu and select Schedule a meeting.

  1. If you have any saved meeting templates, you can select one from the Meeting templates drop-down menu.

On the Schedule a meeting page, specify the basic options for your meeting.

In the Invitees field, add attendees separated by commas or semicolons, and then press Enter.

To designate specific attendees as cohosts, hover over the next to the attendee's name and click Make this attendee a cohost.


 

If you don’t see this option, select Let me choose cohosts for this meeting in the Advanced options section to choose a cohost from the Attendees list.

To provide more flexibility on who can be a cohost for your meeting, go to Advanced options.

Under Cohosts, select one of the following options:

  • Let me choose cohosts for this meeting
  • The first person to join the meeting who has a host account on this site or the first authenticated Cisco video device in this organization to join becomes a cohost
  • All attendees who have host accounts on this site and all authenticated Cisco video devics in this organization become cohosts when they join the meeting

 
Webex checks that someone who joined the meeting received an invite before assigning them as a cohost if you select The first person to join the meeting who has a host account on this site or the first authenticated Cisco video device in this organization to join becomes a cohost or All attendees who have host accounts on this site and all authenticated Cisco video devics in this organization become cohosts when they join the meeting.

To start your meeting right away, click Start; if you're meeting later, click Schedule.

When you schedule a webinar from User Hub, you can specify cohosts. Only people with webinars host licenses on your Webex site can be made a cohost when you schedule a webinar.

You can transfer the cohost role to attendees without an account on your site after the webinar starts.

Sign in User Hub, then click the Schedule drop-down menu and select Schedule a webinar.

On the Schedule a webinar page, specify the basic options for your webinar.

In the Panelists field, add panelists separated by a commas or semicolons, and press Enter.

To designate specific panelists as cohosts, hover over the next to the attendee's name and click Make this panelist a cohost.


 
If you don't make a panelist a cohost when scheduling your webinar, you can make them a cohost after you start the webinar. Right-click their name and select Change Role > Make Cohost.

Click Schedule to schedule your webinar.

You can assign a cohost for your Personal Room on User Hub. The following settings won’t affect your webinars.

Sign in to User Hub, then select Settings.

Select My Personal Room and in the Cohosts section, check Allow cohosts for my Personal Room meetings.

Select one of the options that appear:

  • Let me choose cohosts for my Personal Room meetings ––enter the email for each attendee that you would like to be a cohost.

  • The first person to join the meeting who has a host account on this site or the first authenticated Cisco video device in this organization to join my Personal Room becomes a cohost

  • All attendees who have host accounts on this site and all authenticated Cisco video devices in this organization become cohosts when they join my Personal Room meetings

Click Save.

Cohosts are listed in the Join information of a scheduled meeting.

You can assign cohosts to a scheduled meeting or webinar.

Sign in User Hub and go to Meetings to see your meetings list, or Webinars to see your webinars list.

If you don't see your meeting or webinar in the list, specify a date range, and then select OK.

Select the meeting or webinar name.

Under Who is Invited? in meetings, or Panelists in webinars, locate the person you wish to assign.

Click next to their name, then select Assign cohost.


 
If you don't see next to their name, you may not be able to assign cohosts. For more information, contact your site administrator.

When you schedule a meeting with the Webex Scheduler in Microsoft Outlook, you can specify cohosts for your meeting.

Before you begin

Make sure you've installed the Webex Scheduler.

Schedule a meeting with Microsoft Outlook.

Add attendees for your meeting.

On the meeting invitation, in the Cisco Webex group on the Outlook ribbon, select Add Webex Meeting.

In the Cisco Webex group, select Webex Preferences.

In the Cohost section, check the corresponding check boxes for the meeting attendees that you want to specify as cohosts.

Select OK.

When you schedule a meeting with the Webex Productivity Tools in Microsoft Outlook, you can specify cohosts for your meeting.

Before you begin

Make sure you've installed the Webex Productivity Tools.

Schedule a meeting with Microsoft Outlook.

Add attendees for your meeting.

On the Webex toolbar for the meeting invitation, select Add Webex Meeting.

If the Webex Settings dialog box is not open, select Change Settings on the Webex toolbar to open it.

In the Webex Settings dialog box, select the Resources tab.

In the Cohost section, check the corresponding check boxes for the meeting attendees that you want to specify as cohosts.
