When you require that your attendees register for a meeting or event, you can do the following before and during the session:

  • View a list of attendees to determine whether they have registered for the meeting or event.

  • Obtain attendees' names, email addresses, and other information before they can join the meeting or event.

  • Accept or reject individual registration requests.

If you invite someone to a meeting or event that requires registration, they receive an invitation email message that includes the following:

  • Information about the meeting or event.

  • A link to register for the meeting or event.

  • A random registration ID for the event, if you selected this option.

To set up required registration for your meeting or event:

Sign in to your Webex site, then select Schedule a meeting or Schedule an event.

After entering your meeting or event information, select Show advanced options > Scheduling options.

Under Registration, select Required.


 

Registration cannot be used with recurring meetings or if the Join before host option is selected. If these options are selected, registration is disabled for the meeting or event, and any previous attendee registrations are permanently deleted. To recover these attendee registrations, please contact the Cisco Technical Assistance Center.

  • To prevent unauthorized event access for guest attendees, under Registration ID, select the checkbox next to Generate random ID authentication for each registrant. Once the event is scheduled, the attendee receives a registration ID through email. When the attendee joins the event, they enter the registration ID and their email address for authentication.

     

    This feature is available on a delayed release cycle. Check status.webex.com/maintenance to see when it is available on your site.

  • Under Approval rules, leave Automatically approve all registration requests unchecked to secure a meeting or event from unauthorized access. The host manually accepts or rejects all registration requests. For more information about approval rules, click Principles of rule execution. For more information about approving or rejecting registration requests, see Accept or reject meeting and event registration requests for more information.

     

    If you leave this check box unchecked and an attendee registers after the meeting or event has already started, they cannot join the meeting until they receive a registration confirmation email and provide the meeting password. For more information, see Accept or reject meeting and event registration requests.

  • If you check the Automatically approve all registration requests check box and an attendee registers after the meeting or event has already started, the attendee can join the meeting or event immediately without providing the password.
  • Under Registrant number, in Maximum number of registrants, enter a number lower than your license capacity to set a registration cap.

(Optional) To customize the registration form to obtain additional information about each attendee, complete the steps in Customize the Webex Meetings and Webex Events (new) registration form.

Click Schedule.

  • Once one or more attendees have registered for the meeting, you can preview the registration form, but you can’t edit it.

  • If no one has registered, you can uncheck the Require attendee registration check box and edit the custom registration form.

  • If you uncheck the Require attendee registration check box after one or more attendees have registered for the meeting, all registrations are deleted. If you check the Require attendee registration check box again, the registration form defaults to the standard registration form with the attendee’s name and email address.
