IMPORTANT: Cisco Webex announces the discontinuation of the Webex in Box integration. This integration will no longer be supported, and no new installations will be possible beyond April 30th, 2024. If the integration is already enabled for a user, then it should continue to work until July 31st, 2024.

 
The ability to share and view Box files in the Webex app using the paperclip is not affected by this announcement and will continue to be supported.

If your site administrator has enabled integrations for your Box account, you can start, schedule, and join Webex App Personal Room meetings with collaborators when sharing a Box file.

Select a file you want to Start a Meeting for.

Click Open Webex in the dialog box to launch the app.

Select Start a Meeting.

To add new collaborators by email, verify the correct permissions are defined in the following step.

Then, decide who can view the file in the space:

  • Anyone with the link—Anyone with the link can access the item and no Box account is required. For extra security, you can also set a password or expiration for the link, as well as restrict download and/or preview access for link viewers.

    Password-protected shared links are available to all paid Box User accounts.

  • People with your company—Only people who are managed on a Box account (Starter and above), or have an email address that matches a domain registered with Box for the account that created the link, can access the link. For example, if acme.com is a registered domain on your account, all managed account members with an email address ending in acme.com can access this type of link. People who do not match a domain listed on your account cannot access the link.
  • Invited people only—Only people invited to the folder or file can access the content. Collaborators already have access to their content, but can easily direct one another to a specific file or folder using the shared link.

 

You can set the link options on individual files and/or folders by the owner, across all owned content, or by the admin for the entire company. Also, verify that the setting you choose allows file access to the person with whom you are sharing it. Otherwise, your intended recipient receives an error when they click on the link.

Click Start meeting to send invites and launch your meeting.

Share a file and schedule a future meeting with relevant stakeholders from one window. Minimize effort on your end and encourage preparation on theirs.

(Optional) Change the Meeting password.

Click Schedule to confirm and send your invites.

From the share menu, you can see a list of your upcoming meetings for day and even join one that starts soon—without having to leave Box.

(Optional) Add a Description for the space.

Click Create New Space.

Select a file you want to join or launch a space for.

Under Shared in spaces, click the space you want to launch.


 

Click Open Webex in the dialog box to launch the app.

When sharing a file from Box to Webex App, you can either create a new space to share to, or choose from a list of existing spaces you participate in.

Select the file you want to share in a space.

Click Share in Webex from the Sidebar.

Start typing a space name and select an existing space from the drop-down.


 

Spaces with role restrictions may prevent your ability to share files.

Click the Participants icon to verify the recipients, then click Share.
