You may see multiple directories on your phone depending on how your administrator configures the directory service in your corporate. Typically, there are two tabs: Default directory and Custom directory.

The Default directory lists the contacts that are retrieved from Cisco Unified Communications Manager through Cisco User Data Services (UDS). As a user, you can search and call contacts in this directory. But you can't edit the information of contacts.

The Custom directory retrieves contacts through XSI services. You can see the personal directory and corporate directories if your administrator has subscribed to the services for your phone. You can add and edit contacts and add fast dial numbers in the personal directory. In corporate directories, you can only search, call, and view the information of contacts.

Search for a contact

The steps for contact search vary from directories. See the following instructions that are applicable to the directory settings on your phone.

The searching is limited to the Default directory only.

Before you begin

Your administrator has configured the system to retrieve directory data using the User Data Service (UDS) in Cisco Unified Communications Manager.

Press Contacts the Contacts key.

To search for a contact, enter the contact name in the search bar.

By default, the maximum number of the search results is 64. If you want to change the maximum number, consult your administrator.

Select your needed contact and open the contact details.

In the contact details page, you can view the phone numbers and email address.

To call the contact, do one of the following actions based on your phone mode:

For 9841, 9851, and 9861 phones Select the desired phone number and press Call.

Icon for 9871 and 8875 for common topics Tap Call and select the desired phone number.

  • The display name of the personal directory varies from corporations. Your administrator can change the directory name. Henceforth in this Help article, we refer to the personal directory as Personal directory.

  • The searching is limited to the Personal Address Book in Personal directory.

Before you begin

When prompted, enter your user ID and PIN code and select Submit.

After signing in, you will see a menu with options including Personal Address Book, Personal Fast Dials, Log Out.

Select Personal Address Book.

Enter the contact name and select Submit.

If you select Submit without entering search criteria, the list of your contacts will open. You can navigate through the list to locate your needed contact.

  • The display name of the corporate directory varies from corporations. Your administrator can change the directory name. Henceforth in this Help article, we refer to the corporate directory as Corporate directory.

  • The searching is limited to the Corporate directory only.

Before you begin

Your administrator has subscribed to the XSI directory services for your phone.

Navigate to Custom directory > Corporate directory.

Enter at least one of the filters and select Search.

Select the desired contact from the results and select the corresponding option to initiate a call or edit the phone number before making the call.

Manage contacts in the personal directory

If your administrator has configured a personal directory for your phone, you are able to add and edit contacts that you often communicate with to this directory. You can also assign fast dial numbers to contacts for quick dialing.

The display name of the personal directory vary from configurations. Your administrator can change the name. Henceforth, in this section, we refer to the personal directory as Personal directory.

Add a contact

Press Contacts the Contacts key.

Navigate to Custom directory > Personal directory.

When prompted, enter your user ID and PIN code and select Submit.

After signing in, you will see a menu with options including Personal Address Book, Personal Fast Dials, Log Out.

Open Personal Address Book and select Submit.

Select More (...) > New.

Enter the names and email address of the contact.

Nickname is mandatory information and will be the display name of the contact. You can optionally enter the first name, last name, and email address of the contact.

Select Phones to enter the phone numbers.

Select Submit.

Update a contact

Keep your personal directory up to date so that you can conveniently access your frequently contacted individuals. You can manage the personal directory either on the phone or on Cisco Unified Communications Self Care Portal.

Follow these steps to update your directory on the phone.

Press Contacts the Contacts key.

Navigate to Custom directory > Personal directory.

When prompted, enter your user ID and PIN code and select Submit.

After signing in, you will see a menu with options including Personal Address Book, Personal Fast Dials, Log Out.

Select Personal Address Book and either search for the contact by name or select Submit to view the contacts list.

Open the contact, select the phone number that you want to update and select Edit.

If needed, update the contact's name and email address and select Update. If you don't want to change the information on this page, select Phones to edit the phone numbers.

Select Update to save the changes.

Remove a contact

You can remove contacts from the personal directory either on the phone or on Cisco Unified Communications Self Care Portal.

Follow these steps to remove contacts from your personal directory on the phone.

Press Contacts the Contacts key.

Navigate to Custom directory > Personal directory.

When prompted, enter your user ID and PIN code and select Submit.

After signing in, you will see a menu with options including Personal Address Book, Personal Fast Dials, Log Out.

Select Personal Address Book and either search for the contact by name or select Submit to view the contacts list.

Open the contact that you want to remove and select Edit > More (. . .) > Delete.

Select OK to confirm the deletion.

Add a fast dial

Fast dial enables you to make a call to a contact with fewer key presses. You can add the frequently called contacts in your personal directory to fast dial.

If you assign a fast dial to a contact that is out of your personal directory, it's displayed as the phone number in the fast dial list. If a fast dial is added from your personal directory, it's displayed with the phone number type followed by the contact's name or nickname. For example, H‑Alice Alexandra. The following prefixes may appear in your fast dial list:

  • W: Work phone number
  • H: Home phone number
  • M: Mobile phone number

Select Personal Address Book and either search for the contact by name or select Submit to view the contacts list.

Open the contact details and select FastDial.

Navigate through the list and select the phone number that you want to set as a fast dial.

Select an unassigned fast dial index.

Select Exit to close the window.

You can also assign a fast dial to a contact that isn't in your Personal Address Book. You can only add the phone number, but not the contact name.

Open Personal Fast Dials and select Assign.

Call a fast dial contact

Open Personal Fast Dials.

Navigate the fast dial list to find the contact that you want to call.

Select the fast dial entry and select Dial.

Remove a fast dial entry

For efficiency, remove a fast dial entry when it's no longer needed

Navigate to Custom directory > Personal directory.

When prompted, enter your user ID and PIN code and select Submit.

After signing in, you will see a menu with options including Personal Address Book, Personal Fast Dials, Log Out.

Open Personal Fast Dials and select More (. . .) > Remove.

Select the fast dial index that you want to remove and select Remove.

Select Exit to close the window.

Manage your contacts on Self Care Portal

On Cisco Unified Communications Self Care Portal, you can add, remove, and edit contacts in your personal directory. To manage fast dials for personal contacts, go the directory menu on the phone.

Before you begin

Get the URL for Self Care Portal from your administrator.

Log in to Self Care Portal with your credentials.

Choose Phone Settings > Phone Contacts.

Do the following actions as needed:

  • To add a contact, click Create New Contact, enter the contact information, and click Save.
  • To update contact information, click the Edit icon on the contact entry. Save the changes when finish editing.
  • To remove a contact from the directory, click the Delete icon on the contact entry.
