ISSUE
When attemping to record a meeting, you receive the following error message: 'You have no recording storage allocation. Contact your Site Administrator to increase the storage allocation.'

This issue is due to insufficient recording storage allocation which can be caused by storage allocations for the host account or when the Webex Meetings Retention policy is enabled (Retention period is available) and the Admin cannot add more storage to the sites or the accounts.

RESOLUTION #1 - Deleting Storage or Increasing Storage Allocation
This issue can be resolved by deleting unneeded Network-Based Recordings or by a Site Administrator increasing the storage allocation for your host account.

Site Administrators only

Follow the steps below to increase the storage allocation: 

To increase the storage allocation for individual hosts:

  1. Log in to your Webex Site Administration page. (Example: https://SITENAME.Webex.com/admin.php)
  2. Click the User Management link on the left-hand side of the page.
  3. Click on the Edit User link.
  4. Enter search criteria for the host account you would like to modify into the User name: or Email: field, then click the Search button.
  5. Click on the name of the host account you would like to modify.
  6. Scroll down to the My Webex: section.
  7. In the Additional recording storage: field, type the amount of additional storage you would like to assign to this user.
  8. Scroll to the bottom of the page, then click the Update button.

To increase the storage allocation for all hosts:

  1. Log in to your Webex site administration page.  (Example: https://SITENAME.Webex.com/admin.php)
  2. Click the Configuration link on the left-hand side of the page.
  3. Select Common Site Settings > Options.
  4. Scroll down to the Site Options section.
  5. Below the Personal recording storage limit option, enter the new amount of storage available to users in the My Webex Standard or My Webex Pro field, depending on which type the site's host accounts are configured with.
    • Notes:
      • You can determine which field to enter the value in by modifying a host account (Refer to the For individual hosts section above).
      • Disabling the 'Personal recording storage limit' option will allow hosts to use up to the maximum amount of available storage on a site.
      • If you need to increase the amount of storage available on your Webex site, contact the Cisco Webex Sales team to discuss site storage options. For help: How Do I Contact Webex Sales?
      • If the Personal recording storage limit option is enabled, and the value in the My Webex Standard or the My Webex Pro field is 0, either disable the Personal recording storage limit option or enter a 1 into the respective field.
  6. Scroll to the bottom of the page, then click the Update button.

 

RESOLUTION #2 - Modifying the Webex Meetings Retention and Purge Policy
The Webex Meetings Retention Policy inside of Control Hub can be modified to free up recording space. Navigate to Organization Settings > Data Retention. Click Settings under Webex Meetings Retention Policy.

There are two ways to approach this solution:

  1. Click the radio button for 'Purged within 30 days' and click Save. This will cause any recording that has been deleted for more than 30 days to purge from the system and free up storage space. The used storage space will be released automatically within 24 hours. If 'Follow the retention policy' is selected, which defaults to 360 days, deleted recordings will use available storage until the recording age surpasses the retention policy setting.
  2. If there are many recordings, you can force a batch deletion by temporarily reducing your retention time using the Custom Retention time option. Set this to a relatively low value and any meetings that are older than the value you specify will automatically purge from the system. Careful that this applies to both live and deleted recordings.
