There is more than one way to start a meeting from the Cisco Webex Meetings desktop app. From the dashboard, you can select to start a meeting in your Personal Room.

You can also select the Start button at the top of the Cisco Webex Meetings app.


The start button appears up to 15 minutes before your scheduled meetings.

From the Meeting list tab, you can select Start to start any meetings that you are the host of.

If you’ve already connected to a video device, you'll start the meeting automatically on that device when you click Start.

Below the Join a Meeting heading, you can enter a Personal Room ID for the room that you want to join. After you enter the Personal Room ID in the text box, you can select the Join meeting button.


You can find the host's Personal Room host ID in the Personal Room link. For example, if the Personal Room link is organizationname.webex.com/meet/jparker, the host's Personal Room ID is jparker.

You can also select the Join button at the top of the Cisco Webex Meetings panel when you've been invited to a meeting.


The join button appears up to 15 minutes before a scheduled meeting, depending on your meeting notifications preferences.

You can select one of the profile pictures in Recent Personal Rooms list to join a recently joined Personal Room. If you want to see more rooms you have recently joined, you can select the More icon.

If you’ve already connected to a video device, you'll join the meeting automatically on that device when you click Join.

From the Meeting list tab, you can view a list of your scheduled meetings. At the top left of the panel, you can select Schedule meeting to schedule a meeting from your Webex site or Microsoft Outlook.


If you want to change how you schedule your meetings from your calendar, you can go to Preferences > Meetings. Under the Calendar integration section, choose from Webex or Microsoft Outlook.

At the top right of the panel, you can select Show calendar to view your meeting list from any calendar date.


If you want to use Microsoft Outlook as an integration, it must be enabled in your preferences. To enable it, go to Preferences > Integrations.

From the Connect to a device tab, you can look for compatible video devices to pair with your Cisco Webex Meetings desktop app. You can connect to on-premises or cloud-registered video devices using the same steps.

The Cisco Webex Meetings desktop app listens for ultrasound signals from Webex devices using the microphone on your computer to make the connection. No audio is stored or sent to Cisco.

When your Cisco Webex Meetings desktop app detects a nearby video device, you can choose to connect to it and join a meeting from that device. If you're paired to a cloud-registered device, the device joins the meeting automatically when you click Join. If you're paired to an on-premises device, answer the call from the video device to join the meeting.

To join your next meeting with the video device, you can check the Join meeting using this video system check box.

If you're paired to an on-premises device, then you can also share content locally.

To share content locally on the video device, you can select Share on Device. If you want to stop sharing, you can select Stop sharing.

In your preferences, you can check your account settings, choose your meeting notifications, enable plug-ins that you want to use with your Cisco Webex Meetings desktop app, and more.

To access your preferences, do one of the following:

  • On Windows, select the gear icon in the top right of the Cisco Webex Meetings app. Then in the drop-down list, select Preferences.

  • On Mac, select Cisco Webex Meetings on the app menu. Then in the drop-down list, select Preferences.

  1. Use the tabs to navigate through your preferences. You can change the following:

    • General—Enable your app to always show on your desktop and to open when you turn on your computer.

    • Account—View your username, Webex site URL, and email address that you use in the app.

    • My Personal Room—View the name, link, number, video address, and host PIN of your Personal Room in the app.

    • Meeting Join Option—Choose the video device, computer audio, phone and camera, connection in advance so there are fewer steps to join a meeting. For more information, see Set your Meeting Join Preferences in the Cisco Webex Meetings Desktop App and Mobile App.

    • Phone Number—View and edit the existing phone numbers and clear the recent phone numbers. When you click edit, you are taken to the Webex site where you can update and save the new numbers. For more information, see Manage Phone Numbers in Preferences for the Cisco Webex Meetings Desktop App and Mobile App.

    • Calendar—Choose your calendar settings that you want your meeting list to display.

    • Notifications—Enable notifications for your meetings and choose when you receive them. In Windows, you can switch the toggle on to receive notification for:

      • In-meeting notification sounds when you receive a chat message.

      • Participant action sound when a participant joins a meeting, leaves a meeting, and raises a hand.


      These features are not available on Mac.

    • Video Systems—Enable auto detect, to pair with nearby devices and also choose to call my video system.

  2. When you are done changing your preferences, you can select Save or Apply

You can find the host's Personal Room host ID in the Personal Room link. For example, if the Personal Room link is example.webex.com/meet/jparker, the host's Personal Room ID is jparker.

You can also select the Join button next the meeting name in the Upcoming Meetings list.

Click the Join a Meeting field and select one of the profile pictures in the Recent Personal Rooms list to join a recently joined Personal Room. If you want to see other rooms that you have recently joined, you can select the More icon.

Under Upcoming Meetings, you can view a list of your scheduled meetings. You can select to schedule a meeting from your Webex site or Microsoft Outlook.


If you want to enable or change how you schedule your meetings from your calendar, you can go to Preferences. For more info, see Set Your Preferences.

Under Upcoming Meetings, select Calendar next to the date, and then view your meeting list for any calendar date.

Use the Connect to a device option to look for compatible video devices to pair with your Cisco Webex Meetings desktop app. You can connect to on-premises or cloud-registered video devices using the same steps.

This feature is only available for Cisco Webex Control Hub-managed sites or for Cisco Webex Site Administration-managed sites that are linked to Control Hub. Contact your site administrator to find out where your site is managed.

In your preferences, you can check your account settings, choose your meeting notifications, enable plug-ins that you want to use with your Cisco Webex Meetings desktop app, and more.

To access your preferences, do one of the following:

  1. Open the Webex Meetings desktop app and sign in.

  2. On Windows, select the gear icon in the top right of the Cisco Webex Meetings app. Then in the drop-down list, select Preferences.

    On Mac, select Cisco Webex Meetings on the app menu. Then in the drop-down list, select Preferences.

  3. For each preference you set, click Save.

  4. You can change the following:

    • General—Set the way that you want your app to open when you turn on your computer.

    • Account—View your username, email address, and Webex site URL. Select Change if you want to use a different Webex site URL.

    • Meetings—Choose your Calendar and Meet Now settings. Set default options for instant meetings that you start with Meet Now. Depending on your site settings, you can also select whether your instant meetings take place in your Personal Room. Your Personal Room link and video address are also available here if you want to copy them to share with others.


      Windows: If you want to use the Webex Meetings integration to Microsoft Outlook, it must be enabled in your preferences. To enable it, go to Preferences > Integrations.

    • Notification—Use the drop-down option to select how long before a meeting you want to receive a reminder.

    • Video Devices—Connect your computer to a video device. Toggle the slider to automatically discover nearby devices.

    • Integrations—Connect the Webex Meetings desktop app with the calendar, Microsoft Office, and browsers.
