Sign in to a shared phone (Hot Desking)
This Help article is for the Cisco Desk Phone 9800 Series, Cisco Video Phone 8875 and Cisco IP Phone 8800 Series with Multiplatform Firmware that registers to Webex Calling as a shared device. Sign in and book a shared phone so that you can use your directory number on it for calls and joining your scheduled Webex meetings.
If you’re working in a shared workspace that has a Cisco phone with the hot desking feature enabled, you can sign in and book the phone to use it as your personal device.
Once booked, the phone loads your contacts, Webex calendar, and call history, allowing you to easily access and manage your communications. This feature enables you to work more efficiently and effectively in a shared workspace environment.
If the workplace phone is configured as a hot-desk-only device, it operates in the host mode by default and can only be used to make emergency calls. To access all features, sign in and book the phone.

Proceed by following the on-screen guide on your mobile device. The steps on mobile devices may vary depending on the device model and operating system. When logging in through a web browser instead of the Webex App, you will be prompted to enter your Webex account credentials. |

Wait until the phone restarts. When you successfully book the device, you can see that your directory number,
call history, and Webex calendar displayed on the phone.

After signing in, you’ll be prompted to choose the end time for your booking. By default, 5 p.m is selected, but you can select a different end time during the same day. Make sure to tap Book desk to confirm your booking. Otherwise, the booking screen times out in 2 minutes, then the phone signs you out and goes back to the QR code screen.
The Top 360 LED and Front Arc LED on the shared Cisco Desk Phone 9871 indicate the availability status. When the phone is available, the LEDs light in solid green. After you sign in and book the device, the LEDs will light in solid white.
Once the booking duration expires, the system signs you out automatically. If needed, you can also end your booking by signing out from the phone or from your Webex App. This terminates the booking and free up the resource for other users.
On a booked device, you can't upgrade the software or do a factory reset.

Sign out of the booked phone
If you need to end your booking earlier, simply sign out of the phone to make the workspace available for other users. Otherwise, the system will automatically sign you out when your booking duration expires. If you happen to be on a call when the booking expires, the phone will keep the call connected and sign you out after the call ends.
For privacy reasons, your personal data will be removed from the device once you sign out.

You can sign yourself out of a booked device using Webex App either on your mobile phone or on your computer. This option is helpful when you leave the workspace forgetting to sign out.

On your Webex App, choose the Connect to device icon . |

Locate your booked phone in the Booked devices list and choose Sign out. |

Confirm the sign-out in the pop-up window. |
