Customize Cisco AI Assistant and AI features in Control Hub

Cisco AI Assistant and AI features help with your users’ productivity, collaboration, and communication. They can also automate some of your users’ daily tasks.

Turn Cisco AI Assistant and AI features on Webex App

Sign in to Control Hub.

Go to Management > Organization Settings > Cisco AI Assistant & AI features > Customize AI Assistant & AI features.

In the Messaging section, turn AI Assistant options on or off:

  • Allow AI Assistant with Ask Me Anything for Messaging—Users can get answers to work-related questions from the AI Assistant panel when they're in the Messaging tab.

    Access AI-generated Messaging features through the Assistant. With space summaries, save time on unread messages and conversations. You can also enhance all communications with message translation and rewrite.

  • Space summaries—Allow users to summarize threads in a space within a given timeframe, such as a day or a week. For more information, see Webex App | Generate space summaries and Webex App | Summarize your message threads.
  • Rewrite message—Help users enhance and improve their communication in Webex App. AI Assistant can fix mistakes and adapt the style, tone, and content to help users communicate faster and more effectively. For more information, see Webex App | Rewrite your messages with AI Assistant.
  • Message translation—Allow users to enable their target language in their settings, and translate individual messages or all messages in spaces in real time. For more information, see Webex App | Translate messages in a space.

You can also turn these options on or off in templates or per user. For templates, see Create a messaging template in Configure settings templates in Control Hub. For users, see Turn Cisco AI Assistant on or off for users below.

In the Meetings section, turn AI Assistant options on or off:

  • Ask AI Assistant for Meetings tab—Users can get answers to work-related questions directly within the AI Assistant panel when they're in the Meetings tab. To enable Meetings content as search sources for AI responses, see the AI Assistant search sources section.

Select a user and click the AI tab to turn on AI Assistant features in Calling.

You can configure custom settings for the specific user to independently manage the call summaries and visual notifications, instead of using the default AI Assistant settings from the organization.

In the Calling AI features section, turn features on or off in Enable AI assistant in Calling

  • Show visual notifications—If turned on, users can see visual notifications.
  • Play audio notifications for Internal calls—The administrator can manage and control the audio and video notifications that are sent when AI Assistant is turned on for internal calls.
  • Play audio notifications for External calls—The administrator can manage and control the audio and video notifications that are sent when AI Assistant is turned on for external calls.
  • Enable post call summaries and transcripts —If you've missed part of the call, AI Assistant can catch you up by summarizing what you've missed in the call. The post-call summary and transcript are stored in the storage region that is configured for the location.
  • Share a summary for transferred or conference calls—If turned on, AI Assistant creates a short summary of an ongoing call so far, and share it with the recipient on call transfer or conference.
  • Caller intent—If turned on, the recipient of the call transfer or conference is able to view the caller's intent and a short summary of the call before answering the call.
    • Intent and share summaries are generated in the language spoken by the user who initiates the sharing. For example, if Alice and Bob are communicating in English and Alice adds Charlie to the call, the summaries will be generated in English, regardless of Charlie’s Webex App language settings.

    • Shared summaries are stored only for 24 hours and then deleted.

Once the administrator enables the AI Assistant feature in Control Hub for Webex Calling, Webex App users can see and use the AI Assistant tab.

Click Save.

Turn Cisco AI Assistant on or off in Webex meetings

Cisco AI Assistant can generate a summary that users can refer to both during and after meetings, even if the meeting is not recorded. Ask AI Assistant allows users to ask AI Assistant questions about anything work-related.

This feature is available on our Webex Suite meeting platform. Find out if your meetings use the Webex Suite meeting platform.

  • AI Assistant meeting summaries are currently supported in English only.

  • When AI Assistant is available, Webex Assistant for meetings, which provides highlights and voice commands, becomes unavailable.

  • A new summary will only be prompted if there’s sufficient meeting duration to add more information.

  • If a user selects multiple summaries using all the available options in the AI Assistant panel, there may be some summary overlaps and differences in summary durations.

  • Post-meeting summaries and transcripts are only available for meetings within your organization.

Go to Organization Settings > Cisco AI Assistant & AI features > Customize AI Assistant and AI features.

In the Meetings section, turn on any of the following.

For internal or external meetings:
  • Enable AI Assistant in meeting—Users can get answers to not only ongoing meeting questions, but also any work-related questions, directly within the AI Assistant panel when they're in a meeting. To turn on search sources for AI responses, see the AI Assistant search sources section.
For internal meetings only:
  • AI Assistant while recording a meeting—For internal meetings only, you can turn on AI Assistant whenever recording is turned on. When turned on, this feature applies both when the recording is started, or when the meeting organizer turns on automatic recording when scheduling the meeting.
  • Allow external participant for AI Assistant—In-meeting summaries and Ask AI Assistant must be turned on before you can use this feature. When this setting is turned off, participants outside the organization can’t use AI Assistant in meetings, even if AI Assistant is turned on for meetings. External participants will see the AI Assistant button in Webex App but won’t be able to interact with it. You can also enable or disable this setting at the template or user levels.
  • Audio announcement for AI Assistant—For internal meetings only, you can turn off the audio announcement that plays when AI Assistant is starting or restarting. This does not affect the visual notification that AI Assistant is starting. PSTN devices will always receive audio announcements.
  • Auto-detect spoken language—The language spoken in meetings is automatically detected. The transcript shows all spoken languages. For more information, see Auto-detect spoken language.

Turn Cisco AI Assistant on or off in Webex Calling

The Cisco AI Assistant generates summaries that agents can access both during and after an interaction, regardless of whether the call is recorded.

  • If AI Assistant is used during a call, the user who enabled Post call summary and transcript will have access to post-call summaries, action items, and transcripts in their call history. This availability applies regardless of whether the call was recorded and is controlled by both admin and user settings. The AI Assistant data is stored for a fixed duration of 365 days.

  • When AI Assistant is available, Webex Assistant for calling, which provides highlights and voice commands, becomes unavailable.

  • The summaries, action items, and the transcript are available in multiple languages. The spoken language selected by the user in the call will define the post-call content language.

For a limited time, enjoy complimentary access to Share a call summary for transferred or conference calls and Show the caller intent features. Pricing and terms are subject to change.

Both parties, one who shares the call summary and the one who sees the call intent, need the Premium AI SKU.

Go to Organization Settings > Cisco AI Assistant & AI features > Customize AI Assistant and AI features.

You can manage how your organization experiences phone calls by configuring post-call summaries, audio notifications, and visual notifications through the default Organization settings.

In the Control Hub section, turn Allow the Assistant in Control Hub on or off.

You may notice new AI features such as the AI Assistant and AI-powered smart search. If you choose to use these features, follow your company's guidelines regarding the use of generative AI. Cisco may use the input data you provide to answer your questions, identify areas for improvement, and deliver advanced analytics and reporting. You can manage your settings for these features anytime within this section.

Turn Enable AI-powered smart search on or off.

In the Calling AI features section, turn on Enable AI assistant in Calling.

  • Show visual notifications— If turned on, users can see visual notifications.
  • Play audio notifications for Internal calls—The administrator can manage and control the audio and video notifications that are sent when AI Assistant is turned on for internal calls.
  • Play audio notifications for External calls—The administrator can manage and control the audio and video notifications that are sent when AI Assistant is turned on for external calls.
  • Enable post call summaries and transcripts —If you want to catch up on any call, the AI Assistant can help by summarizing the entire call from your call history. The post-call summary and transcript are stored in the storage region configured for your location.
  • Share a summary for transferred or conference calls—If turned on, AI Assistant creates a short summary of ongoing call so far, and shares it with the recipient on call transfer or conference.
  • Caller intent—If turned on, the recipient of the call transfer or conference is able to view the caller's intent and a short summary of the call before answering the call.
    • Intent and share summaries are generated in the language spoken by the user who initiates the sharing. For example, if Alice and Bob are communicating in English and Alice adds Charlie to the call, the summaries will be generated in English, regardless of Charlie’s Webex App language settings.

When turned on, the Enable AI generated summaries for call recordings option generates the transcripts and summaries for the recorded calls.

Turn AI Assistant and AI features on or off for users

  • AI Assistant while recording a meeting—For internal meetings only, you can turn on AI Assistant whenever recording is turned on. When turned on, this feature applies both when the recording is started, or when the meeting organizer turns on automatic recording when scheduling the meeting.

    • Show visual notifications— If turned on, users can see visual notifications.
    • Play audio notifications for Internal calls—The administrator can manage and control the audio and video notifications that are sent when AI Assistant is turned on for internal calls.
    • Play audio notifications for External calls—The administrator can manage and control the audio and video notifications that are sent when AI Assistant is turned on for external calls.
  • Share a summary for transferred or conference calls—AI Assistant creates a short summary of ongoing call so far, and shares it with the recipient on call transfer or conference.
  • Show the Call intent—The recipient of the call transfer or conference is able to view the caller's intent and a short summary of the call before answering the call.
    • Intent and share summaries are generated in the language spoken by the user who initiates the sharing. In the AI Assistant search sources section, turn on Allow AI Assistant to search within selected sources. When this is turned on, configure the specific internal and external sources you want to search.

AI Assistant integrates with third-party apps, such as Glean or Amazon Q, to search for information in applications outside of Webex from within Ask AI Assistant.

If this setting is turned off for a user, they won't have access to it, regardless of whether it's turned on at the organization level.

Under Internal sources, turn on the internal content AI Assistant can access to provide answers to user questions.

  • Meetings—Allows the AI Assistant to search content from meeting transcripts, summaries, recordings, and messages.
  • Calling—Allows the AI Assistant to search Calling summaries and transcripts.

Under External sources, turn on the external third-party content the AI Assistant can access to provide answers to user questions.

  • Amazon Q—Allows the AI Assistant to search content available through Amazon Q.
  • Glean—Allows the AI Assistant to search content available through Glean. Enabling this requires your users to have a valid Glean license.

In order for these to work in Webex App, you must first set up AI integrations.

Turn Cisco AI Assistant search sources on or off in Webex App

Cisco AI Assistant can enhance user productivity by surfacing content from various internal and external sources directly within Webex App. As an administrator, you can control which sources your organization's AI Assistant can access, ensuring that the relevant information is available to your users. This feature allows the AI Assistant to provide more complete answers by drawing from selected data repositories, such as meeting recordings, meeting transcripts, summaries including notes and action items, and meeting messages; calling transcripts and summaries; and third-party applications such as Glean and Amazon Q.

Before you begin

  • For external sources, your users must have a valid license for a third-party service.
  • When enabling external search sources, keep in mind that once data leaves Cisco Webex and moves to a non-Cisco product, Cisco is no longer responsible for its protection and handling. The customer data within these external services follows their respective contracts and policies.

Sign in to Control Hub.

Go to Management > Organization Settings > Cisco AI Assistant & AI features > Customize AI Assistant & AI features.

In the General AI Settings section:

  • Turn on Ask AI Assistant for other Webex App tabs–Users can get answers to work-related questions directly within the AI Assistant panel when they're in other tabs, such as Slido, Vidcast, and others.

  • Turn on Allow AI Assistant to search selected sources–When turned on, you can configure the specific internal and external sources you want to search.
AI Assistant integrates with third-party apps, such as Glean and Amazon Q, to search for information in applications outside of Webex from within Ask AI Assistant.

What to do next

You can also turn these options on or off in a template. For more information, see Configure settings templates in Control Hub.

Once you enable these search sources, your users can select them within the AI Assistant panel in Webex App to broaden the scope of their queries. For example, users can ask the AI Assistant to summarize the content of a single meeting recording, generate summaries across multiple recordings on a specific topic, or gather insights from both meeting recordings and Glean- or Amazon Q-connected apps. Questions like What was discussed about [topic] in the last week? returns results that include relevant content from all enabled internal and external sources. Configure AI Assistant integrations and search sources

The Jira and Salesforce integrations allow users to directly connect Jira and Salesforce with Webex App. They can then use AI Assistant to create, update, and retrieve Jira issues, tasks, and projects, and create Salesforce accounts, opportunities, leads, and add meeting summaries to opportunities, all from within Webex.

Known issues and limitations

  • AI Assistant is not currently available for the Education business vertical. These customers should turn it off in Control Hub if it's enabled. Please contact your Webex account team if you have any questions.

    This limitation does not apply for Cisco AI Assistant in Webex Calling.

  • Cisco AI Assistant in Calling is currently not available in the India region.
  • In Cisco AI Assistant in Webex Calling, the AI summary for call transfer, conference , call forward, call queue, hunt group, supervisor agent, and Executive assistant flows. AI summary is not supported for shared lines and virtual lines.
