You can upload several different file types to annotate or mark up. Participants can switch between all whiteboards and documents that are being shared by clicking the drop-down arrow at the top center of the whiteboard and selecting the whiteboard or document.


 

Participants who join the meeting from video systems or video conferencing applications will not be able to see or annotate the shared content. The host must share their screen for video system participants to see the shared content.

If the host joins from a video system, they can share a whiteboard, but only other video system participants can annotate. For more information, see Whiteboarding on personal mode desk series devices.

When presenters from the Meetings app for iOS and Android share the whiteboard, it will be visible to video system participants.

Choose one of the following:

  • Share a whiteboard—Click Share content and then select New Whiteboard.

    Click Edit > Add Page to add more pages to your whiteboard.

  • Share a document—Click File > Open and Share, then navigate to the location of your file, select it and click Open.

To change which page you're viewing you can:

  • Select the page you want to view by clicking on the page thumbnail.

  • Select a page thumbnail then use the up and down arrows on your keyboard.

  • Click the arrows above and below the current page number from the Controls panel on the left.

  • Click the page number in the Controls panel on the left and enter the page you want.

To stop sharing, click the drop-down arrow next to the whiteboard name, then click 'X'. If you're sharing multiple whiteboards, you must do this for each of them.

Follow these steps to save your content.

 

All unsaved documents and whiteboards will be lost once the meeting or event ends.

Choose the whiteboard or document you want to save from the list.

Click the Save button from the Annotate toolbar on the left.

Navigate to where you want to save the file.

Name the file and choose the Portable Document Format (*.pdf)

Click Save.

Use the annotation tools to annotate your shared content. You can enable annotating for all participants or only those you specify. The table below shows all the tools in the annotate toolbar and their options. Learn more about annotating in your meeting or event.

Click to enable and disable annotation for all participants.

Click the arrow next to the image and select a participant's name to allow specific particpants to annotate.

Draw attention to specific a point on the screen by using a pointer.

The arrow pointer includes your name .

Click the arrow to select the laser pointer.

Mac users: Click and hold the arrow for 1-2 seconds.

Add text to shared content.

Change the text color by selecting first.

Draw straight lines to underline content or draw attention to it. Drag your mouse to draw a line.

Click the arrow to select single or double arrowhead.

Mac users: Click and hold the arrow for 1-2 seconds.

Change the line color by selecting first.

Draw a square.

Click the arrow to draw an oval, check mark, or X mark.

Mac users: Click and hold the arrow for 1-2 seconds.

Change the color by selecting first.

Draw freehand using the pen.

Click the arrow to draw with a pencil.

Mac users: Click and hold the arrow for 1-2 seconds.

Change the ink or lead color by clicking first.

Change the color of text, lines, shapes, and the pen or pencil tool.

Click the arrow to select a color.

Erase an annotation by selecting the eraser and then selecting the annotation.

Click the right arrow to erase all annotations or only theirs.

Mac users: Click and hold the arrow for 1-2 seconds.

Save your annotations.


 

You must save your whiteboards and documents before ending the meeting or they will be lost.
