With Webex Assistant for devices, you can use your Board, Desk, and Room Series devices hands free. Just use your voice to initiate tasks without the need to look for a touch controller.

To use Webex Assistant for devices, your device admin needs to enable it for your organization. To find out more about the setup and requirements, see Enable Webex Assistant for devices.

Webex Assistant for devices is available in the following languages:

  • English

  • French

  • Spanish

  • German

  • Japanese

  • Italian

  • Portuguese (PT)

  • Portuguese (BR)

The Webex Assistant language depends on which language is selected on the device. If your device is set to another language than listed above, Webex Assistant for devices responds to English.

You can start using Webex Assistant by saying the wake-word “OK Webex...” and your command. To close Webex Assistant, say "Dismiss".

  • Webex Assistant doesn't respond when the device is muted. To continue using it, unmute the device from the touch controller or the integrated touchscreen.

  • Webex Assistant for Devices is supported on cloud-registered devices and devices linked with Webex Edge for Devices. It is not available on on-premises registered devices.

Below are some example use cases on how to use Webex Assistant. All Webex Assistant voice commands work similarly to the examples you can find in this article.

Use case 1: What Webex Assistant for devices can help you with

To check what Webex Assistant for devices can help you with, ask “OK Webex, what can you do?”.

To scroll through the items, swipe the touch controller or integrated touch screen on your device.

When you find a task you want to do, start your voice command with "OK Webex...".

If you want to close the help menu, say "Dismiss".

Use case 2: Call from directory

Use the wake-word “OK Webex” to start your command. If you want to call someone using their name, say “OK Webex, call Barbara”.

You can also call by using a number or by spelling a name. Say "OK Webex, call B-A-R-B-A-R-A".

You can only call to local phone numbers. Extension and other internal numbers are not supported.

Webex Assistant for Devices shows you options from the directory. Either scroll through the suggestions, by saying “Show me more”, or choose an option and say “Option 1”.

When you have selected an option, Webex Assistant for Devices starts a call to that person.

Use case 3: Join another person's Personal Room meeting

You can only join Personal Rooms of people in your organization.

Say "OK Webex, join Barbara's Personal Room".

Webex Assistant for Devices gives you options based on the name you used. Find the one you want to join and say "Option 1".

Webex Assistant for Devices joins the Personal Room.

You will be asked whether you are the host yes or no, you can say “no” or use the touch controller or on the integrated touchscreen on your device to select the appropriate option.

Use case 4: Join your Personal Room meeting

To join your Personal Room meeting (PMR), you need to be either connected to the device with your Webex App or using a device that is registered to you.

Say "OK Webex, join my Personal Room".

Webex Assistant asks you to confirm that you want to join this room. Say "Yes".

Webex Assistant joins your Personal Room.

You will be asked whether you are the host yes or no, you can say “yes” or use the touch controller or on the integrated touchscreen on your device to select the appropriate option. Enter the pin code on the touch controller or on the integrated touchscreen. The meeting starts.

When you walk into the room where your meeting is scheduled, 30 seconds before the meeting proactive join asks if you would like to join. All you have to say is “Yes” and the device is connected to the meeting.

Proactive join uses data that the devices are already collecting. The device recognizes when there are people in the room and a meeting is ready to start. The device checks people presence, connected devices, and that there’s a scheduled meeting.

Joining a meeting with proactive join is available when you schedule the meeting in a room with a Webex Assistant enabled device. In the meeting invite's location add both the room and @webex, @webex:myroom, or @meet:myroom for a personal room meeting. If you want to schedule a Webex meeting, add the room and @meet, @webex:space, or @meet:space in the location field. Proactive join meeting prompts

To use proactive join, the meeting room needs to be added in the invitation in the same way as you enable One Button to Push meetings. Read here how to schedule a Webex Meeting from your calendar.

If the room is booked for a meeting, Webex Assistant asks if you wish to join it.

The prompt to join meetings is available 30 seconds before the meeting is scheduled to start. It disappears 5 minutes after the scheduled starting time.

To join the meeting, say “Yes” or “Join”, and the device joins the meeting. If you don't wish to join, say "Dismiss".

Toggle proactive join off and on

When Webex Assistant for devices is enabled in your organization, you can toggle proactive join on or off on an individual device.

When a device is scheduled for a meeting, you get a prompt from Webex Assistant to join the meeting 30 seconds before the meeting starts. The prompt is visible for 5 minutes after the meeting is scheduled to start.

When Webex Assistant for devices is enabled in your organization, Proactive join is by default On on all supported devices.

On your device, go to Settings. Under Advanced Settings, tap Webex Assistant. Then toggle proactive join on or off.

Board, Desk, and Room Series: To open the Settings menu, tap the device name on the touch controller or the integrated touch screen. Then select Settings.

Board Pro and Desk Mini: To open the Settings menu, swipe from the right side of the screen and tap Device settings.

With in-room booking, you can extend your booking or book a room for a spontaneous meeting. If the room is available, Webex Assistant books the room for you.

With Webex Assistant, you can book a meeting room or extend a booking from 5 minutes and up to 2 hours, if the meeting room is available. The booking starts from when you request it. You can't make bookings for a later point in time.

When you book or extend a meeting, the booking becomes visible in the calendar of the meeting room. It shows up as organized by the room scheduler, not by the person who made the booking.

To check when the meeting room is booked that day, say “OK Webex, show today's meetings”.

Book a Meeting

To book a meeting, say for example “OK Webex, book this room for 30 minutes” or “OK Webex, reserve this room until 10.40”. Webex Assistant confirms the booking if the meeting room is available.

Extend a Meeting

You can extend the meeting room booking at any time during the meeting. 5 minutes before your meeting booking ends, you see a notification on the screen to extend it if the room is available.

To extend the booking, say for example “OK Webex, extend the meeting for 15 minutes” or “OK Webex, extend the meeting until 2.30”. Webex Assistant confirms the booking if the meeting room is available.

When Webex Assistant for devices is enabled in your organization, you can toggle Webex Assistant on or off on an individual device. When Webex Assistant is on, you can use voice commands to control the device.

When Webex Assistant for devices is enabled in your organization, it's by default On on all supported devices.

On your device, go to Settings. Under Advanced features, tap Webex Assistant. Then toggle Webex Assistant on or off.

Board and Desk Series: To open the Settings menu, swipe from the right side of the screen and tap Device settings.

Room Series: To open the Settings menu, tap the button on the touch controller. Then tap Device Settings.
